What is Kids Care?
Kids Care is our secure online patient portal. Kids Care can be accessed and managed through the online site (www.e-kidscare.com) or through the IMS Patient App for Android or iPhone. Kids care is free and can be accessed 24/7.
How does Kids Care work?
Kids Care is a portal linked directly to the patient’s electronic medical record. A Kids Care portal will only be activated once consent for account activation has been given. This can be done in the office. The account must then be verified by patients age 12 and up, but not for younger children. Once the account is verified, the portal will be accessible.
What can I access on Kids Care?
Those who have a Kids Care account can view and print immunization records, visit summaries, as well as vitals tables with height and weight. Users can also request refills of certain medications and send non-urgent medical questions (no need to wait on hold on the phone!).
Some information is available immediately. For example, as soon as the Medical Assistant enters the patient's height for the visit into the computer, it will appear under “Vitals” in Kids Care.
Some information might have a delay before appearing in Kids Care, such as the Clinical Visit Summary or immunizations.
What kind of medications can NOT be refilled through Kids Care?
Controlled substances, such as stimulants (ADHD medications) or narcotics.
Most antibiotics.
When in doubt, call the office or have your pharmacist submit a refill request.
What are prerequisites for using Kids Care?
Phone or computer with internet access or downloaded app
Every account for patients age 12 and up and for proxies must be associated with an email address:
Proxy accounts use the Proxy’s email
Patients over age 12 must have their own email address, which must be different from their parents’ or any other proxies’
Who can access Kids Care?
From age birth to 12 years: up to 2 parents/guardians can be designated as proxies and obtain access to a patient’s Kids Care account.
Once a child turns 12 years old: only the patient can consent to Kids Care use. If they do, then the patient and up to 2 proxies that they approve will be able to access information on Kids Care.
What happens if I no longer want to use the Kids Care account?
You can deactivate your Kids Care account at any time. This can be done in person at the office or over the phone.
I signed up during the office visit, why haven’t I received an email yet?
Sign-up emails are being managed in batches every few weeks
The sign-up information may have been incomplete or not met criteria, such as:
Consent box was not checked
Wrong form was used for patient’s age
Email address of a patient over age 12 was the same as the one for the proxy
Proxy information was incomplete or illegible
Check your SPAM: authorize emails from communication@wpmaoffices.com
What exactly is a proxy?
A Proxy is someone other than you, the patient, who is given access to your medical records through your patient portal (Kids Care). A Proxy has their own account, which is connected to the patient account, but has different login information. For minors under age 12, parents and legal guardians are systematically approved as Proxies. For patients over 12 years of age, you will have to authorize or reject each request yourself.
Why are the proxies used?
Proxies are used because the person accessing information is NOT the patient. Keeping accounts of patients and their proxies separate is also necessary in order to comply with California’s minor confidentiality laws regarding patient/doctor interactions. The laws become effective once a patient turns 12 years old.
Who can become a proxy?
From age birth to 12 years: patients’ parents and legal guardians can be made a Proxy and view the patient’s full online medical records.
From age 12 to 18 years old: patients can approve their parents/legal guardians as Proxy if they wish to do so.
Once a child turns 18 years old: patients can designate anyone they would like as a Proxy, so long as they consent in writing. There is a limit of 2 Proxies per patient account.
How do I make someone a proxy?
If you are 12 years old or older: YOU, the patient, must fill out a form designating your Proxy (or up to 2 Proxies). Each Proxy gets their very own Kids Care account. A request is then sent to you through Kids Care to accept them. Once you authorize them as your Proxy, their account is now linked to your own account and information.
How do I become a proxy?
For your children under age 12: fill out a slip at the office or call in to have us complete one for you.
For your children age 12 and up: the children (or adults) have to fill out a slip at the office confirming that they want to use Kids Care and indicating who we should add as their Proxy.

Proxy accounts will not be created for parents of patients age 12 and up who do not indicate that they approve
Your email account CANNOT be the same as the one listed for the patient
What information can be viewed by the proxy?
Patients over age 12 can determine what information can be viewed by each of their proxies on their Kids Care portal by changing the settings for each section of the portal individually. See the instruction handout: HERE
Does a Proxy account do the same things as a Patient account?
As of right now, the answer is no. You cannot send us Messages or Refill Requests when you are accessing your child's account through your Proxy account. But you can view all the documents, immunization records, list of medications, appointments, and of course their weight and height.
What if I have several children who are patients, do I have to create an account for each of them?
Not anymore! The beauty of having your own designated Proxy account is that you can use it to request access to multiple patients’ Kids Care accounts. If access is granted, you log in with your own credentials, then you can flip through the different accounts you have been assigned to as Proxy. You only need to remember 1 username and 1 password :)
What if I am/was a patient myself?
Make sure we know! We will use your Kids Care patient account instead of creating a separate Proxy account. Your patient account can still be used to have Proxy access to your children's accounts. You will be able to toggle through the different accounts, but you only need to remember 1 username and 1 password :)
Why are you asking for my personal information, including my date of birth?
Keeping our patients' medical information secure is very important to us- and it's the law! Your personal information makes the account specific to you. (Also, it is impossible to set up an account in the system without entering the date of birth. If you do not include this information on your sign-up slip, we will not be able to create your account.)
How do I get the IMS Patient App?
On the Kids Care main page, there are links to download the app on both the Apple Store and on Google Play.

Is using the IMS Patient App exactly the same as using Kids Care?
Although they share a lot of features, some things are easier to do on the website than through the app (such as looking up Immunization Records)
