Privacy Policy

This Privacy Policy explains how UBrains ("we," "us," "our," or the "Service Provider") handles information in connection with the Whiteboard application, also referred to as Offline Smart Whiteboard (the "Application").

The Application is available for Android mobile devices and is provided as a free service. It is provided on an "AS IS" basis.

1. Information Collection and Use

The Application is designed to operate primarily offline and to keep your whiteboards and related content stored on your device.

We do not operate a cloud-based whiteboard backend, require you to create an account, or collect your drawings, notes, images, PDFs, or recordings as part of normal Application use.

When you download and use the Application, certain limited technical information may be processed by Google Play or your device as part of the normal process of installing and operating an Android application. This may include:

• Your device's Internet Protocol (IP) address when your device connects to the internet

• Your device type, operating system, and Application version

• Information required to deliver and install the Application through Google Play

The Application does not collect precise location information, including GPS location data.

The Application currently does not contain in-app advertising networks or third-party analytics SDKs such as Firebase Analytics or AdMob. If this changes in the future, this Privacy Policy will be updated accordingly.

2. Information You Create in the Application

Whiteboard is designed for personal drawing, teaching, and note-taking. You may create or import various types of content, including:

• Whiteboards, pages, titles, and thumbnails

• Hand-drawn strokes using pens, markers, highlighters, chalk, and erasers

• Text, shapes, arrows, diagrams, formulas, and layers

• Images imported from your camera or photo gallery

• PDF documents imported for viewing or annotation

• Board activity recordings created within the Application

• Application preferences, including theme, haptic feedback, stylus and palm-rejection settings, handwriting options, and default export settings

• Optional on-device recognition results, including printed-text OCR and handwriting-to-text

This content is stored locally on your device, within the Application's private storage and local database, unless you choose to share, export, or save it elsewhere.

For example, you may choose to:

• Share content through your device's share sheet

• Save an image to your gallery

• Send a file through email

• Save or upload a file using a service such as Google Drive

The Application does not maintain a cloud account, and your whiteboard content is not automatically uploaded to the Service Provider.

3. Camera and Photos

If you choose to insert an image or scan printed text, the Application may request permission to access your camera and/or photos or media.

When you grant the relevant permission:

• Images you select or capture are copied to the Application's private storage on your device.

• Images are used to place content on your whiteboard or perform on-device text recognition.

• Images are not uploaded to the Service Provider's servers as part of normal Application use.

You can deny or revoke camera or photos/media permissions at any time through your device settings. Features that require these permissions will not function unless the required permission is granted.

4. Microphone and Voice Control

If you choose to use the Application's Voice Control feature, the Application will request microphone permission.

Your voice is processed using speech-recognition services available on your device, such as Google speech services on Android. Depending on the service being used, voice processing may require an internet connection and may be subject to the privacy policies of those third-party providers.

The Service Provider:

• Does not operate its own voice-processing servers.

• Does not store raw audio recordings on its own servers.

• Requests microphone access only when you actively start Voice Control.

• Does not use the microphone for background recording.

• Uses recognized voice commands to control the whiteboard, such as undoing an action, adding a page, or drawing a shape.

Board activity recordings are separate from Voice Control. Board recordings capture the whiteboard canvas as video and do not use the microphone.

5. On-Device Recognition — OCR and Handwriting

The Application uses Google ML Kit for printed-text OCR and handwriting-to-text processing.

These recognition features operate on your device.

• Images and handwriting strokes used for recognition remain on your device during processing.

• Printed-text OCR is intended for printed Latin text.

• Handwriting-to-text may require a one-time download of an on-device language model for English.

• Downloading the language model requires an internet connection.

• You may choose whether the Application automatically downloads the handwriting model.

• Once the model has been downloaded, recognition can operate offline.

• Mathematical handwriting recognition is not enabled in the current version of the Application.

The Service Provider does not send your whiteboard images or handwriting to its own servers for recognition.

6. Board Activity Recordings

If you choose to start a board recording, the Application captures frames of the whiteboard canvas and creates a local video file, such as an MP4 file.

Recordings:

• Remain stored on your device unless you choose to share them.

• Do not contain microphone audio.

• Are not hosted on servers operated by the Service Provider.

7. Exporting, Sharing, and Saving to Gallery

The Application allows you to export boards in formats such as PNG, JPEG, and PDF, save visible pages to your device's gallery, and share files using your device's share functionality.

When you export, save, or share content:

• The action takes place on your device or through the third-party application or service you choose, such as email, Google Drive, Files, or Messages.

• The Service Provider does not host your exported files on its own servers.

• Exported files may contain anything visible on the whiteboard, including drawings, text, images, PDF pages, and other content.

• You are responsible for securely storing and handling files that you export or share.

• On older versions of Android, saving content to the gallery may require storage permission.

Android cloud backup for the Application's app data is disabled. Uninstalling the Application removes locally stored boards, images, PDFs, recordings, and settings from the device.

