PTA Positions

PTA Position Summaries 


President: 

-Presides at all meetings of the Executive Board and the General PTA 

-One of the three check signers responsible for assisting the treasurer in money management

-Serves as a liaison between administration and the PTA or staff and the PTA as needed 

-Works closely with the other board positions and committee chairs to handle all programs and events provided by the PTA 


Treasurer:

-Serves on the Executive Board and assumes all responsibilities below, including volunteering

-Handles the general funds of the association thereby keeping full and accurate account of all receipts and disbursements as well as preparing and delivering monthly reports to the Executive Board and annual reports and ledgers to the external auditor 

-Knowledge of bookkeeping, finance, or accounting a plus

-Prepares and monitors an annual budget with officers

-Prepares and distributes all disbursements

-Deposits all earned income into the PTA bank account

-Ensures compliance with tax, regulatory, non-profit and insurance laws

-Ensures that tax letters for Capital Campaign are sent

-Keeps an accurate and cumulative list of all donors throughout the year, and across events.  This includes cash and in-kind donations with amounts, dates and all necessary contact information.

-Speaks to the state of the budget at general PTA meetings

-Giving budgetary status updates at the Executive Board meetings


Secretary: 

-Serves on the Executive Board and assumes all responsibilities below, including volunteering 

-Takes minutes at the General PTA Committee meetings 

-Types and distributes all meeting minutes 

-Ensures critical documents are maintained properly

-Work side by side with the communications chair

-Is responsible for the upkeep of the PTA calendar 

-Gives status updates at Executive Board meetings 


Vice President:

-Serves on the Executive Board and assumes all responsibilities below, including volunteering 

-Steps in for the President when needed or asked 

-Performs duties as directed by the President 

-Gives status updates at Executive Board meetings 


Communications Chairman: 

-Serves on the Executive Committee and assumes all responsibilities below, including volunteering 

-Assists with communication between PTA and parents via email or social media 

-Maintains and Updates the PTA website as needed 

-Maintains social media accounts 

-Designs flyers for various PTA and school events as requested 

-Ensure all interested volunteers are notified of opportunities 

-Attends events to take photos and ensure students with “No photo slips” are not photographed

-Answering general questions via email or social media 

-Gives status updates at Executive Board meetings 


Fundraising Chairman: 

-Serves the Executive Board and assumes all responsibilities below, including volunteering 

-Responsible for coordinating fundraising efforts across the various PTA fundraisers 

-Creates a set of documents to be used to solicit corporate sponsors in a coordinated way 

-Attends/oversees fundraisers held by the PTA 

-Helps events chairs secure sponsors for the major fundraising events if needed 

-Gives status updates at Executive Board meetings 


Arts in Education:

-Serves on the Executive Committee and assumes all responsibilities below, including volunteering 

-Helps the PTA ensure that every child has access to-and takes part in-high quality arts learning experiences

-Works side by side with the principals and staff to find programs that students can attend 

-Schedule and coordinate dates for programs to visit schools or students to take a trip to the program

-Gets approval from the board and committee for all programs being paid for


Membership Chairman:

-Serves on the Executive Committee and assumes all responsibilities below, including volunteering 

-Responsible for creating and implementing a membership plan 

-Promoting membership throughout the year

-Providing membership reports at PTA Board and General meetings 

-Collecting dues 

-Answering all membership questions 


Special Events Chair (3 positions): 

-Serves on the Executive Committee and assumes all responsibilities below, including volunteering

-Oversees all committees that organize and run each special event activity sponsored by the PTA including but not limited to:

*Events will be divided between the two positions
