Merchant Information and Registration Form

Purpose: This policy applies to events sponsored by the Kingdom, or the Principalities, where merchants will be present. 

 

General Agreement: When selling at Kingdom or Principality sponsored events, merchants agree to abide by the laws of the West Kingdom, its Principalities, and all applicable local, state, and federal laws and regulations. Additionally, merchants agree to abide by the requirements set forth below.

Legal and Fiscal Requirements:

1. Merchants are responsible for obtaining all required permits and licenses needed to conduct their business and are responsible for paying all sales and other excise taxes due to the state and/or other governing body for the area. Adherence to these legal requirements is not the responsibility of SCA Inc., the West Kingdom, its Principalities, or their agents. 


2. All merchants wishing to sell at Kingdom or Principality sponsored events must have the appropriate permits required by the state and local area in which the event is held. Permits must be included with the merchant agreement. 





4. Unless otherwise stated, merchant booth fees are a flat $20 for 25’ frontage for West Kingdom or Principality events. If a booth has a frontage wider than 25’, the fee will be $40 (e.g., a booth with a 30’ frontage will be charged $40). For Twelfth Night Coronation, frontage will be allotted by the merchant coordinator. 


5. The event site and merchant fees must be paid, and the sign-in paperwork completed at gate prior to entering the event site. 


6. Upon payment of merchant and site fees, a receipt will be provided to the merchant by the Constabulary. The receipt must be made available upon request by a warranted constable, the Kingdom or Principality Seneschal or the Kingdom or Principality Exchequer throughout the entirety of the event.


7. Merchanting at Kingdom or Principality sponsored events requires pre-arrangement with the merchant coordinator for Kingdom events and the Event Steward for Principality events. The required form will be sent to the merchant via email and must be signed and returned along with the appropriate permits.  


8. Merchants will be allowed on site at the time the event opens. Upon arrival, merchants should check in with the at gate to complete the appropriate paperwork for the event and pay all fees.  

Booth and Merchandise Requirements:

1. The West Kingdom and its Principalities are a non-profit, historical education organization and part of SCA Inc. Merchants should be aware that their target audience is primarily interested in medieval or renaissance-style goods and in items that are useful in historical re-creation. The list below includes some of the items which are not allowed on Merchant Row due a desire to maintain a medieval ambiance: 

• loud gas generators 

• trailers 

• voice amplification devices 

• vehicles 

• adult merchandise openly displayed 


2. Merchants should make a reasonable attempt at wearing medieval or renaissance garb and should work to have their booth appear appropriate to the event. Additional efforts could include disguising mundane tents and pop-ups or taking steps to hide mundane items such as electronics, metal table legs and plastic containers. Ultimately, the West Kingdom and its Principalities would ask you to use your best judgment and discretion in setting up and operating your booth. 


3. Per kingdom law and tradition, modern tents must not be visible from the list field. 


4. As all sites and events vary, merchants need to abide by any special instructions or rules specific to the site. Additionally, understand that things can change on short notice and there may be further special instructions that come from the merchant coordinator, event steward, exchequer, constable, or seneschal. 


5. If merchants post advertisements at an event, they must first get the approval of the event steward. There may also be restrictions on where and how the advertisements are posted. Merchants are responsible for removing all advertisements posted at the end of the event. If damage occurs from the posting it is the responsibility of the merchant. 

Other Requirements

1. Smoking is not allowed on merchant row (inside or outside booths) or in the walkway around the list field at any time. These spaces are considered public areas and smoking is not permitted in those areas by the conventions of the West Kingdom. There may be sites where smoking is not allowed anywhere on site. Smoking marijuana, even with a prescription, is prohibited at any and all SCA events per SCA, Inc. 


2. Merchants must have a 2A10BC fire extinguisher in their booth. Open fire sources, including but not limited to a forge, torch, or fire pit, must not be left unattended at any time; furthermore, the fire extinguisher must be within reach and immediately available. 3. Merchants will leave the site clean and on time. If a merchant booth is on or adjacent to the list field, the merchant will not tear down until Their Majesties or Their Highnesses decree that the event is complete, usually at the end of Court on the final day of the event. 


4. Set-up and tear-down are the individual responsibility of each merchant.
