STUDIO ERROR IN MANUAL: There were two lines about tables. One was removed. This is the correct verbiage:
TABLES: ONLY one (1) basic, weight-bearing, non-embellished, solid black table may be used. Any shape is acceptable as long as it is not larger than the space of a 4ft x 6ft rectangular table. The frame may be metal if it is factory-original.

STUDIO AT SETC
SETC is implementing a Studio Theatre Festival this year. The two documents provided below originate directly from SETC. For Trumbauer, all previously stated rules must be followed. However, if a production advances to SETC, the production must comply fully with the official SETC Guidelines
PHOTOGRAPHER: Do you know someone who loves Theatre and would be willing to serve as the photographer for State Trumbauer? We do offer a small honorarium, meals, a room, and mileage. Have them reach out to bcocke@altheatre.org.
ONE-ACT AND STUDIO RULE FROM UAB: No Fog or Haze effects are to be used. This includes, but is not limited to, fog that is 100% water from new ultrasonic machines and personal foggers such as ones built into a costume, even if it is just a whiff of smoke that dissipates quickly.

My name is Revel Gholston, and I’m honored to serve as this year’s ACT High School Branch State Chair. I hope your school year is off to a smooth and exciting start! After all these years of service I do believe it’s about time I found myself in this position.
I’d like to personally invite you to attend our first meeting of the year at the ACT State Summit. This is where everyone has an opportunity to have their voice heard, share ideas, and help shape the direction of ACT for the year ahead. It’s a great chance to connect with fellow Alabama theatre educators and professionals. This is your opportunity to get involved in the statewide conversation, don’t miss it.

PLAY FESTIVAL JUDGE INFO: Now on "State Festival Information" page
CONGRATULATIONS HOOVER HIGH SCHOOL: During the process of double checking festival results, a TIE was uncovered between Opelika HS and Hoover HS for One-Act Best In Show. Because this was not noticed until after the festival for the judges to vote between those two shows, Leadership has decided to Award another Best in Show to Hoover.

LARGER SCHOOLS: If you are a larger school and want us to automatically approve ALL feedback for you, let BKC know and he can filter and approve all at once.

STUDENTS VIEWING RESULTS: Teachers must first approve comments from their side. Then students can log into knack and view their own results. Teachers have the ability to edit their comments before releasing them if needed.

TECH PROJECTS: Can be brought to the GUC when you arrive and set up in Ballrooms C-D-E for display on the Tech Fair. Scholarship participants will put in the E section (closest to windows). When it is time for their event, they can come get their project, take it to the room for their interview and then return it to the Tech Fair. All projects need to be cleared by Sat 10am.

Mystery students: with some adjustments we made with the schedule structure, some teachers are reporting mystery students showing up on the state summary page. Let BKC know ASAP if you see students listed that are not yours.
SCHEDULE CHANGES: We have updated everything we have received so far about schedule changes. Some of your times may have shifted around. Check them again and try to let me know any conflicts before noon, if possible.
NEW! SCHEDULE FEATURE - WE ARE SO EXCITED ABOUT THIS!!! From this point forward, if there is an IE schedule or room change, knack 1) will highlight the entire line in pink, 2) Put the time in bright pink if it is a time change, 3) put room location in bright pink if it is a room change, AND 4) send the sponsors of the school an email letting them know there was a change. It will also send students an email, BUT many student school emails block incoming mail, so they most likely won't receive it. Based on feedback received, we have also changed the order of the columns

STATE FESTIVAL INFORMATION: The State Festival Information tab is now open to the public without having to log in. Just go to knack http://act.knack.com/trumbauer and click on the tab at the top. It will be there whether or not you are logged in.

TECH EVENTS & TECH FAIR: As soon as your students arrive on campus, they can take their tech event materials to the tech fair and set them up in the GUC Ballroom C-D-E to the left after entering the building. The projects will remain on display in there for students to walk through and look at. Prior to their scheduled interview time, students will get their project, take it to the scheduled room, complete their interview, and then return their project to the tech fair. Projects may be left overnight (or taken away at the end of the day), but they must be collected and the room cleared by 10:00am Saturday. We will have a special section for those participating in the Tech Scholarship auditions.
STUDIO THEATRE TABLE: The table being provided by UNA for Studio Theatre is 44” long x 22” wide x 28.5” tall
WORKSHOPS: A variety of workshops for students will be offered throughout the weekend. These can be found on the "State Festival Information" tab of knack. make sure you relay the information to them.
VOLUNTEER SIGNUP SHEET: See this sheet if you would like to help out to volunteer during the festival! If you want to help, but are unsure where, you can scroll down to the orange section and put the times you are available and we will see the current need when you arrive at the registration desk.
PAYMENTS: Check the "State Summary" tab if you have sent your payments. Cindy has checked the mail and updated today. You may bring your check to state and hand to Cindy at the Registration Desk (remember, never do this at district). If you are brining a check, go ahead and send a picture of the check to BKC in the event something gets missed inthe shuffle, he will mark you as approved to participate. If you have mailed your payment and you are not marked as approved or paid in full, send a copy of your signed PO so we can mark you as approved to participate.
AWARDS CEREMONY: As of right now we are NOT planning to use ticekts for the Awards Ceremony in Flowers Hall (auditorium). When you arrive, we will re-ask if you are planning to attned and how many student and adults are planning to attend. It doesn't ahve to be EXACT, but close, just so we have an idea. Don't worry about the "Award Ceremony Tickets" table in Knack.
AWARD BAGS: If you are NOT attending the awards ceremony, make sure to get your award bags from Flowers Hall at 5:00 OR arrange for someone else to pick up your bag and let BKC know! We will charge shipping for any awards not picked up.

DROPS & STUDENTS NOT ATTENDING (repeat): If you have a student not attending and need to drop their event, go to the "State Summary" tab, find their event and click in the "Drop" column. This will let us know to remove them from the schedule and make the judges aware not to wait for them.
STUDENTS ACCESSING KNACK & SCHEDULE: Your students also have access when they log into their knack account to see the "State Festival Information" tab and access the schedule of IE, One-Act, Studio, Group Events, Workshops with Descriptions, College Fair Participants, etc. If they have forgotten their password, YOU can reset it for them. Go to the "State Summary" page, scroll down to the "Students Attending State" table, and click "change" in the "Password" column
BRING EXTRA DISTRICT AWARDS: If you received extra awards from District, please bring those to state and return them to the Registration desk.
PARENTS CHAPERONES (repeat): We can still add parents or chaperones that want to attend the festival. It is very helpful to have them registered in advance. Email BKC with their name and email address.
STUDIO: UNA will provide 1 table, 2 chairs, 5 cubes @ 19in tall x 15in deep x 15in wide, and 3 cubes @ 19in tall x 18in deep x 18in wide. The show given the opportunity to go to SETC will showcase the Studio Theatre category (not compete) with one other show from Baltimore in this very first pilot year so that other directors can see what the category should look like.

NOT ATTENDING AWARDS CEREMONY?: If you do not plan to attend the awards ceremony or stay until about 5pm when bags are ready, please make arrangements with someone to pick up your awards bag for you. ACT will charge shipping this year for awards that are not picked up.
IE SCHEDULE: To view the IE schedule, go to Knack, click on "State Festival Information" and click on the "NEW IE SCHEDULE." This is a much more user friendly view of your events. Let us know if you see any conflicts with your schedule. We will tell the judges to be lenient for exceptions of going early or late, but the more we can correct in advance, the better off everyone will be.

