Welcome to WasteDashboard. This Privacy Policy explains how WasteDashboard ("we", "our", "us", or "the App") collects, uses, discloses, and protects your personal information when you use our mobile application for waste management operations.
By using WasteDashboard, you agree to the collection and use of information in accordance with this policy.
When you register and use WasteDashboard, we collect:
Account Information: Username, email address, password (encrypted), and user role (Driver, Inspector, or Administrator)
Profile Information: Name, employee ID, contact number
Authentication Data: Login credentials and session tokens
Real-Time GPS Location: We collect precise location data when you are actively using the app to:
Track waste collection vehicles in real-time
Record bin collection locations
Document waste detection incidents
Optimize collection routes
Background Location (drivers only): If you are a driver and you switch on "location sharing" from the Driver Dashboard, we collect your truck's position continuously for the duration of that shift — including while the app is in the background or your screen is off — so that your collection route is not lost mid-shift. This applies only while sharing is switched on, only while you have an active bin assignment, and never to inspector or citizen accounts. An ongoing notification is displayed on your device the whole time this is happening, and you can switch sharing off at any point from the Driver Dashboard.
Location History: Past locations associated with completed assignments and cases
Geofencing Data: Location-based notifications and alerts
Device type, model, and manufacturer
Operating system and version
App version and settings
Assignment Data: Truck assignments, bin collection records, route information
Case Management: Waste detection cases, photos, notes, and status updates
Notifications: Push notification preferences and interaction history
Photos: Images captured for waste detection cases and bin verification
Image Metadata: Timestamp, location, and device information associated with photos
WebSocket Communications: Real-time notifications and updates
In-App Messages: Notifications about assignments, cases, and system alerts
We use the collected information for the following purposes:
Provide and maintain the WasteDashboard application
Authenticate users and manage accounts
Assign tasks to drivers and inspectors
Track waste collection operations in real-time
Monitor smart bin fill levels and status
Manage waste detection cases and incidents
Optimize waste collection routes
Generate reports and analytics for waste management
Coordinate between drivers, inspectors, and administrators
Send real-time notifications about assignments and updates
Analyze app usage to improve functionality
Identify and fix technical issues
Develop new features based on user needs
Enhance user experience and interface
Send notifications about assignments and case updates
Provide customer support
Communicate service changes or updates
Send administrative messages
Comply with legal obligations
Ensure workplace safety and accountability
Maintain audit trails for waste management operations
Prevent fraud and unauthorized access
All data is stored on servers operated by or on behalf of Thromde
Data is backed up regularly to prevent loss
We retain data for as long as necessary to provide services and comply with legal requirements
Authentication: Secure login with encrypted password storage
Access Control: Role-based access restrictions (Driver, Inspector, Admin)
Server Security: Industry-standard security measures including firewalls and intrusion detection
Regular Audits: Periodic security assessments and updates
Active user data: Retained while account is active
Assignment history: Retained for operational and compliance purposes
Location data: Retained for 12 months unless required longer by law
Deleted account data: Permanently removed within 30 days of deletion request
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
We may share your information with:
Municipal Authorities: Authorized waste management personnel and supervisors
Service Providers: Third-party vendors who assist in app operation (cloud hosting, analytics) under strict confidentiality agreements
Legal Requirements: When required by law, court order, or government regulation
Safety and Security: To protect the rights, property, or safety of our users or the public
Administrators can view driver and inspector assignments and performance
Inspectors can view waste detection cases assigned to them
Drivers can view their own assignments and routes
You have the following rights regarding your personal information:
Request a copy of your personal data
Update or correct inaccurate information through the app settings
To request deletion of your WasteDashboard account and the personal data associated with it, email support@wastedashboard.com from the address registered to your account, with the subject line "Account deletion request". No in-app deletion is available at present.
When a deletion request is processed:
Deleted: your account, profile details (name, employee ID, contact number), login credentials, session tokens, and your stored location history
Retained: waste collection and case records required for municipal audit and compliance purposes. These are dissociated from your identity where operationally possible, and retained in line with section 4.3.
Requests are actioned within 30 days. We will confirm by email once deletion is complete.
Enable or disable location services in your device settings
Drivers can switch location sharing on and off at any time from the Driver Dashboard
Background ("all the time") location access is optional; if you decline it, the app shares your position only while it is open and tells you that it is doing so
Note: Disabling location will limit core app functionality

Opt-out of non-essential notifications
Request a copy of your data in a portable format
For inspectors and citizens, location is collected only while the app is actively in use (foreground)
For drivers, location is additionally collected in the background — but only while all of the following are true: you have switched location sharing on from the Driver Dashboard, you have an active bin assignment, and you have granted "Allow all the time" location access
While background collection is active, a persistent notification is shown on your device
Location tracking can be disabled in device settings, or from the Driver Dashboard toggle
You will be prompted to grant location permissions on first use, and shown an explanation before background access is requested

You can revoke location permissions at any time in device settings
Revoking permissions may prevent you from using core features
WasteDashboard uses the following third-party services:
OpenStreetMap: Supplies the map tiles shown on the truck map. When the map loads, your device's IP address is visible to the OpenStreetMap tile servers.
unpkg (Cloudflare): Delivers the Leaflet mapping library used to draw the map. When the map loads, your device's IP address is visible to this content delivery network.
Cloud Hosting: For data storage and processing
These services have their own privacy policies governing their use of information.
WasteDashboard is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children. If we discover that a child has provided us with personal information, we will delete it immediately.
Your information may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place to protect your data in accordance with this Privacy Policy.
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will:
Update the "Last Updated" date at the top of this policy
Notify users of material changes through in-app notifications
Post the updated policy in the app and on our website
Your continued use of the app after changes constitutes acceptance of the updated policy.
