The North Kingstown School Department has moved to a completely digital updating system as part of our strive to become more efficient and to move towards a paperless system. Below are two sets of instructions, both with the same purpose, that are designed to help walk Parents and Guardians through editing their student's Emergency Cards. The short video walks you through the steps that are listed on the right.
Please Note: When updating Aspen, the changes don't show instantaneously under your child's information. You must wait for your school to "accept" the changes. Sometimes this can take a few days as at the beginning of the year the volume of approvals will be high.
When listing contacts in Aspen, please separate your contacts. For example, Grandma and Grandpa Smith are allowed to pick up Jane Smith. They should be listed each on a separate line, this will negate any confusion related to who we are actually calling.
What do the Priority Numbers mean for Contacts?
Here is what we use the numbers for internally:
1. - Mother
2. - Father
3. - Step Mother
4. - Step Father
5. and Above - Emergency Contacts
99. NON-Emergency Contact
What defines an emergency contact? Any person that has been authorized to pick your child up from school in the event that is an emergency related.
Examples of Emergency Dismissal Reasons:
Child is Dismissed for Discipline or is Dismissed from the Clinic
Examples of Non-Emergency Dismissals:
Child has an Dr. Appt., Child has a Soccer Game, Child needs to be picked up for out-of school activity, etc.
In the above non-emergency cases, please send a note to the school stating that this is your dismissal intention for that day.

Log Into your account
This lands you on the PAGES tab of Aspen
On the right hand side, there are two boxes under the BANNER rectangle, the second box should say TASKS
Click on the Initiate button
This will open a pop-up box. If it doesn't, then you need to remove the pop-up blocker on your internet browser and re-try.
From the WORKFLOW drop-down menu, select UPDATE STUDENT EMERGENCY CARD
You can ignore the date as the system will automatically populate the date.
Select your student from the magnifying class option
You will have to do this for each student.
Click the NEXT button
Your original information is listed next, please review this and determine if any changes need to be made.
Should a change to a contact need to be made, then feel free to click on the # of the contact. This will open another pop-up window with all of the information on this contact. You can then change their information.
Please do not change the emergency priority information as this is used internally.
From this screen, you can also delete a contact. While the contact won't immediately be deleted, it will flag the information for the office to remove it.
Click OK when you are done modifying the contact.
You may modify all of your contacts if the needed.
You may add contacts if needed.
Look to the right for the ADD button in the lower portion of the screen. A pop-up window will appear.
You may select the relationship to the student as a non-emergency contact. This would be someone that is authorized to pick your child up from school when they aren't being released in an emergency situation.
Once you have reviewed, added, or deleted contacts, click the NEXT button.
Initiate Workflow: Confirmation page will allow you to click finish.
You are done!