JUDGES: Check the status of your Judges on the State Summary Page. Currently, we seem to be mostly good for the judges that have been provided for Friday, but could definitely use more for Saturday to give us more flexibility. Many have already been schedule and have been sent This Email
ADDING AND PAYIMG CHAPERONES: If you add extra chaperones, it will add an extra amount to your total. The system is set up as a total add and total pay system, where when you add something, it adds an amount and when you pay something, it deducts from the amount. From our end, we are not concerned who pays or how it is paid. So, you could log into the system, click on "Invoice", "Remaining Balance Invoice", click "Pay with Credit Card" and enter $30 and it will deduct that amount from your total balance. That is an option if you want to pay for a chaperone with your or their credit card and have them take care of paying you another way. We are working on other options for this,but most likely, that will be the best we'll be able to do at this point of the game.
DROPS: If you have an event that you KNOW is not going to state, please go into the State Summary page and DROP it. Find the event and in the far right column click Drop. Since Registration has closed, no refunds will be given for dropped events.
PARENTS/CHAPERONES: We we get to the point of preparing sponsor packets this week, We will close the option for you to add your own parents and chaperones. If you need to add any additional Parents or Chaperones, email BKC with their name and email address.

PARKING PASS: Make sure these are displayed in all car windows.
TRUMBAUER SCHEDULES, INCLUDING NEW IE SCHEDULE: Click on the "State Festival Information" tab and click on the "New IE Schedule" button.
IE SCHEDULE TIPS: Click "Add Filter" and select "Code" and type in your three digit school code to bring up all events list in your school (btw its the three middle digits of the REG#). For now we also have the School Name on there. Depending on feedback, we may keep it there or remove it before opening the page up to the public.
TRUMBAUER APP: You can create a shortcut on your mobile device home screen that functions as an app! Do this for trumbauer.info AND knack
iPhone 1) go to Safari and go to Trumbauer.info 2) at the bottom of screen, click on the box with the arrow pointing up (share) 3) scroll down to “Add to Home Screen”
Android: 1) open Google Chrome and go to Trumbauer.info 2) clickick on the three dots in the top righthand corner 3) scroll down to Add to Home Screen 4) add a name (if Trumbauer doesn't automatically make) then select Add
FEEDBACK: Email us if you like this, if you don't like it, if something is confusing, or if you have any other feedback of what you would like to see. We might not be able to fix now or before festival, we might be able to depending on the scope, but it will be considered!
DRAFT IE & FESTIVAL SCHEDULE: Check out the IE Schedule and let BKC know if you see any conflicts. All schools have been randomized within that event. We are working on a format that will be easier to view on mobile devices.
JUDGES: We currently do NOT have enough judges. Please your judges entered in the system and make sure they log in to confirm their preferences and complete their background check. We will check which schools have not provided enough next week. If you can not find a judge, you can serve as your own judge. Please email BKC so he can set you up as your own judge.
PARENTS/CHAPERONES: The option for you to add your own chaperones is still open. Please add any parents that are coming to the festival. We do not plan to sell wristbands at the festival at this time. If they do not register and do not have a wristband, they will not be allowed to enter festival events.

PARENTS/CHAPERONES: We don't 'encourage' parents to attend, but if they are going to, please register them as Chaperones in advance. I will leave the Chaperones page open until next week to get them entered. Be aware that as you add Chaperones, it will add $30 each to your state invoice.
STUDENTS OBSERVING AT STATE: There may have been some misunderstanding earlier in the year about non-participating students attending festival. If these students want to attend state, they must be registered as a member and as observing student (they did not need to be registered if they were just attending District). Let BKC know if any were left off because of this.
JUDGES: Continue to check the judges that you added to make sure they complete their preferences and mark they are available. As soon as those two things are completed, we will send them the link to complete their background check if it has not already been done at District.

REGISTRATION CLOSES WED: Registration and Voting for SVC and TOY close tomorrow (Wed 11/13) at 5:00pm. We are checking over registrations as they come in for any obvious common mistakes, so the sooner you can submit, the more time you will have to fix any potential errors. Updated Playwriting Scripts are due at this time as well as Update Programs for One-Act and Studio
STATE JUDGES: You must re-connect judges that are representing your school at state. Because many use different or fewer judges at state, we don't transfer them over automatically. There is a $500 fee for schools that don't provide the mimumum number of judges. Let us know if you have exhausted your efforts and are unable to find enough to represent your school. Let the FD know if you plan to be your own judge but can't find yourself in the system.
OBSERVING STUDENTS: If a student is not participating in any performance (IE, group, or OA-ST), they must be registered as an "Observing Student" in order to get a wristband to enter events. If there was some confusion and a student wasn't registered at District, contact the FD ASAP and we will see what can be done.
PARENTS/CHAPERONES/NURSES/ADULTS: Sponsors must have chaperones to help monitor their students at state. We recommend at least one for every 10 students. We don't 'encourage' extra parents to come, but if they are going to show up, it is really helpful to have them registered in advance to avoid a backup at the state registration and check in line. Register them as chaperones. Other adults who want to enter campus building for events must also be registered (Nurses, Bus Drivers, etc.) If you do not know their names yet, you can register with a generic name and address and update later. example "Nurse School" "nurse@CCHS.com"
EMAIL ALREADY IN SYSTEM: If you try to enter someone and it gives you an error that the email is already in the system, please email the FD for help with their name, email address, and what you are trying to do.

RECEIPTS: Several schools have asked for receipt of payment. We have added a button to knack. Go to "Invoices" tab and click on the "Receipts - Payments Received" button
ANYONE ATTENDING THE STATE FESTIVAL MUST BE REGISTERED TO GET A WRISTBAND AND ATTEND EVENTS. If students are in your Play Festival Performance or in and IE, they are counted. If students are just attending, they must be listed as "Student Observers" from the State Registration tab and so they will be counted. Adults must be in knack as a Chaperone, Sponsor, or Judge. If you know the number of chaperones you have going but do not know who they are, you can enter a temporary fake name and email address until you figure out who it will be (like bus drivers, nurse, etc.).
PARENTS: We don't encourage parents to come to state Trumbauer, but if they are going to come anyway, it is better to have them registered as Chaperones IN ADVANCE with your state registration. It was a headache at state last year with MANY parents trying to register at the check in desk.
AWARDS CEREMONY COUNTS WHEN YOU SUBMIT: This is just to give us a general idea of how many schools and people will be attending, don't stress about being exact for now. We will ask for you to update it closer to festival time.
STATE INVOICE ERROR: If you viewed or printed your invoice before noon on 11/7 AND you have observing students going to state festival, there was an error in calculation on the State Invoice that has now been fixed. We apologize for any inconvenience this may have caused. If anything else looks like it isn't correct, please let me know!

FILLING STATE CAPS: If the caps were not met at the state level, the next highest scoring events that were cut from across the state were offered the option to be passed to state. If any decline or are unable to attend, we will go to the next highest in that category so the maximum number of students and experience and attend state. Caps Details
JUDGE EMAIL: I sent the linked email to all judges in the system. Sponsors should also reach out to the judges they plan to use for state and make sure to connect them to yur state registration.
DISTRICT ATTENDANCE CERTIFICATES: Your DC should be sending you a District Attendance Certificate. You can print, complete, and scan, then go to Power School, click on "External Credit Request", then "Create External Request." This will be submitted to the person in your school or district for approval.

STUDIO THEATRE TO SETC: Alabama is being allowed the special privilidge of sending 1 Studio Theatre Performance to SETC. The ACT ExCom approved the selected performance to receive $1,000 toward their expenses.
ENSEMBLE PANTOMIME CHAIRS: The use of chairs for ensemble pantomime was not spelled out in the rules. We will re-assess this better for next year, but for this year, per our Chair, you can use a maximum of 2 chairs for ensemble pantomime groups.

