The Senior Officer, Executive Office provides high-level administrative, operational, and strategic support to the Executive Director and senior leadership team. This role ensures smooth functioning of the Executive Office, coordinates organizational priorities, and facilitates effective communication between leadership, staff, partners, and stakeholders.
Job Description
Manage the Executive Director’s calendar, appointments, and travel arrangements.
Review and summary report correspondence reports, and presentations for the Executive Office.
Prepare briefing materials and background documents for meetings and events.
Support Board of Directors’ meetings, including agenda preparation, minutes, and follow-up actions.
Maintain accurate records of Board decisions and ensure compliance with governance requirements.
Track organizational priorities, projects, and deadlines to ensure timely execution.
Assist in monitoring progress of strategic initiatives and prepare status reports.
Coordinate cross-departmental communication to align with executive priorities.
Serve as a key point of contact for external partners, donors, and stakeholders.
Organize high-level meetings, workshops, and events on behalf of the Executive Office.
Support relationship management by maintaining stakeholder databases and follow-up actions.
Ensure proper documentation, filing, and record-keeping for the Executive Office.
Support compliance with organizational policies, donor requirements, and legal obligations.
Manage confidential information with discretion and professionalism.
Qualifications & Skills
Bachelor’s degree in Business Administration, Management, or related field .
Minimum 3– 5 years of experience in executive support, administration, or project coordination.
Strong organizational and multitasking skills with attention to detail.
Good communication skills (written and verbal) in English
Proficiency in MS Office Suite and digital collaboration tools.
Experience working with NGOs and international organizations
