Calendar Cheat Sheet

1. To create an event, click CreateEvent. To update an event, click the event > Edit .

2. Click any event on your calendar to respond to an invite, join a video meeting, or edit the event.

3. Add and customize calendars.

Create a new calendar—Make more calendars, such as a team calendar or a project calendar.

Add calendar—Enter someone's email address and click More next to their name to choose an option.

Change calendar settings—Change default notifications, share calendars, set working hours, and more.

TRANSFERRING OWNERSHIP OF CALENDAR

If you’re no longer responsible for an event you created, assign it to someone else to keep the event in place.

They can then change the event as needed.

If you own an event, you can transfer ownership to another person in Calendar

  1. In Google Calendar, click the name of the event in your calendar grid.
  2. Click MoreChange owner.
  3. Enter the email of the new owner and edit the message if you need to.
  4. Click Change owner.

Note: The new owner needs to accept the transfer of ownership of the event by clicking a link in an automatic email. Until they accept, you’re still the owner.

SETTING UP WORKING HOURS

If you’d prefer not to be invited to events outside of your working hours, you can adjust your Google Calendar settings so organizers know to reschedule an event to a better time.

Notify people about scheduling events outside of working hours

  1. In Calendar, click Settings Settings.
  2. Scroll to Working Hours.
  3. Check the Enable working hours box.
  4. Select the days of the week you work.
  5. Enter your working hours.

If someone invites you to an event outside of these hours, they’ll see a notification informing them that it’s outside of your working hours.

CHECK AVAILABILITY

To co-ordinate schedules with people in Google Calendar, use suggested meeting times so you can see when everyone is available.

Get suggested meeting times

  1. Open Calendar and click CreateEvent.
  2. Go to the Add guests section and enter the person's email address.
  3. (Optional) To open your calendar and see your guest’s calendar and availability, click See guest availability.
  4. (Optional) To see a drop-down list of suggested meeting times for guests, click Suggested times and select an option.
  5. Click a time slot and then click Save.
