What is a digital resource?

A digital resources are applications, extensions, text or graphics, documents, data, and media that are in digital form. It can often be viewed and shared with others using digital devices such as computers, Chromebooks, tablets, and phones. Digital resources can be consumed or created inside the digital platform. Often, resources and applications collect data on the use of the resource, storing data about the user and/or about how the user is interacting with the digital resource. This data is often Personally Identifiable Information (PII) and can link back to the user

But it's free. Can't I use it with my students?

Probably but it is important for us to first understand if the digital resources will be collecting any data on its users and for us to determine if that data is Personally Identifiable Information (PII). If it does collect PII data, we can still use the resource but first need a digital resource contract to ensure that the data collected is safe and secure, protecting our students and adults.

What is PII?

Personally identifiable information (PII) is any data that could potentially identify a specific individual. Any information that can be used to distinguish one person from another and can be used for deanonymizing anonymous data can be considered PII. What is rostering?

Rostering is a process where student or staff accounts are auto-created in a software application from the data we have in Synergy. An example of rostered software would be Google Classroom. Class lists are auto-created from synergy data. The process syncs data on regular bases making sure information is up-to-date.

How do we roster in PPS?

We can roster student data through Clever and Google Classroom. Not all software is created equal, and rostering can be complex. If you are considering software that you believe will need or requires rostered data, please submit a ticket to support.pps.net.

*Any software that is rostered is using Personally Identifiable Information (PII). Software or digital resources that use PII require a contract prior to use. This is for all software purchased or free.

Why does it matter if the students are under 13 years old?

The Children's Online Privacy Protection Act of 1998 (COPPA) made it illegal to collect, store and share PII data on children under the age of 13 years of age without expressed consent from the child's guardian. While parents opt out of online services during enrollment, schools using collaborative and creation tools and resources online with students under the age of 13 years of age should also be using the "Consent for Your Child to Participate in Online Collaborations and Assignment Sharing" permission slip. This should be collected once per students per year.
