PRIVACY POLICY

This Privacy Policy explains how personal data is collected, used, processed and protected when you use UNAERA Messenger, including its mobile applications, Messenger, Desk, Event, Instant Web Chat, AI-powered features, Private Records and related services.

For purposes of this Privacy Policy, “UNAERA”, “UNAERA Messenger”, “we”, “us” or “our” refers to the operator identified above.
1. SCOPE
This Privacy Policy applies to personal data processed through UNAERA Messenger and its related web services.
It applies to registered users as well as visitors who access certain features, including Instant Web Chat, without installing the mobile application.
2. INFORMATION WE MAY COLLECT
Depending on the features you use, we may process the following categories of information.
2.1 ACCOUNT AND PROFILE INFORMATION
This may include:
• username;
• email address;
• display name;
• profile photograph or avatar;
• profile description;
• selected communication language;
• account visibility settings;
• internal user or account identifiers;
• authentication and account status information.
2.2 MESSAGES AND COMMUNICATION CONTENT
When you communicate through UNAERA Messenger, we may process:
• direct messages;
• group messages;
• Desk and Event messages;
• Instant Web Chat messages;
• replies and reactions;
• message language information;
• translated versions of messages;
• message timestamps and read status;
• information required to deliver or organize conversations.
2.3 IMAGES, VIDEO, AUDIO AND OTHER MEDIA
If you choose to use media features, we may process:
• images;
• videos;
• audio or voice messages;
• media metadata necessary to provide the feature.
Where you use voice transcription or audio translation functionality, an audio recording may be processed in order to generate a transcript and, where requested, a translation.
2.4 DOCUMENTS AND PDF FILES
If you upload documents, we may process their contents in order to provide the feature you selected.
This may include documents used for:
• Desk or Event information;
• AI-generated answers;
• document search;
• AI Administrator functionality;
• Private Records.
Document processing may include text extraction, OCR, indexing, search and AI-assisted retrieval.
2.5 PRIVATE RECORDS
Private Records may contain information selected and uploaded by the owner of the relevant account or Desk.
Because users determine the contents of their own documents, Private Records may potentially contain personal, confidential or sensitive information.
Private Records are intended for authorized use and are treated separately from information intentionally provided for public Desk or Event access.
Users who upload Private Records are responsible for ensuring that they have an appropriate legal basis and authority to process the information contained in those documents.
2.6 AI INTERACTIONS
When an AI-powered feature is used, we may process:
• the user's question or request;
• relevant recent conversation context;
• approved Desk or Event information;
• relevant document excerpts;
• translation or language information;
• AI-generated responses;
• technical usage information necessary to provide and manage the feature.
Only information relevant to the requested functionality should be used for providing that functionality.
2.7 TECHNICAL AND DEVICE INFORMATION
We may process limited technical information necessary for operation, security and delivery of the Service, such as:
• IP address;
• device or platform information;
• push notification identifiers;
• session identifiers;
• browser information for web users;
• timestamps;
• request and error information;
• security and anti-abuse information.
2.8 PURCHASE AND SUBSCRIPTION INFORMATION
Where you purchase a paid service through Google Play or the Apple App Store, we may receive information required to verify and manage that purchase, such as:
• product or plan information;
• purchase or transaction identifiers;
• subscription status;
• billing period or entitlement status.
Payment card information handled directly by Google, Apple or another payment provider is not necessarily provided to UNAERA Messenger.
3. HOW WE USE INFORMATION
We may use information to:
• create and maintain user accounts;
• authenticate users;
• deliver direct and group messages;
• operate Desk and Event;
• provide Instant Web Chat;
• translate messages;
• transcribe audio;
• provide AI-generated responses;
• search and analyze uploaded documents;
• operate AI Administrator and AI Organizer;
• index and search Private Records;
• provide push notifications;
• verify subscriptions and purchases;
• enforce plan and usage limits;
• maintain security;
• detect abuse, fraud or unauthorized access;
• troubleshoot technical problems;
• maintain and improve the reliability of the Service;
• comply with applicable legal obligations;
• establish, exercise or defend legal claims where necessary.
4. LEGAL BASES FOR PROCESSING
Depending on the context and applicable law, processing may be based on one or more of the following:
• performance of a contract or steps requested by you before entering into a contract;
• your consent where consent is required;
• compliance with a legal obligation;
• legitimate interests such as security, fraud prevention, reliable operation and improvement of the Service, where those interests are not overridden by your rights;
• another legal basis available under applicable data protection law.
Where processing relies on consent, you may withdraw that consent where applicable without affecting processing that was lawful before withdrawal.
5. AI, TRANSLATION AND THIRD-PARTY PROCESSING
Certain UNAERA Messenger features may require information to be processed by third-party technology providers.
These may include providers of:
• artificial intelligence services;
• translation or transcription services;
• hosting or infrastructure;
• push notifications;
• email delivery;
• mobile application stores;
• payment and subscription verification.
Only information reasonably necessary to provide the relevant function should be transmitted to such providers.
Third-party providers may process data according to contractual arrangements and their own applicable legal obligations.
6. GOOGLE PLAY AND APPLE APP STORE
If you install or purchase UNAERA Messenger through Google Play or the Apple App Store, Google or Apple may independently process information relating to downloads, devices, purchases and payments under their own privacy policies.
UNAERA may receive information needed to verify a transaction or determine whether a subscription or entitlement is active.
7. AUTOMATIC TRANSLATION
Messages may be processed by automated translation systems when translation functionality is requested or enabled.
Where applicable, both the original content and translated representation may be retained as part of the message record so that the Service can correctly display and manage communication between users using different languages.
8. VOICE AND AUDIO
If you choose to record or send audio, UNAERA Messenger may process the audio for delivery to recipients.
When transcription or translation is used, the audio or transcript may also be processed by an AI or speech-processing service for the purpose requested by the user.
Microphone access is requested only when functionality requiring the microphone is used, subject to device permission controls.
9. CAMERA, PHOTOS AND FILE ACCESS
Certain functions may request access to the camera, photo library or files on your device.
Such access is used for user-requested functionality such as:
• selecting or capturing a profile image;
• sending images or video;
• scanning a QR code;
• uploading a PDF or document.
Device permissions can generally be controlled through your operating system settings.
10. PUSH NOTIFICATIONS
If you enable notifications, the Service may process a device or browser push identifier in order to send notifications about relevant activity.
You may disable push notifications through your device, browser or application settings where supported.
11. INSTANT WEB CHAT AND GUEST SESSIONS
A person may access certain Desk or Event functionality through Instant Web Chat without creating a standard mobile application account.
The Service may create a temporary or pseudonymous session identifier necessary to maintain the conversation, prevent abuse and associate messages with the appropriate Desk or Event session.
Technical information such as IP address may also be processed for security, rate limiting and anti-abuse purposes.
12. DATA SHARING
We do not sell personal data.
Personal data may be disclosed or made available only where reasonably necessary to:
• provide a feature requested by the user;
• deliver communication to the intended recipient;
• work with infrastructure, AI, email, push or other service providers;
• verify purchases through the relevant application store;
• comply with a valid legal requirement;
• investigate fraud, abuse or security incidents;
• protect the rights, safety and integrity of users, the Service or third parties.
Messages that you send to another user are, naturally, made available to that recipient.
Information intentionally published or shared through a public or shared feature may be accessible to the audience selected for that feature.
13. INTERNATIONAL DATA PROCESSING
Some technology or infrastructure providers may process information in countries other than the country in which you reside.
Where applicable data protection law requires safeguards for international transfers, appropriate legal mechanisms and safeguards will be used.
14. DATA RETENTION
We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, to provide the Service, maintain security, comply with legal requirements and resolve disputes.
Retention periods may differ depending on the type of information.
For example:
• account information may be retained while an account remains active;
• messages may be retained while the corresponding conversation or account exists, subject to deletion functionality;
• uploaded documents may be retained while the related feature remains active or until they are removed;
• subscription and transaction information may need to be retained for accounting, fraud prevention or legal obligations;
• security information may be retained for a limited period where necessary to investigate abuse;
• backup copies may remain for a limited period after primary deletion before normal backup rotation removes them.
We do not retain information longer than necessary without a legitimate purpose.
15. ACCOUNT AND DATA DELETION
Users may request deletion of their UNAERA Messenger account using the deletion functionality made available through the Service or by contacting us at:

