Justification and Budget
Former organizer, Dave Penrose, was able to keep the cost of the meeting in Hot Springs relatively free (no registration costs), and I would like to do the same for this event and for future meetings held in Boone.
In order to grow the meeting (perhaps up to 75-100 attendees), I think it is important to keep registration costs free and to help attendees with cheap housing. I hope that using the Camp Broadstone facility can help achieve these goals (free camping along the Watauga River or $12/person/night in the bunkhouses). Of course, there are many other hotels, AirBnB options, etc. in the area if alternative lodging accommodations are preferred.
The Lodge meeting room at Broadstone is large (and free to the Appalachian State University Biology Dept.) and can easily accommodate our group even if attendance doubles. It also has good bandwidth for wireless internet (so we can link to websites for presentations and workshops) and has a projector and lecture hall screen for presenting. The Lodge has inclusive facilities including restrooms, a large kitchen that could be used for catered lunches, and a new stone patio equipped with a fire pit perfect for hosting mixers and live music.
We're planning on holding a BBQ dinner (supplied by Boonetown BBQ) and social hour (with bluegrass by Madtom and the Creek Chubs) on the firepit patio.
Here are our estimated expenses for at least 50 attendees. We are looking for sponsorships to help absorb these costs. We have some unused funds from the cancelled 2020 meeting that we can put towards this event. However, if your organization is able to sponsor, please contact me directly.