JUDGES: If the only thing you are waiting on is the background check for your judges, don’t stress about it. It is a new process for all of us, and the only thing I personally have control over is sending the email with the link to the judges letting them know to complete their. Once that is completed, we have to wait on the company to process the check and then for Cindy to enter it in the system. Let me know if they have not received the link for the background check and I will resend it.
ORIGINAL WORKS AND PLAYWRITING CLARIFICATION:
Original Works must have an Originality Statement uploaded, but NOT the script
Playwriting must have an Originality Statement AND the Script uploaded
Neither one need to bring anything in print with them and give to the judges
Other Tech Categories (25-33) do not need to upload the Originality statement in the system, but need to have it included on their board, binders, or other printed materials they bring.
STUDIO AND ONE-ACT CUTTING RIGHTS: Some sponsors asked where to upload cutting rights and said they used up all the other file upload fields. We have added an optional field to the ST/OA forms for Cutting rights. It is fine if cutting rights are included part of performance rights upload. District Chairs will be checking ST/OA uploads for:

CATEGORY TIME LIMITS: We've had several questions about the time limit of categories 4, 5, and 15. IDEALLY it is 3 minutes for solo entries and 5 minutes for duet entries, but because of both being in the same category, we are not going to try to complicate things and are saying a MAX of 5 minutes for all entries in those categories. As in all the categories, there is no minimum length.

STUDIO THEATRE TO SETC!!! We have some exciting news that was confirmed today! Dr. Cocke has been working with SETC leadership on the implementation of a Studio Theatre event they are planning on piloting this year at their annual convention March 19-23 in Baltimore, Maryland. The original idea was to offer the pilot slots only to Maryland schools, but we advocated for Alabama to be allowed to take one as well and we will be the only other state allowed to bring one of our top performing state Studio Theatre shows. There are still a lot of details to work out, but stay tuned for more information! A HUGE thank you to the sponsors who helped originate this category years ago and those who continue to provide input for improvement. Alabama is a pioneer in this wonderful event and our influence is spreading across the Southeast to help provide opportunities for many other students!

ORIGINAL WORKS: The option to upload the Originality Statement when you register an Original Works event is now there. If you have already registered the event or you need to upload the originality statement after the fact, you can do this on the Event Registration Page OR the District Summary page under "PW & OW Files"
CATEGORY DISCREPENCY: Thank you to one of our sponsors for pointing out a small error. The manual had one set of dates and knack had a different. The manual is correct and knack has been updated to reflect that. This concerned musical categories #17, #18, #19, #20. The correct dates are 1980-2015 and 2016-present. Because of many different factors, the dates are more of a guideline and not meant to be hard strict rules. There is no intention for any of our chairs to disqualify anything unless it is WAAAAAYYYY off like Hamilton or Wicked placed in the pre1980 category.
REGISTRATION CLOSES Monday, October 21 at 5:00pm. Try to avoid procrastinating until the last minute and get it in early if possible. We are spot checking early submitted registrations for obvious errors that can be corrected.
JUDGES We emailed judges in the knack system at the beginning of Sept to let them know the dates for district, encourage them to fill out their information in knack, and to contact the sponsors they usually work with. Sponsors still must "connect" their judges to their school using the District Judge Tab and provide the required number of judges. In order for a judge to be used, they must: 1) mark they are available for District, 2) complete their knack info, and 3) pass background check. The sooner you reach out to them and get all this done, the better. We will probably send another reminder this week for those who have not completed their preferences yet.

PLAYWRITING: Technically, Playwriting is neither a Performance IE nor a Technical IE, but it functions more like a TE because it only has Novice and Varsity Experience Levels (no Intermediate). Playwriting events will be held on Friday. Edits were made to reflect this in the Live Google Doc of Manual.

JUDGE BACKGROUND CHECKS: Judges that have 1) completed their judging information and 2) marked they are available for District festival have been emailed the link for Spot Screening to complete their background check. Once they complete the information, Cindy will receive the results and then put into knack. You can see the status of this on your "My Judges - District" tab. If there is a yes in "BG Email?" it means they have been emailed the link. If there is a yes in "BG Clear" it means they have received a cleared status from the background check.

SUMMIT RECAP: These are the highlights from the Summit Meetings
STUDIO AND ONE-ACT JUDGES: All studio and One-Act judges have been chosen. We currently have 5 judges for each event. Demographics: 3 white women, 3 white men, 3 black women, 1 black man / 2 Doctorate, 5 Master Degree, 3 Bachelor / 7 University, 2 professional, 1 High School
SETC ORAL FEEDBACK: SETC is considering having a separate room for the cast to go to after their performance to receive Oral Feedback and planning for Oral Feedback to be given by a College Professor who is not the judge of the show. This will help eliminate fatigue on the judges and help to prevent schools from assuming any kind of placement from the judges.
SETC STUDIO: SETC is working on plans to pilot Studio Theatre productions to be passed on to SETC. If they choose to pilot this, they are proposing for Alabama to be able to send one this year. Stay tuned for details as we receive them.
AWARDS: The Best Tech award for One-Acts will be split into two awards - Best Lighting Design and Best Sound Design
ORIGINAL WORKS: The spirit behind the original works category is to give students a chance to write and perform original works. Authors of selections in the Original Work category should be current registered ACT students. If a student wants to perform a piece written by a past student, it should go in the Contemporary Acting Category.
COSTUME CONSTRUCTION VS DESIGN: Costume Construction and Costume Design are separate categories. The hope in splitting this category was to bring numbers down. Costume Design required 6 designs of costumes and they should NOT bring a realized costume to competition or their interview. Costume Construction required only one costume to be constructed and they MUST bring the realized costume to their interview. See additional rules in the Sponsor Manual.
CLASSICAL CATEGORY: For this year Solo and Duet Classical Acting are in one category. The time limit is a maximum of 5 minutes for all entries. As in all categories, students DO NOT have to use ALL 5 minutes. If this category yields LOTS of participation, discussions will be open about splitting the category in the future.
RANDOMIZING SCHOOL ENTRIES IN IE CATEGORIES: Previously because of the way the entries were exported, entries of schools were grouped together in their events. At state, we will attempt to randomize the schools within the categories.
STAGE MANAGEMENT: Stage Management will have both realized and non-realized entries this year, but the requirements for both are the same. If a Stage Manager and Assistant Stage Manager who worked on the same show both want to register, they may do so, but they must have their own books with all of the requirements and they should differ in their content.
TECH FAIR: We will have a Tech Fair this year at State from Friday noon until Saturday at 10:00am. Students will bring their materials and set up at the tech fair. When it is their interview time, they will go to the tech fair, get their materials, report to their interview location, and then return their materials to the tech fair. This will give judges the opportunity to go to the tech fair before or after their event to spend more time (if they choose) looking at the materials. College Tech Scholarship auditions will take place Saturday morning form 8 until 10. College professors will meet their students at the tech fair. At 10:00 all tech entries should be removed as the room will change over to the College Fair. Any remaining tech entries that have not been picked up will be put in the corner out of the way. District Chairs will decide if they want to have a tech fair at District Festival and how the process will work.
AWARDS CEREMONY: The order of Awards Ceremony at State will change slightly this year: Introductions, IE Awards 3,2,1; Group Acting Best In Show; Group Musical Best In Show; Studio All-Star; One-Act All Star; Studio Best Performer; One-Act Best Performers; Studio Show Award; One-Act Show Awards; Studio Best In Shows; One-Act Best in Shows
CHAPERONES: Chaperones will be registered with State Registration. We encourage you to bring a chaperone with you even if you only have less than 10 students. There were a couple situations last year where the chaperone had to tend to some important issues and the rest of their students were left unattended.
TECH CATEGORIES: Students may enter Tech categories using elements of your One-Act or Studio Shows, However, the entries must be completely created without help from the sponsor or anyone else. Students may not enter any of the Performance Categories with parts of their One-Act or Studio.

