EGMs (Extraordinary General Meetings) allow committees to hold elections and make constitutional changes at any point in the year. The electoral rules and procedures are the same across both EGMs and AGMs.
In some circumstances, you may wish to hold an EGM during the year. This could be due to a resignation leaving a vacant position you wish to fill via a by-election, or a constitutional amendment you wish to implement sooner than your AGM (for example, the addition of a new committee position).
An Annual General Meeting (AGM) is a compulsory meeting that the Committee must organise with its members, which usually takes place during York SU's re-ratification period. The focus of this meeting is to summarise your society's year, and to vote upon any proposed constitutional changes, and to elect your committee for the year ahead.
An Extraordinary General Meeting (EGM) is a meeting that can take place at any point of the year. EGMs can take place if a committee member has resigned and their role needs filling via. a by-election, or if there is a constitutional amendment that you wish to implement sooner than your AGM (for example, the addition of a new committee position).

It is important that after electing a new committee member, or making a constitutional amendment, you contact societies@yorksu.org. After your EGM, please email your link staff member informing them of the results of your meeting.
If you have made a constitutional amendment, please attach an updated constitution so that it can be reviewed and uploaded to your society website.
If you have elected a new committee member, please include their name, university email and committee position, as well as an updated constitution with the current committee list.
If you have elected a new signatory committee member (eg President, Vice President, Secretary, Treasurer), you must include their phone number, as well as the information above. This allows the societies team to add them to your Student Dashboard, and remove any former committee members' access.
