Privacy Policy — Evide School Bus

This Privacy Policy explains how Evide Pvt Ltd ("Evide", "we", "us") collects, uses, and protects information in connection with the Evide School Bus service, including the Evide School Bus Parent app, the Evide School Bus Driver app, and the school management dashboard (together, the "Service").

The Service provides real-time school bus tracking, student attendance, and notifications for schools, their authorized staff, drivers, and the parents of enrolled students.

Note on children's data: The Service processes location and attendance information relating to school students, who may be children. We process this information only to provide the school transport tracking service, on the instructions of the school, and with consent obtained through the school. See "Children's Information" below.

1. Who is responsible for your data

Evide Pvt Ltd is the provider of the Service. For student data, the school acts as the primary decision-maker (data fiduciary) and engages Evide to process that data on its behalf to operate the transport tracking service.

2. Information we collect

Account information: For parents — email address, phone number, and the link to your child/children as provided by the school. For drivers and school staff — name, email, phone number, and role, as registered by the school.

Student information (provided by the school): Student name, admission number, assigned bus, and pickup/drop-off location coordinates. Optional student profile photo, if the school chooses to upload one. Daily attendance status (present/absent), marked by the driver or conductor.

Location information: Real-time GPS location of the school bus, transmitted by a GPS device installed on the bus. This is the location of the vehicle, used to show the bus on the map and to alert parents when the bus is approaching a pickup/drop-off point. The Parent, Driver, and management apps do not track the location of your personal phone. We track the bus device only.

Device information for notifications: A push-notification token (from Firebase Cloud Messaging) for your device, so we can send you alerts such as "bus approaching" and school announcements.

Technical/log information: Basic technical logs (e.g. connection times, error logs) needed to operate and secure the Service.

3. How we use information

We use the information to: show the live location of the assigned school bus to authorized parents; alert parents when the bus is near their child's pickup or drop-off point; let drivers/conductors mark and share student attendance; send notifications from school management and drivers (e.g. delays, schedule changes); generate the bus route between the school and student stops; and authenticate users and keep the Service secure.

We do not sell your personal information. We do not use student or location data for advertising.

4. Legal basis and consent

We process personal information to provide the Service under our agreement with the school, and, where required, on the basis of consent. For student information (which may relate to children), verifiable consent is obtained through the school at the time of enrollment in the transport service. If you believe your child's information is being processed without appropriate consent, contact us at admin@evide.in.

5. Children's Information

The Service is used by adults (parents, drivers, school staff). Information about students, who may be children, is entered by the school, not by the children themselves. We: process student information only to provide the transport tracking service; do not knowingly allow children to create their own accounts; do not use student information for profiling for advertising or any purpose unrelated to school transport; and retain student location history only for a limited period (see "Data retention").

6. How information is shared

We share information only as needed to run the Service: with the school and its authorized management staff (student rosters, attendance, bus assignments); with the assigned driver/conductor of a bus (the roster of students on that bus, for attendance); with parents (their own child's bus location, stop, attendance, and related notifications only); and with service providers that help us operate the Service, under appropriate confidentiality obligations — Supabase (database, authentication, and hosting of application data), Google Firebase (push notifications), Mapbox (map display and routing), and Amazon Web Services (server hosting). We may also share information when required by law, or to protect the rights, safety, and security of users and the public.

We do not sell personal information to third parties.

7. Data retention

Live bus location is kept only briefly to show current position. Bus location history is retained for a limited period (currently about 7 days) and then automatically deleted. Account, student, and attendance records are retained for as long as the school uses the Service for that student, and deleted or returned on the school's instruction or when the Service ends, subject to any legal retention requirements.

8. Data security

We use industry-standard measures to protect information, including encrypted connections (HTTPS/TLS), access controls that limit each user to only their own relevant data, and private storage for sensitive items such as student photos. No method of transmission or storage is completely secure, but we work to protect your information and to address vulnerabilities promptly.

9. Your rights

Subject to applicable law (including India's Digital Personal Data Protection Act, 2023), you may have the right to: access the personal information we hold about you; request correction of inaccurate information; request deletion of your information; and withdraw consent where processing is based on consent. To exercise these rights, contact us at admin@evide.in or through your school. For student data, requests are generally handled together with the school.

10. Data location

Information is processed and stored using the service providers listed above. Where data is stored or processed outside India, we take steps consistent with applicable law to protect it.