Happy Summer! I hope all of you find rest, but I’m sure most of you are preparing for your week-long kid’s theatre summer camps. If you need any help organizing that, I know a guy. There are only three major things I want to share with you today, then you won’t hear from me for the rest of the summer.
THING ONE- SUMMIT Saturday August 24th, 10:00-3:00, please put this on your calendar. This is an opportunity for you to share out what you think works and doesn’t work in your districts, and a chance to bounce ideas off of the rest of the membership. It is also a time to help the leadership team (Vice Chair, Chair, Past Chair, and Festival Director) prepare items to address for the following year. I would absolutely love to see you there.
THING TWO- THE MANUAL I cannot tell you how much time has gone into trying to make that HUGE document useful for everyone. There are some great additions this year! Costume Construction, Original Works, etc.. If you have questions or need help navigating it, please don’t hesitate to reach out and talk. The ACT board voted to hire a service to do background checks on judges and other volunteers. Cindy will compare available services. Once it is determined what service we will adopt, it is the hope that we can submit a name and say "check for a, b, and c" and return to us as "approved" or "denied" without getting involved in the details. It was proposed that if someone is denied that the president and executive director will send a letter to the person and the sponsor who recommended them to inform.
FEES
ACT will begin to charge an administrative fee for the use of credit cards. The organizaiton is currently loosing thousands of dollars by absorbing these costs.
ACT proposed membership increases. Secondary spoke loudly against increasing student membership increases at this time. The board approved Sponsor memberships to increase from $25 to $30 and organization memberships to increase from $35 to $45. These are the first increases since 2009.
JUDGES
Please be sensitive and cautious about contributing to negative stereotypes of judges from certain areas - such as Community or Theatre for Youth. Degrees and working in professional or university environments don't always equate better judges or experience.
AACT has a list of judges who went through a thorough adjudication program that we should be able to obtain. This could give some leads for out of state adjudicators or the potential for a training program to provide for our judges.
College and University Division can send out something to help increase the pool of judges that could help out with secondary.
COLLEGE AUDITIONS
College and University Division is desiring to have in person auditions in addition to the current virtual auditions. This could potentially take place Friday evening 7:00-9:00 (acting/musical)and Saturday morning 8:00-10:00 (tech), but more discussions will be needed.
COLLEGE FAIR / EXHIBITS
College and University Division is going to discuss the pros and cons about allowing out of state college to set up tables at the college fair at the state festival. An idea discussed is for any college or university wishing to set up a table would provide a workshop at the festival.
Community Division and Professional Division expressed interest in potentially setting up tables at the festival, which could move from calling it to the College Fair to Exhibits or something similar to show the expanded scope of that part of the festival and make more appealing for more students to visit.
WORKSHOPS
College and University are requesting for Secondary to provide a list of desired workshops that we can send them so they can know our desire and need for workshops that would be useful.
SUMMIT
Summit will be Saturday, August 24 from 10:00-3:00. Location will to be announced soon. ALL sponsors are welcomed and encouraged to attend.
Secondary requested to have more time to meet at Summit. If approved this could potentially be the place where praises and concerns about policy and procedure could be expressed.

Awards are being bid out this year. If you have a place in the Birmingham area that you use (limiting to Birmingham at this time for ease of pickup, check in, drop off), please let us know!
THEATRE FOR YOUTH
Theatre for Youth would like Secondary Sponsors to help let their feeder patterns know about their festivals that take place in February/March. They may be changing their festival name to "Trumbauer Jr." to increase the visibility or people knowing what it is. It is open to 4th-8th grade students and they will be expanding to 3 festivals this year - Mobile, Montgomery, and Scorttsboro.

BEST IN SHOW GROUP, STUDIO, ONE-ACT: The trophy shop is making your custom plates for these trophies and should be ready to mail out next week.
MEDALS FOR TROPHY WINERS: Technically atrophy winners don't get a medal, BUT I didn't think f that when creating the formula, so you have enough medals in your bags that the trophy winners can have one also. Just make sure yoru you have enough for the other superiors first.

BALLOT CORRECTION: When sponsors or students clicked on "view ballot" it was displaying the form connected to information. It has been corrected now to display State information.
STATE PD CERTIFICATE: If you need PD for the State Festival, complete this, go to Power School, External Credit Request, Create School Level External Credit Request, and make up the rest of the information. You do't need a Training Number. Your admin or their designee will choose to approve or deny it.

YOUR RESULTS: To access results, log into knack and click on "Comments" tab, and then the "State" button. In the lower table, click in the "approved" box to send that ballot to your student. Once you click that, your student can log into ther account to view the ballot.
RESULTS ERROR CORRECTED: There was a field that was displaying the District Average on the second table instead of the state average. We shut it down temporarily to fix it, and has now been corrected and everything should be displaying correctly now. If anything seems off, let us know.

VOLUNTEER SHEET: Click on the sheet to sign up for times you are available to volunteer. the Leadership Team is going to need a LOT of sponsor volunteers with computers during the festival. WORKSHOPS: Make sure you encourage your students to check out the workshops. Students can access the information themselves by going to trumbauer.info, clicking on the 2023 Festival page and clicking on Workshops. It will list all of the workshop times, locations, and titles and if they click on "Details", a description of the workshop, I think we made the last tweak to the workshop schedule (Shae Glenn's workshop on Friday was moved to a later time).

AWARDS CEREMONY:
First and foremost, we lost use of the large UNA Coliseum that is ideal for our Awards Ceremony because of the Robotics Competition on campus the same weekend as Trumbauer.
Space is extremely limited in Norton Auditorium and we have a LOT of Folks! Check out the Stats Here. We want everyone who wants to come to the Awards Ceremony to come, but if it's not something you feel strongly about attending, use your judgement.
We will give schools 1 ticket for every student who participated and registered in an IE, Group, One-Act, or Studio. We will also give each school 1 additional ticket for an adult for every 10 students, rounded up. There will be ticket takers at the doors to Norton Auditorium collecting tickets. Only those with a ticket will be allowed to enter.
Students who came to observe and other parents or chaperones who do not have tickets will not be allowed into Norton, BUT will be able to watch a Live Stream of the Ceremony on the Big Screen in the Mane Theatre, the Band Room, or the Choral Room and can celebrate with everyone after the ceremony is over.
Sponsors will be able to pick up tickets Saturday after 12:00. We ask that you return tickets that you will not need and not distribute to other schools.
You can see how many tickets you will receive by going to knack and clicking on the State Summary tab. Also note your pay status while you are there. We are entering payments as they are received. If yours does not say "Paid In Full" or "Approved", you need to send proof of payment to trumbauer@altheatre.org.
Seating in Norton will be first come, first served. 15 minutes before the awards ceremony, we will ask everyone to slide in and fill in any vacant seats leaving the ends of the row open so we can allow more ticket holders to enter.
The Award Ceremony is set to begin between 5:45 and 6:00pm Saturday. They will be live streamed on the UNA CINEMATIC ARTS AND THEATRE FACEBOOK PAGE

AWARDS CEREMONY: There are major concerns about Awards Ceremony seating capacity. We are unable to use the Coliseum due to the Robotics Competition. Norton Auditorium can seat 1,500 with an additional 200 on stage. The connected Black Box can seat 150 with projection screening. The Mane Theatre can seat 300 with projection screening.
In knack, there is a tab that says "Attendance Plans." Please update your answers as accurately as you are able. Do this by 5:00pm on Monday 11/27 so we can get a more accurate count of planned attendees.
If you and your students plan to attend the awards ceremony, we are putting a trust system in place that you will be accommodating and do what is right for the students and the greater good. We are asking:

DISTRICT BALLOTS: Go to Knack / "My Comments [sponsor]" / "District". The top table shows how each event scores. The bottom table shows all of the individual ballots. When you click the box marked "Approved", it will send that comment to the student so they can view it by logging into their knack account. If you do not do this, the student will not be able to see it. If there is a comment that is inappropriate, you have the ability to edit it.