When an account is deleted, associated personal data will be deleted or anonymized where appropriate, subject to information that must be retained because of:
• legal obligations;
• billing or accounting requirements;
• fraud or security prevention;
• dispute resolution;
• establishment, exercise or defense of legal claims;
• temporary backup retention.
Deletion of locally stored Instant Web Chat data from a browser does not necessarily constitute deletion of the corresponding server-side communication.

16. SECURITY
We use technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, alteration or disclosure.
Access to different functions and information is restricted according to the relevant account, session, owner or operator permissions.
However, no internet-based system can guarantee absolute security.
Users should protect their login credentials and immediately report suspected unauthorized access.
17. YOUR PRIVACY RIGHTS
Depending on the law applicable to you, you may have rights including:
• the right to receive information about processing;
• the right to access your personal data;
• the right to request correction of inaccurate data;
• the right to request deletion of data;
• the right to restrict certain processing;
• the right to object to certain processing;
• the right to data portability where applicable;
• the right to withdraw consent where processing is based on consent;
• the right to lodge a complaint with the competent data protection authority.

18. USERS IN SERBIA

19. USERS IN THE EUROPEAN ECONOMIC AREA
Where the General Data Protection Regulation (“GDPR”) applies, users may exercise the rights available under the GDPR and applicable national law.
Where required, international transfers of personal data will be subject to an appropriate transfer mechanism.
20. CHILDREN
UNAERA Messenger is not intended to be used contrary to age restrictions or parental consent requirements imposed by applicable law.
If we learn that personal information has been processed from a child in circumstances where legally required consent was not obtained, we will take appropriate steps in accordance with applicable law.
21. BUSINESS TRANSFERS
If UNAERA Messenger or substantially all of the relevant business or assets are transferred, reorganized or acquired, information may be transferred as part of that transaction, subject to applicable privacy law and continued protection of personal data.
22. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy when the Service, technology, data practices or legal requirements change.
The current Privacy Policy will display its effective date.
Where required by law, users will be notified of material changes and consent will be requested where legally necessary.
