SESSION RELATED INFORMATION:
Summary of what you are to submit each night after your on-site work:
(Reminder: you can also access these forms on the home page under Quick Links!)
OnceHub Availability
Please make sure that your personal calendar is completely clear of any meetings/appointments on the days that you will be taking sessions on-site with Amber Health. Our team will make sure that you cannot be booked for any virtual sessions on those days.
Scheduling Sessions
When full-sessions are scheduled in advance using OnceHub, you will receive an email and text confirmation.
More commonly, you will have walk-in sessions. If someone walks in, please add an appointment into your external calendar (Google Calendar, iCal, or whichever calendar you have linked to your OnceHub account.) for the length of the session so that you don’t get double booked. We recommend doing this while your patient is filling out the consent form.
Availability
You should not have any other appointments or sessions for your private practice while you are on-site with Amber Health. When you are with Amber Health, you are expected to be 100% present within our hours of operation.
Clinical Sessions
There are three types of sessions we are formally and informally providing: full sessions, mini sessions, and check-ins. You will find more information on Usage Stats below, but please note that we will ask you to keep track of the # of each type of session you perform for each on-site day, so keep a notebook handy!
*IMPORTANT NOTE* - If, during an interaction, an individual discloses self harm or suicidal ideation and/or if your clinical judgment is that the individual may be at risk of self-harm or other danger, immediately notify the Amber Health Clinical Team Lead following the interaction.
Full sessions are considered 50-minute sessions. Please make sure you do not go over this time allotment. These require you to complete a Clinical Note at the end of each session.
Mini sessions are less than 50 minutes and commonly occur when people stop by, but don’t have time to sit for a full session.
Check-ins are brief interactions in which you’re able to provide encouragement, support, comfort, or advice in a casual, non-clinical setting.
At the end of each day, the clinical team will debrief about the day’s sessions and we will review common themes to ensure we are appropriately managing each situation.
Usage Statistics
It’s important that we track all interactions with the community we are serving so that we can provide detailed synopsis of our visits.
Please make note of all session types (full, mini, check-ins) as well as the type of person you are serving (band or crew)--if applicable. At the end of each night, please fill out the Usage Stats form (above). We understand that sometimes these things can be difficult to calculate / measure, and ask you to just do your best in summarizing the work you accomplished.

Clinical Notes
After your session, please complete the Clinical Note form. When prompted for the client’s Booking ID, you can find it in the session confirmation email from OnceHub. The account is listed in your booking page name, also in the confirmation email. If a walk-in, use the client’s first and last initial and the date.
Continuing Sessions
If a client expresses wanting to continue with you as their clinician following the on-site, you may share your booking link for the associated client within the timeframe of the contract, and inform the client that all ongoing support will be coordinated through Amber Health. You may not continue working with any patients associated with an account outside of Amber Health’s contract in any capacity.
TRAVEL RELATED INFORMATION:
Flights
Amber Health will book all flights on your behalf. It’s always preferred if you can provide your flight preferences for each trip in advance, otherwise, Amber Health will suggest flights based on the on-site engagement and ask for your approval before booking.
While Amber Health books your travel, it is your responsibility to double check all reservations ahead of your trip. If changes need to be made, let the Account Manager know.
If you miss a flight, it is your responsibility to rebook your flight and arrive at where you are contracted to be in a timely manner. Amber Health is not responsible for any additional costs incurred from a missed flight. (If a connecting flight is missed due to a problem with the airline, please work with the airline to get rebooked without charge.)
Lodging
All lodging will be communicated to you by Amber Health. Lodging is determined on location to venue/grounds and with the current tour/festival. Amber Health will do our best to accommodate any special needs regarding lodging but cannot guarantee all requests. If for any reason, you do not want to stay at the booked lodging, it is your responsibility to find additional accommodations. Amber Health will not be responsible for any out of pocket costs for a lodging change.
Transportation/Uber
Amber Health will invite you to join our Uber Business account. When you receive the email to join, it will automatically link to any existing account you already have (associated with your cell phone number). When booking a car, you can toggle back and forth from Personal to Business. Select business. When prompted to provide a code, it is 'AMBER'. If you haven't received your invitation in advance of your travel, please email tory@amber.health.
Please use this account for all transportation to/from airports, hotels, and on-site venues. You will not need to send any proof of receipts or expense reports for Ubers booked on the Amber Health account. Please do not use the account for any other unapproved or personal trips, including on on-site days. Any unauthorized use of this account may result in termination from future work with Amber Health.
Per Diem
You will receive $50/day per diem, including travel days. Typically, lunches and/or dinners are provided by the client’s catering when on-site. These per diems will not be provided in advance of your travel, you will need to include them in your invoice for that month.
Expenses
Airport parking and baggage fees are approved expenses – please collect receipts for these. Ground transportation is expensed automatically through our Business Uber account. If you haven’t been added to the Amber Health Uber account, please reach out to Kendall or Tory. If additional miscellaneous expenses come up, please have them approved by your Clinical Team Lead or Account Manager and keep all receipts. At the end of your trip, please email your receipts to tory@amber.health.
