What specific duties will I be assigned?
Each Ball Crew and Volunteer assignment includes a detailed list of specific duties, so you can choose one that matches your interests and ensures a rewarding experience.
What is the minimum age requirement to be a Ball Crew Volunteer?
The minimum age to become a Ball Crew Volunteer is 10 years old, for safety reasons. The fast pace of play and quick-moving balls on the court require concentrated attention, focus, and quick reactions.
What are the minimum age requirements for Tournament Volunteers?
The minimum age requirements for Tournament Volunteers are:
Usher or Floater: 16 years old
Player Credential Monitor, Sponsorship Attendant, Volunteer Services Team: 18 years old
Court Operations: Open to high school students in grades 9–12
Will my Ball Crew and Tournament Volunteer duties involve working outdoors in the sun?
Most of our assignments are outdoors, but we also have indoor roles, such as Player Credential Monitor. For outdoor assignments, remember to stay protected by using your ATC tournament hat and sunscreen available at the Ball Crew and Tournament Volunteers tents.
What physical demands are involved in the Ball Crew Volunteer assignments?
Being a member of the Ball Crew is physically demanding, requiring quick sprints, staying low on the knees to roll balls, and working under direct sun exposure—but it’s also a once-in-a-lifetime experience that puts you right in the heart of the action!
We strive to staff extra Ball Crew Volunteers each shift, allowing everyone the opportunity to take necessary breaks.
What physical demands are involved in the various Tounament Volunteer assignments?
Most Tournament Volunteer assignments involve extended periods of standing or sitting, often alternating between the two during matches.
The Court Operations and Floater roles, in particular, require extensive walking and moderate lifting.
We strive to staff extra Tournament Volunteers each shift to ensure everyone has the opportunity to take breaks as needed. If you have concerns about physical demands or require accommodations, please let us know—we’ll be happy to make arrangements for you.
How many shifts must I sign-up for?
We ask you to commit to at least "two shifts" to ensure a consistent and meaningful contribution to the Arizona Tennis Classic.
What are the best days to volunteer?
Monday, March 10, kicks off the tournament, with all players on hand and matches happening across three courts simultaneously through Friday, when we go down to one court. Once a player is eliminated, they move on to their next tournament.
What are my assignment times and dates?
We offer a range of assignment options to fit your schedule, beginning with the tournament's start on Monday, March 10, and running through the finals on Sunday, March 16. You'll have the flexibility to choose times and dates that work best for you!
How do I register as a new Volunteer?
To register as a new Ball Crew or Tournament Volunteer, visit our tournament's ATC Volunteer Information Center.

Please note that every Ball Crew or Tournament Volunteer, regardless of age, must have their own individual registration record. Once you're registered in our system, you won’t need to complete the registration process again for future events.

How can I change my schedule?
Log in to our ATC Scheduling Center, navigate to the "Open Shifts" tab in your profile, find the desired shift, and make adjustments by adding or removing yourself as needed.
What should I do if I can't make my assignment the day I am scheduled to work?
We understand that life happens. If you cannot attend your scheduled assignment, please let us know as soon as possible so we can make the necessary adjustments.

Do adult volunteers need to complete a release form before participating?
Completing a release form aligns the Arizona Tennis Classic and its volunteers on expectations and responsibilities. This step helps to establish clarity and accountability for a positive experience.

Do minors need a release form signed by a parent or legal guardian before participating?
Completing a release form ensures that the Arizona Tennis Classic, the participant, and their parent or guardian are aligned on expectations and responsibilities. This step helps to establish clarity and accountability for a positive experience.

What are the credential requirements for Ball Crew and Tournament Volunteers at the ATC?
All Ball Crew and Tournament Volunteers must carry credentials to enter the ATC during their scheduled shift.
Returning Adult Volunteers: Submit a new photo or keep your 2024 credential photo. You can view your existing image in your 'Volunteer Profile' in the ATC Scheduling Center.
If you don't submit a new photo by February 22, 2025, we will use the photo currently on file for your credentials.
Returning Ball Crew or Volunteers Under 18: Please submit a recent photo. We want to ensure that your credentials reflect your most current appearance.
New Volunteers: Welcome aboard! To ensure smooth entry through security, submit a recent, clear headshot of only you against a plain background, without hats or sunglasses.
How do I submit my credential photo?
Although our scheduling system allows photo uploads, we cannot download them to create credentials.
You can submit your credential photo HERE.

