Meeting Minutes from 2026 HOA Annual Meeting
Date: April 14, 2026
Location: The Pointe at Ballwin Commons
Time: 7:00PM – 9:00PM
1. Call to Order
The meeting was called to order by the HOA Board. A quorum of homeowners was confirmed.
2. Guest Speakers
The subdivision welcomed Mayor Mark Stallmann and Alderman Frank Fleming, who provided city updates relevant to Wild Wood Plat 2–7.
City Updates
Property Taxes:
There will be no Ballwin property tax increase this year.
Shop Local:
Residents were encouraged to support Ballwin businesses to help maintain this trend.
Infrastructure Budget:
The City of Ballwin allocated $1.8 million this budget year for sidewalk and road repairs.
Sidewalk Project:
Subdivision residents petitioned for a sidewalk along Wildwood Pkwy in 2024 which was subsequently approved and budgeted for in 2026.
Bids for the sidewalk work are due April 17. The Ballwin City Council will assign the contract at the next council meeting. Work is scheduled to be completed this year.
Which side of Wildwood Pkwy, sidewalk width, and other details are yet to be decided, although Mayor Stallmann confirmed it would be A.D.A. compliant.
Update: Bid was awarded to M&H Concrete Pavement.
Safety Reminders:
Lock vehicles and avoid leaving valuables inside.
Report suspicious activity to the Ballwin Police non-emergency line.
Call regarding speeding concerns as well.
3. Board Members & Volunteers
Current board members and volunteers were introduced:

Megan Sedivy
Sean Cummins
All board and volunteer roles are unpaid and community-driven.
4. Financial Report
Annual Assessments:
Payments are due May 1st.
Delinquency Timeline:
Delinquent date: May 15
Lien warning letters: July 1
Liens filed: September 15
Current Delinquencies:
Approximately $10,000 outstanding.
Hardship Support:
Homeowners experiencing financial difficulty are encouraged to contact the HOA.
Projected Year-End Balance:
Estimated bank balance of ~$34,000 by the end of 2026.
5. Common Ground Report
The subdivision maintains approximately 49 acres of common ground.
Tree Removal & Trimming:
This remains one of the largest budget items. Due to limited funds, only the most hazardous trees can currently be removed.
Hunting Discussion:
Homeowners discussed potential hunting considerations within common ground areas. Concerns with current deer culling practices were discussed.
Creek Erosion:
A major budget concern. The issue is currently under litigation hold, limiting action until resolved.
6. Proposed Amendments
Three amendments were presented for homeowner consideration:
1. Leasing & Rental Prohibition
Would restrict rentals, with exceptions for renting to family members.
Intended to prevent corporate ownership and rental conversions.
Short-term rentals (Airbnb, etc.) are already prohibited under existing indentures.
2. Increase Trustees from 3 to 5
Additional trustees would help distribute workload and improve responsiveness.
3. Digital Annual Letter
Replace the mailed hard-copy annual letter with a digital email version to reduce costs and improve efficiency.
7. Volunteer Opportunities
The HOA is actively seeking volunteers, especially for common-ground-related tasks.
Common Ground Needs
Mapping and documenting features
Identifying hazardous trees and problem areas
Addressing invasive honeysuckle
Additional Volunteer Roles
Landscaping maintenance and holiday decorating at subdivision entrances
Social event planning and annual meeting support
8. Homeowner Questions & Comments
Coyote Concerns:
Homeowners raised questions about coyote control; advised this is not under the domain of the HOA
Sidewalk Condition on Clayton Road:
The sidewalk on the Ballwin side of Parkway West is in poor condition.
Responsibility lies with St. Louis County.
Homeowners were encouraged to email Alderman Frank Fleming or Mayor Stallmann for follow-up.
Speed Bumps:
Speed bumps off Clayton are not permitted due to emergency vehicle access concerns.
Residents should call Ballwin PD to report speeding issues.
Indentures for new neighbors:
A neighbor asked how new neighbors receive indentures. The responsibility falls with their realtor.
9. Adjournment
The meeting concluded with thanks to all attendees, volunteers, and city representatives.
Proposed Ammendment Details
Amendment 1 - Article X – Leasing and Rental Prohibition
Protecting/Increasing Property Values: A higher percentage of owner-occupied units generally results in better-maintained homes and improved curb appeal.
Enhanced Community Stability and Compliance: Restricting turnover keeps the same residents for longer periods, fostering a tighter-knit community and improved security. Renters are sometimes less invested or informed in community rules. Owners, who are directly accountable to the association, generally adhere better to subdivision guidelines.
Amendment 2 - Amendment to Article IV – Board of Trustees - Increase Board from 3 to 5 Members
There are 287 Homes. The required time and attention needed to respond to all issues and coordinate assistance for residents and emerging issues that pop up is too much for only 3 volunteers.
By increasing the board by two additional trustees, it would also offer a bigger representative sample of opinions and homeowner perspective for making decisions.
Amendment 3 - Amendment to Article V – Notices and Meetings - Electronic Notice Authorized
Cost savings to annual budget by reducing preparation and postage for paper mailings.
Homeowners could opt out of electronic notification and still receive paper mailings.
Absentee Ballot (Download & Print) - If you cannot attend the HOA Annual Meeting and would like to complete an absentee ballot, please print out and complete the ballot. Either drop it off at 593 Fieldstone Lane (in black lock box on front porch) or mail it. Only one ballot per lot may be cast. Ballots must be signed by at least one record owner of the lot.

Speeding Problem: For the safety of all residents, particularly young children, please ensure that posted speed limits and regulations are observed. Keep in mind that posted speed limits are just that ... LIMITS ... Also, as an aid to the Ballwin Police, please report any motor vehicle violations to assist the police in their efforts to curtail speeding by cut-through vehicles, especially during morning and evening rush hours.
