2025 Horizon Jazz Festival General Information

Schedule

The festival schedule will be posted as soon as possible following the registration deadline. Deadline for registering for the 2025 Horizon Jazz Festival is October 31st , 2024.

Rules

You will have a maximum of 25 minutes to set up, perform, and tear down. Please plan your performance accordingly. Adjudication will take place by 2 judges. These same 2 judges will also work with your group in a 25-minute clinic. A video recording of the performance (free of comments) and the clinic will also be provided.

Arrival/Equipment

The staging room will be congested due to traffic and the number of students using it. To minimize the number of ensembles in the staging room, please do not unload into the staging room more than 90 minutes prior to your performance time. If you wish to arrive earlier than that, please contact the festival coordinator Mr. Goodmanson to make arrangements. Unloading of equipment takes place just outside the Auditorium entrance. For safety, please instruct your bus drivers to arrive to the unloading area traveling from the main entrance and facing north while you unload. WE CAN NOT BLOCK BOTH LANES OF TRAFFIC FOR SCHOOLS TO UNLOAD. As the “Hawk Drive” is an active passageway, buses and equipment vehicles are not allowed to park in the traffic flow for an extended period. Once your group has unloaded, please instruct your drivers to immediately move to the recommended parking areas for school vehicles ( across the street at the V-Mac aquatic center). Upon entering the building, please have your students take their instruments into the Auditorium entrance to meet their guide to be escorted into the staging room for ensembles prior to performance and before/after their clinic periods. At times, we may have as many as four or five ensembles sharing the room. As multiple ensembles will be utilizing this room, please have your students place their instruments, cases, and belongings together using as minimal floor space as possible. As many instruments look similar, please have all your equipment labeled to avoid confusion of ownership. Please instruct your students to be mindful of other groups utilizing this space and the traffic flow areas between rooms. Our student hosts will assist in the movement of groups between areas.

For courtesy of the ensembles and classes that are in the performance and clinic rooms, there is NO warming up/instruments to be played in the staging room.

A general rule to allow for a more efficient traffic flow: please allow ensembles moving to warm-up, performance, or clinic rooms to complete their movements before ensembles that are loading/unloading make their movement.

Upon arrival, please bring 2 copies of Personnel Sheets, Stage Diagram, and Repertoire Sheets to the check in desk located in the Auditorium lobby. Our student hosts will meet you there and escort you and your ensemble with the walkthrough of the venue and room layout with you.

Warm-up, Performance and Clinic Locations

Our Choir room will be used as the warm-up location. Minimal equipment will be available for your use in the warm-up location (stands, chairs, piano, drum rug, amps, and power strip). Groups will be allowed to use the warm-up room starting 25 (twenty-five) minutes prior to performance time. The Auditorium will be used as the performance location. Standard rhythm section equipment will be available for your use in the performance location, you may bring your own cymbals if you would like. Please see the stage diagram for equipment provided. Stage will be set with two tiers of risers. Please submit a Stage Diagram when you check in. Groups will be allowed 25 (twenty-five) minutes of performance time. Please allow only Horizon designated stage crew to operate auditorium sound equipment.
The Band Room will be used as the clinic location. Immediately following your performance, your student host will lead you and your students from the stage to the clinic location. To ease in set up and assist in providing your group maximum clinic time, the following will be provided in the clinic location: stands, chairs, piano, vibraphone, drum set with cymbals, bass amp, guitar amp. If you have any questions on the equipment being provided, please contact us.

Following your clinic

We encourage you to and your students to attend other performances. We strive to maintain a professional concert atmosphere for each ensemble and will not tolerate disruptive behavior in the crowd. Please visit with your students about this expectation.
As multiple groups will be sharing the staging room, please pack your cases and other equipment immediately following your clinic. Even if you are choosing to stay to watch other ensembles, we ask you to coordinate to load your larger equipment and instruments back to school vehicles before returning to become spectators. If choosing to load your vehicles, please instruct your drivers not to pull up to the loading/unloading area until your band is ready to load. Again, extended standing or parking is not allowed. Once again, a general rule to allow for a more efficient traffic flow: please allow ensembles moving to warm- up, performance, or clinic rooms to complete their movements before ensembles that are loading/unloading make their movement.

Stage Set up

Bands: Included in this packet you will find two stage set up diagrams. One that is the standard set up which fulfills the majority performance demands of any given ensemble. The second diagram is for the director to include any changes to the stage set up. For example, removing extra stands and chairs that are not needed. We will not make major changes to the rhythm section due to the time limit and sound check. Percussionists may bring their own cymbals if they so desire. A keyboard amp will be available, in the performance venue only, for those groups who request one. Please allow only Horizon designated stage crew to operate auditorium sound equipment. Choirs: We have enough handheld corded microphones for 20 singers if you have more than that you will need to use the group microphone set up. We will only have band platform risers not choral risers for the performance. Please fill out the stage diagram for your performance needs. Please include the total number of microphones. If you have any other performance needs such as backtracks and movement space, please communicate with Mr. Goodmanson to make accommodations. As with the bands, we will not make major changes to the rhythm section due to the time constraint. Please allow only Horizon designated stage crew to operate and move auditorium sound equipment.

Spectator Parking

As our classes will be in session during the festival, festival parking will be at a premium! Limited handicapped parking is available immediately outside of the Auditorium entrance and across the street at the V-Mac Aquatic Center . Cars parked not in a parking space or blocking crosswalks will likely be ticketed.

Restrooms

Multiple stall men’s and women’s restrooms can be found in the lobby of the Auditorium lobby.There are no changing rooms available for groups in the Music hallway or backstage. Please advise your students so that they may plan accordingly. We recommend that you arrive in uniform if possible.
