Sadly, not all people are honest so we need to be diligent to protect our donations.
While having cash jugs out on the wrap stations encourages donations, it is also a temptation to those with dishonest intentions. Please keep donation jugs pulled in from the edge of the table and close to wrapping volunteers. Place as few collection jugs out as possible so they can be easily monitored.
Please do frequent cash pulls from the donation jugs while you are at the wrap station. Once you have taken money from the jug, please count it, put it in the money pouch secured in the accounting bin and then record the pull in the accounting log for your station. Jugs on the table should have just a couple of dollars in them at all times. Please utilize extra volunteers to help with cash pulls when needed. While we have enough money collection jugs for all sides of the station, please only have one jug per wrapper or less.
Lastly, should there be any safety concerts the mall security number for each mall is in the binder in each wrap station.
At the end of the night all the money should be collected a volunteer will complete the end of the night accounting and prepare the deposit for the bank. To protect our campaign as well as our donor dollars we have multiple levels of checks and balances in place. We need to make sure that when we are closing for the night 2 people are counting and signing off on the final count. These two people should not be family or even riding together. This precaution allows proper accounting and also protects our volunteers from misperceptions of dishonesty. No one person should ever be alone with the money until it is sealed in the bank bag for the night. If anyone has questions or concerns, they can always reach out to Nick Liporace no questions asked.
At this time, both Colonie Center and Crossgates Mall wrap stations need to use the Bank of America in Latham as their primary drop off location. Nick Liporace will make arrangements with a volunteer on each closing shift to be sure drop off is scheduled.
Other Forms of Payment
We are also able to take check and credit card donations at our wrap stations. Some helpful tips are listed below
Checks:
We are able to accept checks written out to "American Cancer Society" or "cash"
At the end of the night be sure all checks taken in should go in the manila envelope for the day, NOT the bank deposit bag
Credit cards:
We are once again using Square to accept credit cards this year. It is our intention that a staff member will confirm with at least one wrapper per shift that they are comfortable using the square app. If you unexpectedly need to use it, there are directions to log in and accept payments in the binders at each wrap station