EXTRA STUDENTS TO STATE (manual pg 10)
Student Members who are NOT participating in an IE or in a performance at the State Festival must pay $10 to attend the State Festival as an observer.
Extra students attending the State Festival must have already been registered as an ACT member for the District Festival for the current year. Sponsors may not take students to the State Festival who did not originally participate at their District Festival.

CREDIT CARDS: The credit card system is back up and ready to accept payments if that is how you are choosing to pay your District Fees. Click on Invoice, Distirct Invoice, Scroll to the Bottom and click "Make Payment with Credit Card." Enter the total you want to pay and then click "Next to Credit Card Information". You may need to refresh the page before it will allow you to enter your credit card information.

JUDGES AVAILABLE FOR DISTRICT: FYI, I sent this email to all judges in the system that marked they are available to judge for District Trumbauer. If I get any responses back, I will forward them to the District Chairs: Hello, You have previously completed your District Trumbauer judging preferences and marked that you ARE available to judge for District Festivals on Saturday, November 4. If this is still the case, you do not need to do anything at this time. One of our District Chairs should be reaching out to you within the next week with specific details, although most will need you to plan to be at the Festival from 8:00 until around 2:00. IF YOU ARE NO LONGER AVAILABLE, or if that changes between now and 11/4, respond to this email and let me know ASAP.
PAYMENTS: Tend to your District Invoice and get the payment processing. The credit card option is not currently working correctly - we have knack troubleshooting the issue. If you are submitting a PO please send Brian a scanned copy of the PO or check and MAIL IT - Do NOT plan to give it to the District Chair.
REGISTRATION CLOSED: Registration is OFFICIALLY CLOSED at 12:00pm! Contact your District Chair immediately if you have any issues or concerns with your registration.
COMPLETE: Students and Judges can still complete their preferences and membership information. Titles of pieces may still be added on the District Summary Page.
DROPPING AN EVENT: If you need to drop an event that will not come to District, go to the District Summary Tab, find the event, and click the Drop box at the end. You will still be charged for this event, but it will remove them from from the DC so they are not scheduled and the judges are not waiting on them.
JUDGES: some of you may notice a new judge connected to your school. These are judges that completed their preferences and said they are available to judge, and said they have previously judged for your school.
JUDGES NOT COMPLETE: I emailed all of the judges in the system connected to a school that have not completed their preferences. - You have been invited by a School Theatre Sponsor to judge for the District Trumbauer Festival on Saturday 11/4, but you have NOT completed your judging preferences. You will NOT be able to be assigned as a judge until you have completed this. NOMINATIONS FOR SVC and TOY: Nominations for SVC State Vice Chair and TOY Teacher of the Year are now open! Go to knack and click on the “Nomination” tab. An email will be sent to the nominee letting them know they have been nominated, but does not tell them who nominated them.
ELECTIONS ARE A TWO-STEP PROCESS
Nominations – ACT members suggest other ACT members who would be great for these honors. Nominations begin now and ends November 6 at 5:00pm
Voting – each active ACT member can cast one vote for TOY and one vote for SVC. Voting begins November 8 by 5:00pm and ends November 15 at 5:00pm
IF YOU ARE NOMINATED FOR SVC: Nominees will receive an email letting them know of their nomination, but will not know who nominated them. If the nominee does NOT accept the nomination, they need to email the festival director declining the nomination. Nominees will be requested to make a short video introducing themselves and what they can bring to ACT and Trumbauer.

As schools submit their registration, Brian is doing a quick scan for any issues. You may already know about and are tending to them, but we are trying to catch any issues early. Because registration is still open, schools may unsubmit their registration, make corrections, and re-submit. This option will go away Monday 10/23 at 5:00pm and no changes will be able to be made unless there is an extenuating circumstance and the District Chair approves.

PRESENTING TRUMBAUER WORKSHOPS
We’ve had several folks reach out about wanting to present student workshops at this year’s state festival. We are just now in the beginning stages of putting this together, but if you think you might be interested in presenting a workshop, please fill out the attached Google Form and we will send you more detailed information in the next couple of weeks.
After you complete the form, Go ahead and start gathering the information below for the followup email when it is sent:
1) A short bio introducing yourself and your experience to be included in program
2) A creative title and description for your session(s) explaining what will be covered
3) Any space or equipment needs you may have for your workshop
4) Your availability Fri 12/1 and Sat Dec 12/2
REGISTERING STUDENTS
We're getting A LOT of messages about trying to enroll students and the system saying their email address is already in use and I'm also seeing a lot of duplicate students. If a student participated in Trumbauer last year, they are still in the system!
DO THIS: Click on Students Tab / then the button that says "INACTIVE STUDENTS." If they are participating this year again, them to "Active" and update any necessary information.
If you have entered a duplicate student, Brian has to delete them. We recommend marking them as inactive and changing their name to something like (last name: delete, first name: del1) or anything where they might not get confused when you try to register.
Once you have your students in the systme and active, instruct them to go to trumbauer.info and complete their registration information

JUDGE COMMUNICATION
As you communicate with your judges, pointing them to trumbauer.info and the Judge option may be helpful.
Encourage your judges to secure working devices and also encourage them to test out using their phone as a hot spot in the event of trouble connecting to your District's wifi.
THEATRE FOR YOUTH
If you have a feeder pattern from the Elementary or Middle school with students in 4th-8th grades, let them know about ACT's Theatre For Youth (i.e. "Trumbauer Junior"). Getting your feeder programs involved can be a great recruiting tool and build the excitement for Trumbauer when they come to your program. TFY is not restricted to public/private schools like Trumbauer and can involve community groups.
WORKSHOPS
If you would be interested in presenting a workshop (or two) at our state festival, please email trumbauer@altheatre.org. Workshops are 50 minutes in length and will be presented at various times throughout the day on Friday and Saturday of the State Festival. They should be of interest to HS students and can be presented in a lecture hall style or open floor participatory style.

There will be a video walk through of the theater and spaces coming soon. District chair will share.
Robotics competition will be there (3,000 peeps) They will be in another part of the campus, but will still be taking up spaces/food/parking resources.
UNA Black box is being used for group acting. Recital hall will be for Group Musical
One-act performances will be in Norton Auditorium. Load in area and storage for one-act sets, etc are extremely roomy and can fit several schools.
Parking for busses will be available across from Norton.
Studio performances will be in UNA’s small music venue where they teach recording. It’s called the MANE Room. It’s an open audience space and they will bring in chairs for the event. You can go to UNA’s music industry page to see it—Stage size: 30ft by 16 ft. There is no backstage. There is a curtain on one side and stairs on the other. Lights can be up and down only for Studio, but the venue has theatre type lighting. There is an alleyway where the schools can use to unload, but not park.
Brian will send out info on the new message board option to make communication more accessible at state.
UNA plans to beef up internet access and will be offered to teachers AND students. District chair will get that info and send it out.
There is a plan for parking, but could still possibly change, however, there is a solid plan for food trucks.
For future Trumbauer: Hopefully moving toward a rotation of locations for State Trumbauer.