Once you upload your photo, we will add it to your 'Volunteer Profile' in the ATC Scheduling Center.
When do I receive my credentials?
All Ball Crew and Tournament Volunteers must sign the "ATP Credential Acceptance" form to confirm their role, acknowledge tournament rules, and receive their credentials.
After signing the "ATP Credential Acceptance" form, you can pick up your credentials during:
Volunteer Orientation on March 9 or March 10.
Ball Crew Training on March 9.
Before your first scheduled shift.
What is the "ATP Credential Acceptance" form?
The International Tennis Integrity Agency (ITIA) ensures fairness in professional tennis worldwide. Established in 2021, it created the Tennis Anti-Corruption Program (TACP) and the "ATP Credential Acceptance" form. These tools outline mandatory rules for players, coaches, officials, tournament staff, ball crew, and volunteers to prevent match-fixing and betting. Together, they play a vital role in protecting the integrity of professional tennis.

Will parking or shuttle service be provided for Ball Crew and Tournament Volunteers?
Primary Parking Area
Parking is dependent on ticket sales for each session.
If ticket sales allow, parking will be available in the designated Southeast corner of the Phoenix Country Club (PCC) parking lot.
Important: We strictly prohibit parking in general PCC spots at all times.
Overflow Parking
When attendance increases, and the designated PCC parking lot fills up, we redirect parking to North High School.
A shuttle service will transport Volunteers and Ball Crew members to and from the tournament.
We will post updates about parking availability changes in the ATC Update Blog in the ATC Information Center and send email notifications whenever parking is redirected to North High School due to high ticket sales.
Assume parking is available in PCC's designated Volunteer and Ball Crew area unless notified otherwise.
Attendants will direct you to North High School. If the PCC parking lot is full
At the tournament entrance, a designated drop-off and pick-up area for Ball Crew and Tournament Volunteers is located on N. Country Club Drive.

If a minor needs to be picked up after their shift, please notify:

Where should I go to check in?
Upon arrival, head to the Ball Crew or Tournament Volunteer tent to check in and get started, depending on your role.
Use the official outdoor ATC Tournament entrance, as entry through the Phoenix Country Club entrance is NOT allowed.
Bring your tournament credentials for access.
You’ll find snacks, drinks, and sunscreen inside the tents to keep you fueled and comfortable.
Please leave valuables at home for peace of mind, as secure storage is not available.
During your breaks, the tents are a great place to relax, regroup, and connect with fellow volunteers.

Is there Ball Crew Volunteer training I need to attend before the tournament?
New Ball Crew Volunteers must attend one of two training sessions before the tournament to learn their duties and prepare for the event.
You can register for the 'Ball Crew Training' session in our ATC Scheduling Center while signing up for at least two additional shifts.
Training is optional but highly recommended for returning Ball Crew Volunteers as a skills refresher.
Returning Ball Crew Volunteers must obtain approval from Tammy Auther, ATC Ball Crew Coordinator, to be exempt. Send training exemption requests for returning Ball Crew to ballcrew@arizonatennisclassic.com.
Is there Tournament Volunteer training I need to attend before the tournament?
Yes, all Tournament Volunteers will receive the training necessary to perform their roles.
Volunteer Orientation provides a general overview of the tournament, including policies, expectations, logistics, and the distribution of shirts, hats, and credentials.
Volunteer Orientation also includes usher training to ensure you are well-prepared for your duties and thoroughly familiar with the event, setting you up for success.
Role-specific training will occur separately, on-site just before your assigned shift or at scheduled briefings. For specialized roles, such as Court Operations or Player Credential Monitor, these briefings will cover specific procedures, tasks, and safety protocols to help you confidently perform your responsibilities.

