We collect information to provide, maintain, and improve our platform for both Volunteers and Organizations.
A. Information You Provide Directly
Account Registration Data: When you sign up, we collect your account type (Organization or Volunteer), full name, email address, password (encrypted), phone number, profile photo, and organization details (if applicable).
Volunteering Activity: Information regarding events created by Organizations and events joined or completed by Volunteers.
Certificates & Hours: Records of volunteering hours accumulated, event participation status, and certificates issued.
B. Authentication Data (Third-Party Sign-In)
Google Sign-In: If you choose to log in using Google, we receive basic profile information authorized by your settings, such as your primary email address, full name, and profile picture URL.
C. Automatically Collected Information
Device & Usage Data: IP address, operating system, unique device identifiers, device hardware specifications, app usage logs, and crash reports.
We use the collected information for the following specific purposes:
Platform Operations: To register your account as an Organization or Volunteer and manage authentication.
Event Management: To connect Volunteers with Organizations, log attendance, track volunteering hours, and issue verified certificates of service.
Communication: To send you updates regarding event status, certificates earned, administrative alerts, and account-related notices.
Security & Compliance: To verify accounts, detect fraud, protect our operations, and satisfy legal obligations.
We do not sell your personal data. We share your information only under the following limited circumstances:
Between Volunteers and Organizations: When a Volunteer signs up for an event, the organizing party receives necessary details (such as the Volunteer’s name and contact information) to coordinate and verify attendance.
On Certificates: Certificates earned through Volman display the Volunteer’s name, event details, total hours served, and issuing Organization name.
Service Providers: Third-party cloud hosting providers, database services, and analytics infrastructure operating under strict confidentiality obligations.
Legal Requirements: If required to do so by law or in response to valid requests by public authorities.
We retain personal data only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, including operating your account, tracking volunteering history, and preserving certificate authenticity, unless a longer retention period is required by law.
In compliance with the Google Play Store User Data Policy, Volman provides users with full control over their account creation and deletion.
A. In-App Account Deletion
You can permanently delete your Volman account directly within the app:
Open the Volman app and go to Profile / Account Settings.
Tap Delete Account.
Confirm your selection.
B. What Happens When You Delete Your Account
Upon processing your deletion request:
Your login credentials, profile, and personal identifying information will be permanently deleted from our primary servers.
Historical records tied to issued event certificates or organization audits may be anonymized to maintain system integrity for other participants.
We employ industry-standard technical and organizational security measures, including HTTPS/TLS encryption in transit and secure database storage, to protect your personal information against unauthorized access, loss, or alteration. However, no transmission method over the internet or mobile network is 100% secure.
Volman is not directed to children under the age of 13 (or 16 in certain jurisdictions). We do not knowingly collect personal information from children without parental consent. If we become aware that a child has provided us with personal data, we will immediately delete it from our systems.
We may update this Privacy Policy from time to time. Changes will be posted within the app along with an updated "Last Updated" date. Continued use of Volman after changes are posted constitutes acceptance of those changes.