Virtual Scholarships: Don’t have to attend Trumbauer but need to be an ACT member This year will have ——3 performing scholarships—2 tech students scholarships (colleges dying for these. Lots of jobs for techies). College plans to send out how to audition video; and they are extending video audition length time to 5 minutes. The videos will be on the trumbauer.infowebsite. Callbacks are only if college(s) is(are) interested, they will not be meeting students and do callbacks in person at Trumbauer. They will meet with the colleges in person AT the college when contacted— they will be letting the teacher know about their interest in the student and/or contacting the student as well.
AT STATE, to avoid crashing the system, we will stagger the beginning of events so they are not overloaded. We will push judges to stay on time.
Wondering if a piece is Comedic or Dramatic——Teacher decides by what it sounds like. If it sounds dramatic then it’s dramatic and vice versa.
LOOKING FOR WORKSHOPS: Premier presenters may be compensated—they do only one session.
STUDIO: Can turn lights up or down only. The show should be able to perform in a classroom. Judging is based on PURE PERFORMANCE not technical elements.

I hope all of you are having a great, smooth transition back to the old education mines! I want to re-introduce myself to you all, my name is Jordan DeWitt, this is my 5th year teaching at McAdory High School, and I am your Secondary/High School Division State Chair this year.
If we haven’t met in person, I look forward to meeting you at our Fall Summit on Saturday, August 26th (9:00am-3:00pm), at Samford in Birmingham. If you haven’t registered for Summit yet, you can head over to this Google form, and make sure that you do! We will be discussing Trumbauer, of course, and following the summit, there will be a training for District Chairs on the new fully online registration and scoring system. We had great success piloting the online balloting system last year (thank you Brian, you numeralogical savant), and look forward to rolling it out to all District Festivals this year.

All emails that we send, and some we don’t, will be listed in the feed on the Sponsor page. We are still working on revising the technical event guidelines and compiling a series of examples and how-tos for students and teachers without practical tech experience, that will hopefully be ready to be voted on next year.
Brian, Megan, Chris and I visited UNA towards the end of last semester, and we had a very fruitful, exciting exploration around their campus. If you haven’t been since Trumbauer was there last, the campus has really expanded and filled out, and there are copious venues for Individual Events, a truly kickass auditorium, and they’re going to be bringing in food trucks for us!
As District inches closer, I encourage you to reach out to your district chairs, they will be able to answer your questions in a quicker, more district-relevant fashion than Brian or I can, and if it’s a larger concern, they will pass it on to us.

On the State Summary Tab, Look at your wristband count. Is it what you expect it to be for your chaperones and students? If not look at rest of summary to figure out way and let me know what we need to do.
TIME CONFLICTS
Please let me know if there are any time conflicts with the schedule. I don’t mind moving them in advance and would like to try to resolve as many conflicts on paper before day of festival so there will be less on when we get started.
JUDGE LAPTOPS
Remind your judges about bringing laptops AND their chargers. Chromebooks and iPads should also work. Bring both if they want! Laptops must download a security certificate in advance. This can be found on Trumbauer.info, click on Judges. Chromebooks and Ipads will go to a special link when at Troy.
JUDGES
Click on the Judges tab and scroll to the bottom table to see if you have the correct number of judges and if they have been assigned. Remember there is a $500 penalty for not providing the correct number of judges.
Keep checking your times as we are making slight adjustments here and there. Hope to cut off all adjustments by tomorrow afternoon.

PARKING
There is a football championship game on campus - think 35,000 people
The game begins at 2:30 and since it is televised will last until 5:30-6:00
Parking on Saturday will be a nightmare. It is HIGHLY RECOMMENDED to come to campus early on Saturday and stay the whole day and do not leave.
Parking may be different than initially planned. We don’t have a solid answer on that. Stay tuned for information and/or look for signs when you arrive campus
AWARDS CEREMONY
Begin walking your students to the Trojan Arena between 4:30 and 5:00 to get seated for the awards ceremony
We plan to start the Individual Event Awards Ceremony around 5:30 even if One-Act Tabulation is not complete by that time. After all IEs are announced, there will be an intermission and the Group, Studio, and One-Act Awards will follow
The Awards will be live streamed for those who choose not to stay
If you do not plan to stay, get another school to pick up your award bags for you.
COMMUNICATION DURING FESTIVAL
Plan to use trumbauer.info for all information during the festival for live updates. I will be working on streamlining it and making sure all information I have is on there.

Registration cards will be in your sponsor packet. Return the ones for students who did not show up or are dropping their events so we can enter them in the system.

Tie up any loose ends you have with State Registration. I'm leaving it open until the morning, probably about 9:00. Let me know if you need any help. When you are certain you are FINISHED, make sure you click the Tab that Says "SUBMIT STATE REGISTRATION."
STUDENT WRISTBANDS
Check Your "State Summary” tab and #S Student Wristbands. This is the total number of wristbands that will be included in your packet. There was an error in the formula that Joey Plaia pointed out and it has been corrected, so it should be calculating correctly. Every student in your IEs and One-ACT or Studio Performance should receive a wristband and be counted in that number.
Print this parking pass and display it in the window of all vehicles that will be on campus to prevent a Troy parking ticket. Make sure your chaperones and judges have this also.

CAST, CREW AND TECHNICIANS OF ONE-ACT AND STUDIO
Make sure all students participating in your One-Act and Studio - Cast, Crew, Technician, etc. - are listed in the Students section for your registration. That is part of how we will count for them to receive wristbands.
PROGRAMS FOR ONE-ACT AND STUDIO
I have all Programs and Cast Lists for One-Act and Studios printed for the judge binders. These are worksheets for the judges and basically the first impression that they will have of your performance. They are supposed to be there to help the judges identify students and check off things such as All-Star Cast and potential for other awards.
Please make sure your school name is NOT on your program.
Take a look at yours and if you want to redo it, send Brian an email with the new attachment.
JUDGES
VERY IMPORTANT: IF A JUDGE MARKED THEY ARE AVAILABLE FOR STATE BUT ARE NO LONGER AVAILABLE, CHANGE THAT IN THE SYSTEM! Otherwise they may be assigned to a category, and it will cause MAJOR problems the day of state.
Tell your judges to click on “My Info [judges]” click on “edit my info” and make sure the boxes are checked for available for state.
They will NOT be assigned if they do not have their availability marked correctly.

We have been in a whirlwind all week and forgot to send out a reminder about nominations for TOY Teacher of the Year and SVC State Vice Chair. Chaperones
Chaperones are not kept up with for District Festivals. When state registration opens, a tab will appear for sponsors to register chaperones that will attend state festival.
Each school should have at least one chaperone registered for every 10 students attending the state festival at $25 each, paid with state registration. Sponsors are responsible for registering their chaperones.
Chaperones should be there to assist the sponsor in helping monitor and manage students. Chaperones are welcome to attend events, but Trumbauer is designed for the students' experience and parents are not allowed to go exclusively as observers. Chaperones may be asked to leave crowded events to give students the opportunity to view them. Parents not registered as chaperones may not attend the state festival.
Exceptions to the number of chaperones may be approved by the state chair or festival director if there is proper justification.
Extra Students to State
Student Members attending State Festival who are not participating in an IE or in a performance must pay $10 to attend the State festival.
Extra students attending state must have already been registered as an ACT member for District festival for the current year.

Invoices
You can view your state invoice that automatically calculates all state charges by clicking on the “Invoice” tab
If you had a balance from District, it will appear and calculate on that tab as well.
MAKE SURE YOUR REGISTRATION IS CORRECT ON THE “STATE SUMMARY” BEFORE SUBMITTING AND TURNING IN PAYMENT INFORMATION TO YOUR BOOKKEEPER.

JUDGES
Jordan and I are preparing an e-mail to send to all judges in the state that marked they are available to judge State Festival to confirm they are still available and planning to attend. You probably need to reach out to your judges sometime this week as well.
You will have to have the correct number of judges entered in the system that 1) completed their registration and 2) marked they are available for Fri and or Sat of State before you are allowed to submit registration.
PLAYWRITING ENTRIES
Any updated to playwriting entries must be made and re-uploaded into the registration system before the close of State Registration. Whatever is uploaded in the system at that time is what the judges will review.
COMMENTS
If you are in D6, your comments are now available to both you and your students. Just log in and click on Comments, and then District Comments.
If you are not in D6, you and your students can click on the “Comments” tab and see your scores, rating, and if they are passed to state.