Is there a Ball Crew Volunteer orientation I need to attend before the tournament?
No, there isn't a separate orientation for Ball Crew volunteers. One of the two Ball Crew Training sessions will cover all the necessary information.
Is there a Tournament Volunteer orientation I need to attend before the tournament?
Yes, Tournament Volunteer Orientation is available to help you understand your role, pick up your tournament attire and credentials, and get familiar with the venue. It's also an excellent opportunity to connect with other volunteers.
We offer several Volunteer Orientation sessions before the tournament to prepare and support you for a successful experience.
You can register for the 'Volunteer Orientation' session through our ATC Scheduling Center while signing up for at least two additional shifts.
Is there a specific uniform or dress code for the Ball Crew Volunteers?
Ball Crew Volunteers must wear black bottoms with no visible logos and dress appropriately for the weather—pants if it's cold or shorts/skirts if it's warm.
Ball Crew members are welcome to layer leggings under pants, shorts, or skirts for extra warmth, but please note that leggings cannot be worn on their own.
Comfortable tennis shoes with non-marking soles and white socks are also required.
Leave Apple Watches and other wearable electronic devices at home—communication devices are not allowed on the court.
You will receive:
A tournament shirt (you may wear a white long-sleeve shirt underneath for warmth). This year it is royal blue.
A tournament hat for sun protection
Sunscreen is always available in the Ball Crew tent.
Is there a specific uniform or dress code forTournament Volunteers?
Tournament Volunteers can wear navy, white, khaki, or black bottoms.
Please avoid blue denim, ripped bottoms, or clothing/hats with visible logos other than tournament logos.
Dress appropriately for the weather—pants if it's cold or shorts/skirts if it's warm.
Comfortable shoes are encouraged.
You will receive:
A tournament shirt (you may wear a white long-sleeve shirt underneath for warmth). This year it is red (Go Cardinals)!
A tournament hat for sun protection
Sunscreen is always available in the Tournament Volunteer tent.
Which areas of the tournament am I allowed to access?
Your credentials serve as your daily entry ticket to the tournament. Tournament Volunteers should report to the Volunteer Tent, while Ball Crew Voluteers should report to the Ball Crew Tent.
Restricted access ensures smooth tournament operations, player safety, and a professional environment by preventing overcrowding and unauthorized disruptions in sensitive areas like the courts and player areas.
Access to specific areas depends on your Volunteer assignment.
Court Access: Restricted to ATC Staff, Court Operations, Tournament Operations, and Ball Crew.
Player Areas: Limited to ATC Staff, Court Operations, Tournament Operations, and Player Credential Monitors.
Daily Schedule for Scheduled Ball Crew and Tournament Volunteers: Tournament Seating
Before or After Ball Crew and Tournament Volunteer shift seating will be assigned to specific sections before or after your shift, which will be announced in the daily volunteer update as it depends on ticket sales.
Please note that access to sponsor boxes, court-side seating, and the VIP/sponsored hospitality area is prohibited.
Will meals or refreshments be available during my shifts?
Yes, we provide complimentary lunch and dinner on your shift days to energize you. The menu changes daily and will be posted on our ATC Volunteer Information Center website.
Snacks and drinks will also be available throughout the day to keep you fueled.
It is essential that you stay hydrated, so please remember to drink plenty of fluids, even in March, before, during, and after your shift, to stay refreshed and energized.

What is the most suitable way to store my belongings during the tournament?
Plan and take precautions to protect your items while volunteering. We recommend avoiding leaving valuables in your car to ensure their safety. While limited storage space is available in the Ball Crew and Volunteer tents, please note that these areas are not secured.
To keep your belongings safe:
Bring Only Essentials: Limit what you bring to items you need for your shift.
Use Secure Options: Store valuables at home or keep compact items with you during your shift.
Label Your Items: Mark your belongings with your name to avoid mix-ups in the shared space.
Can my child wear their Apple Watch while volunteering as a Ball Crew Volunteer?
Ball Crew Volunteers cannot wear Apple Watches or other smart devices (phones) on the court during play.
This rule helps prevent potential risks related to unauthorized communication or gambling activities, as these devices can transmit or receive information.
We recommend that your child leave their Apple Watch at home.
If they need to bring it, they can turn it into the Ball Crew Coordinator upon arrival for safekeeping until they need it or their shift ends, as no secure storage is available.
Can my child have their smartphone while volunteering as a Ball Crew Volunteer?
We understand the importance of staying in contact with your child during the day, especially for parents who drop off their kids.
If your child needs to bring their smartphone, they can turn it in to the Ball Crew Coordinator upon arrival for safekeeping until they need it or their shift ends.
Please note that no secure storage is available, so this option ensures their phone is kept safe during their shift.
What happens if there's bad weather during the tournament?
Being weather-ready ensures a smooth and safe tournament experience for everyone, so be prepared for all types of weather:
Cold: Dress in layers and bring black gloves to stay warm.
Heat: Wear lightweight, breathable clothing and stay hydrated.
Rain: Rain delays will likely pause play, but we’ll need everyone to stick around to dry the courts.

When Can We Ask for Autographs and Photos?
We understand how exciting it is to be around players, but ensuring everyone has a positive experience is essential while upholding our tournament's professionalism.
General Guidelines:
Interaction with players should remain professional and focused on fulfilling your volunteer assignments.
Ball Crew and Tournament Volunteers are expected to respect players' focus, privacy, and schedules.
Only Ball Crew Volunteers are allowed on the court to request autographs or photos, and only if the players are available and willing.
Appropriate Timing:
The most appropriate time to ask for autographs or photos is outside your Ball Crew and Tournament Volunteer assignments, such as after matches, during practice sessions, or in designated public autograph areas.
Never approach players before a match.
Look for non-verbal cues that show they are focused, actively preparing, or cooling down after a match and should not be interrupted.
Be mindful of players' emotions, particularly those who have just lost a match—they may not be ready or willing to interact at that moment.
Always ensure players are not rushing before you approach them.
Respect Boundaries:
Approach players politely and only when they are available and willing. The tournament is their priority, and they may have limited time.
Memorable Moments:
Players may offer thanks or engage with ball kids and volunteers. These moments are special and create lasting memories, but respect and professionalism should always come first.