8. Internet Usage

The core functionality of the Application is designed to work offline. This includes drawing, creating pages, working with images already stored on the board, PDF annotation, exporting, OCR, and most other tools.

An internet connection may be used for optional or supporting functionality, including:

• Voice Control and associated device speech-recognition services

• Downloading the handwriting-recognition model when the feature is used or automatic downloading is enabled

• Brief connectivity checks when a feature needs to determine whether the device is online

Your files leave your device only when you choose to share or otherwise transfer them.

9. Application Preferences

The Application stores certain preferences locally on your device. These may include:

• Theme settings

• Haptic feedback settings

• Stylus and palm-rejection settings

• Handwriting conversion settings

• Default export settings

These preferences remain on your device and are not uploaded to the Service Provider.

You may reset your preferences or delete all boards through the Application's Settings.

Resetting preferences does not delete your boards. Deleting all boards is permanent and cannot be undone through the Application's Settings.

10. Information You Provide When Contacting Us

If you contact us for support or otherwise voluntarily provide contact information, such as through email, we may use the information you provide to:

• Respond to your questions or support requests

• Provide assistance regarding the Application

• Send important notices related to the Application, when necessary

11. Third-Party Services

The Application may use certain third-party services to provide functionality such as speech recognition, on-device machine learning, application distribution, and related services.

These third parties may process limited information as necessary to provide their respective services. Their handling of information is governed by their own privacy policies and terms.

Third-party services that may be used by the Application include:

• Google Play Services — for application distribution and related Android functionality

• Google ML Kit — for on-device OCR and handwriting recognition

• Google speech and assistant-related services — when you use Voice Control

You can review the applicable third-party privacy policies and terms through their respective websites.

When you choose to share or save a file using another application or service, such as email, Google Drive, Files, or your device's gallery, that service will handle the file according to its own privacy policy.

12. Disclosure of Information

The Service Provider may disclose information you provide or limited automatically collected information in the following circumstances:

• When required by applicable law, including in response to a subpoena, court order, or similar legal process.

• When we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, investigate fraud, or respond to a government request.

• To trusted service providers who perform services on our behalf, provided they do not have an independent right to use the information disclosed to them and have agreed to follow applicable privacy requirements.

13. Your Choices and Opt-Out Rights

You can stop using the Application and remove it from your device at any time by uninstalling it through your device's standard uninstall process or through the application marketplace from which you downloaded it.

You may also control individual features and permissions by:

• Denying or revoking microphone permission. Voice Control will not function without this permission.

• Denying or revoking camera or photos/media permission. Features requiring these permissions, such as inserting photos or scanning text, will not function.

• Denying or revoking storage permission on older Android versions. This may prevent the Application from saving exports to your gallery.

• Turning off automatic downloading of the handwriting-recognition model through the Application's Settings.

• Avoiding Voice Control if you do not want speech recognition to process your voice.

• Deleting individual boards, deleting all boards, or resetting Application preferences through the Application.

14. Data Retention

Content created or imported into the Application, including boards, pages, images, PDFs, recordings, preferences, and related files, is stored locally on your device.

This information remains on your device until you:

• Delete it within the Application

• Clear the Application's data

• Uninstall the Application

The Service Provider does not store your boards or files on its own servers as part of normal Application use.

If you contact us for support and provide personal information, we will retain that information only for as long as reasonably necessary to respond to your request or provide the requested support.

If you would like us to delete information you have provided through email or support contact, please contact us at ubrain396@gmail.com. We will respond to your request within a reasonable period.

15. Children's Privacy

The Application is not directed toward children under the age of 13, and the Service Provider does not knowingly use the Application to solicit personal information from or market to children under 13.

The Service Provider does not knowingly collect personally identifiable information from children under 13.

If we become aware that a child under 13 has provided personal information, we will take reasonable steps to delete that information from our records as soon as reasonably possible.

If you are a parent or legal guardian and believe that your child has provided personal information to us, please contact us at ubrain396@gmail.com so that we can take appropriate action.

16. Security

The Service Provider takes reasonable measures to protect the confidentiality of information handled through the Application.

Your whiteboards and related files are stored locally on your device, and Android backup of the Application's app data is disabled.

You are responsible for maintaining the security of your device, including using an appropriate screen lock, keeping your operating system updated, and protecting files that you export or share.

Please note that no method of electronic storage or transmission is completely secure. Accordingly, the Service Provider cannot guarantee absolute security.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time for operational, legal, regulatory, or other reasons.

When changes are made, we will update this Privacy Policy and revise the Effective Date shown at the beginning of the policy.

We encourage you to review this Privacy Policy periodically to remain informed about how the Application handles information.

Your continued use of the Application after changes to this Privacy Policy are posted constitutes acceptance of the updated policy.

18. Your Consent

By using the Application, you acknowledge and consent to the processing of information as described in this Privacy Policy, including any future amendments to this Privacy Policy.