Please remind and help your seniors apply for the ACT Scholarship if needed. Remember, it's three $1000 scholarships in performance (acting or musical theatre) and 1 $1000 for technical theatre. I sent an invite to all seniors registered earlier but many bounced do to blocks on their accounts.

Playwriting Submissions, A sponsor asked about originality statement for playwriting, which is something I forgot/didn’t realize. I have created a way to upload it in the system with the steps below. Sorry about the trouble!

Sponsors, This is a friendly reminder that Registration closes Tomorrow at 5:00pm (Wed, Oct 19). Below are a few things to check!
· JUDGES
o Make sure you have Input the correct number of Judges
o Make sure each judge has logged in, completed their judging preferences, and marked they are available for District. If they don’t do this, they won’t count toward your # of judges. Instruct them to go to Trumbauer.info, click on judges and follow the instructions
· STUDENTS
o All students NOT participating this year are marked as “inactive.”
o You have informed current students to go to trumbauer.info and follow the directions for completing their registration. They no longer receive an email with instructions telling them what to do.
· IEs
o All registration is input and the information has been triple checked to be correct.
o Make sure you do not have more than 6 registrations in each section of each solo event, 3 registrations in each section of each duet event, 4 registrations in each section of each technical event, 3 registrations in each group event.
o Enter all student selection titles. This can be completed after registration if need from the District Summary tab. The sponsor can do this OR instruct students to log in, click on their “Registration” tab, and enter the name of their piece and author/show.
· PLAYWRITING
o Make sure a file or link is attached. If it is a link, make sure it is set to “anyone can view”
· ONE-ACT / STUDIO
o Make sure your program/cast template and performance rights are attached
· PAYMENT
o You have clicked on District Invoice, ensured everything is correct and have made arrangements for payment.
o If you don’t think the payment will get to us in time before the festival, scan a copy of the signed PO or picture of the check and send it to the festival director.
· ADDITIONAL SPONSORS
o All additional sponsors have logged in and confirmed their membership
· SUBMIT
o Once everything is verified to be accurate, click the “SUBMIT DISTRICT REGISTRATION” tab and submit your entries.

JUDGE REQUIREMENTS: The purpose of the statement in the handbook is to encourage sponsors to bring enough judges so that we have enough to cover all of the events. There have been sponsors in the past that just haven’t made an effort to get the designated number of judges, which is definitely not ok and that is why the $500 fee is listed as a consequence. To my knowledge ACT has never had to charge the $500 fee because the sponsors have always come through with solutions.
I don’t think any District Chair or State Chair would ever “force” anyone to judge, especially if they have brought the correct number of judges. If we were short judges, we would ask if anyone would be willing to step up to the plate and judge or arrange for the other judges to judge multiple categories.
With our database now keeping up and retaining judges from year to year, I personally email ALL judges in the system early September and ask them to go in and set their preferences. Among all of the other questions, they are asked to select their availability (district, state Fri, state Sat) and what District Festival is closest to them. After District registration closes, if there are judges that have completed their forms that are available for District but are not assigned to a specific school, I will attach them to the school of the District Chair for extra judges to use at their disposal.
With all of that said the ACT Community Festival is the same day as District, so we don’t know how that will affect the judge pool.
I hope this helps! I know the statements sound harsh, but we’re not trying to punish anyone! Here is the exact wording from the manual:
PROVIDING JUDGES
Each school will be required to provide and register judges for District AND both days of State Festival according to the number of individual Events entered in the competition. At State, if a school brings a judge that is only able to judge on Friday, then the school must bring another judge for Saturday.
1-25 IEs = 1 judge 26-50 IEs = 2 judges 51 + IEs = 3 judges
If a sponsor is having difficulty locating a judge, they should contact their District Chair for recommendations.
Sponsors must serve as their own judge if they are unable to find someone else. Sponsors may NOT adjudicate their own students.
Sponsors must inform judges to log into the registration system with password “12345” and complete their information and judging preferences. They will not be able to be assigned as a judge unless this is completed.
A penalty fee of $500 per judge will be enacted on a school that fails to provide the satisfactory number of judges needed for the Festival. Schools will not be allowed to participate until the fee is paid.
Judges may adjudicate events in which that school’s performers are participating as long as they have NOT WORKED WITH and/or know the performers personally.
We have started brainstorming and playing with the state schedule and have debated whether or not to share our initial thoughts. First and foremost - Nothing is set - these are merely thoughts we are considering. We will have to see how numbers pan out from District and then how many make it to state, so we don’t know 100% if these will even work or not.

Schools without Technical or Group events could come in Friday night or even early Saturday morning
Most Judges judging Technical Events and Group Events would only have to be there Friday, or we could also use them Saturday for additional events
This will give the online ballot system an additional small scale run at state before the bulk of the events on Saturday
With the group events expanded and covid restrictions lifted, we plan to have at least 50 or more chairs set up in the group events for students to be able to watch. The rooms are large so we will see how many we can fit without overcrowding.

Once we get numbers finalized and a schedule developed, we are going to send out a survey to get an idea of when schools plan to come in and leave and such. If we see a lot will still come in on Friday, we may look at scheduling some workshops Friday afternoon/evening or finding other ways to keep students occupied.
In the survey, we will also ask about how many plan to attend the awards ceremony. There could be a dilemma (holding breath with fingers crossed) where Troy’s football team may make the finals and the Coliseum will not be available…so the awards ceremony may look REALLY REALLY different if that happens.
If a schedule similar to the above happens, we will look at alternatives for the traditional Thursday night sponsor meeting and see if anything else needs to be adjusted. There is so much up in the air at this point.
Great Check in Chat tonight for those of you who were able to make it. Just a few questions that came up:
CHAPERONES: We do not keep up with chaperones for District, so there is not worry about putting them into the system right now. When STATE registration opens in November, a "Chaperone" tab will appear at the top and you can enter you chaperones at that point. We recommend the standard of 1 chaperone per 10 students. Try to be selective of chaperones and select ones who will actively help supervise and help tend to your students.
PAYMENTS: If it gets close to District Festival and we have not received your payment yet, we will ask you to send us some kind of documentation that you have submitted everything and the payment is on the way, such as a scanned copy of the PO, check, etc. If we receive this, we will mark your account as "Approved to participate." Mail your payment or pay online with a credit card. DO NOT give your payment to your District Chair - Many payments in the past became lost in the chaos of District Festival Day. If we do not receive your payment and you have not communicated with us, there is a good possibility your school will not be able to participate at District Festival. Communication is key!
JUDGES: Make sure you have enough judges secured for your school. Judges must go in and set their preferences before they will be counted for your total. Once you have connected the judges to your school in knack, tell them to 1) Go to https://trumbauer.info/ 2) click on “Judge” 3) Follow instructions under “Setting Your Availability And Preferences” YOU WILL NOT BE ABLE TO SUBMIT YOUR REGISTRATION UNTIL YOU HAVE ENTERED YOUR JUDGES AND THEY HAVE SET THEIR PREFERENCES AND THEY HAVE MARKED THEY ARE AVAILABLE FOR DISTRICT.

Alabama Conference of Theatre (ACT) is in the process of updating our official website site, but the process is taking longer than expected and the admin does not want to do any significant updates to the site until the new one is completed. I reserved the domain trumbauer.info through Google Domains and created the current website via Google Sites so our theatre sponsors across the state can have access to the most updated information. This was only setup on 10/5 and it redirects to the https://sites.google.com/altheatre.org/trumbauer site so it may be taking time for the security settings to populate, regardless, the theatre directors need access to this site. Limit Summary. If a school has more of registrations than allowed, they will be contacted and asked which they want to remove. If registration has closed, they will still be charged for the over-registration. Check them carefully before registration closes.
Solo Entries - 6 entries per level for each event
for example, a school could have 6 novice pantomime, 6 intermediate pantomime, AND 6 varsity pantomime, 6 musical novice pre1975, 6 musical novice pre1975 intermediate, and 6 musical varsity pre1975, etc.

Before submitting your district invoice to your bookkeeper, I would recommend checking all of your numbers for accuracy. I think I have all of the formulas correct, but the company has moved to a new platform and I have caught some filters that were not working properly that I had to contact them about. They promptly fixed the problem on their end, but there could be a possibility there are some I have not noticed.

District 7 Festival will be at Snead State Community College in Boaz. District 2 Festival will remain at Corner High School.
I have added a button in the registration system for Playwriting and have removed the attachment fields for the Technical Events to make things a little more clear.
Answers to a few questions we have had...
If you have a Group Pantomime performance, it can be registered under Group Acting. However, be aware that these will be competing with regular group acting pieces with dialogue.
If you have a Novice student that is paired with an Intermediate student and they are performing a duet together, Still register the novice student as novice. When you register the duet event, click on the intermediate option and select the two students from the list.
We've had some questions about category date changes and such. This is a CATEGORY COMPARE CHART shows the category changes from 2019, 2021, and 2022. At the bottom, you can compare the MAXimum number of events that can be registered. We monitor registration numbers annually to see if adjustments need to be made to balance out the categories.
The scene shop ceiling at Troy is 10 ft high and the door way is 8.5ft. Although there are some 10x10s with a higher height in the wings of the main stage, we can not guarantee that you will receive one of those. Make sure your set pieces can accommodate the scene shop height.

STATE ONE-ACT INFORMATION – TROY UNIVERSITY
Several have already been asking for this information. We will send out again with the formal document after the Site Visit to Troy.
LOAD-IN AREA
Dimensions: Loading dock platform is 28” above pad level.
Platform is straight on to stage with one door measuring 10’ wide by 8’ high.
The dock can handle one truck.
The deck is covered for unloading in rain.
Dock is at stage level and is on stage right side.
Deck Loading Door Dimensions: Width: 10’ Height: 8’

A Couple Extra Things...
There was a typo in the post below that has been corrected now. The date of District Trumbauer Festivals is Saturday, November 5 (unless otherwise specified by your District Chair).
Judges will be instructed NOT to count off for things such as if a male performs a female song/monologue, or female performs a male song/monologue, however, copyright laws state that words/pronouns in a song can not be changed to reflect the opposite gender performing the song. Whether or not the judge will notice, mention, or count off depends on the individual judge.
Stage Management entries MUST be an actualized production that the student worked on. It does not matter if the production occurred in the student's school or another venue such as a community theatre production.
There was a typo in the acting categories that has been corrected in the manual: #08 & #09 Acting categories are 1975-2004; #10 Acting Category is 2005-present

JUDGES: ACT Fest (Community Theatre) is November 4-6, the same weekend as district festivals. Make sure you reach out and check your judges availability early as this may impact the judges you normally choose to use.
THEATRE FOR YOUTH: Did you know ACT has a relatively new Theater for Youth branch, lovingly referred to as mini Trumbauer, for students in grades 4-8? Involvement in this program can help students get excited and prepare them for participation in your programs when they get older. If you know of a Middle School, Elementary school, or community Drama Group that serves the students this age, please send us their contact information or have them complete this Google Form so we can offer them more information.

SUMMIT RECAP
We had a great secondary meeting at Summit on August 20th with a nice turnout of sponsors, and we missed those who could not join us. Since all decisions were finalized earlier in the year, it was just a general question and answer session. Please feel free to reach out to us if you have any questions. Thanks to Jane Ganey for the summary points below:
Nothing has changed since the draft manuals were sent out earlier in the year
We were lienent last year, but if you do not provide a judge this year, the $500 fee will be in effect
SETC Scholarships:
There were very few applicants for the SETC scholarships that send students to the March conference. Teachers can recommend one student
They must 1) be recommended by a teacher 2) have plans for academic theatre experience in future and financial need 3) complete the application 3) be submitted by the deadline in November.
More information will be sent out soon.
State is in Troy this year and we are continuing to look for a 2023 location
D6 will pilot the revised online ballot system this year at Thompson
Think of who you would like to nominate for the next secondary Vice Chair
Dates for the various categories are more or less guidelines to help distribute numbers. Use your best judgement where the piece fits best and try to keep as close as possible, but we do not anticipate disqualifying anyone for this
“All entries must be suitable for high school students, their school, and community with regards to language and subject matter. Violation of this is subject to disqualification by the District Chair or Secondary Chair.” – This has always been in the rules. We try to trust our sponsors to verify the pieces the students will be performing and make sure it is appropriate for their situation. If it makes it to state, we trust sponsors and districts have done their due diligence here.
Musical Selections “must come from a musical play, revue, or a musical movie”. – This has always been in the rules. Avoid “musical-style” pieces that have not appeared in musicals or musical movies. They may receive a DQ.
Senior Auditions will remain online. The College and University Branch is working on “How To” videos. Last year’s submissions were very low.
Note in the manual that caps of events going to state have lowered from 50 down to 40 in performing IEs and 40 down to 30 in technical IEs. The only events that surpassed these numbers last year were: Solo Acting Contemporary Dramatic (1964-present); Solo Acting Contemporary Comedic (1964-present); Solo Musical Contemporary Dramatic: Ballad (1964-present); Solo Musical Contemporary Comedic: Uptempo (1964-present), and Costume Design. The dates for these categories have also been adjusted slightly to help distribute numbers.

One of our Studio Theatre specialists worked on revisions to the new Ensemble Section of the Studio Rubric and we missed the email with those revisions, therefore they were not in the draft manual when the District Chairs originally voted. We have listened to your feedback and observations from last year's festival and thoroughly cleaned up the manuals by streamlining them, removing things that were duplicated in multiple places, clarifying many things that were previously practiced but never specifically spelled out, and incorporating many recommendations from your feedback to make this year the best festival ever! Student Levels: All student levels have been updated. If they were in a Technical Event as Novice, they have been moved up to Varsity. If they were in a performance event as Intermediate, they have been moved up to Varsity. If they were in a performance event as Novice, they have been moved up to Intermediate. There could have been a few errors - for example - A novice students in a duet category with an intermediate student could have been moved up to Varsity instead of Intermediate.
Student Grades: All student grades have been updated. If they were in 12th they moved to graduated. 11th moved to 12th. 10th moved to 11th. 9th moved to 10th. If a student was retained, you must move them back manually.

Trophies & Awards: All missing medals, trophies, and trophy plates that we know about have been distributed. If you are still missing anything, let Brian Cocke know immediately.

Transparency Document: In the spirit of transparency, the Secondary leadership team has reviewed all of the survey response and feedback we received and made notes created this Trumbauer Transparency 2021. I found about 30+ score sheets in the system that weren’t connected to a school so they weren’t showing up for you. I went in and added your school, so you may now have more feedback than you had before.
I found about 10 written sheets that were sorted incorrectly and sent those to who they affected.
I had a formula: “If [cell] is greater than 39.5 then S, if not then E” Sound right? Actually not - 39.5 is not greater than 39.5 so it remained an E. It should have said “if [cell] is greater than 39.4”. So that means that if you have a student who received a 39.5, it showed up as an Excellent, but they should have gotten a Superior.
