One of the coolest features of UltraTime Scheduling is that you can now trade your shifts to other team members without having to contact the HR office! This guide will help you learn how to use the system for giving away and picking up shifts.
Know that Level 1 employees can only pick up lower level shifts, but Level 2 and Level 3 employees can pick up any shifts.
2. Click on the drop down menu at the top right corner of the screen, then select "Schedules." Click on the day of the shift you would like to give away.
3. Check the box titled "Swap."
4. You must select a reason from the drop down menu for giving away your shift.
5. Finally, click "Apply." UltraTime will give you a confirmation message to indicate your shift has been posted and can be viewed by others.
This shift will appear in yellow on your calendar view until someone has picked it up.
Once someone has picked up your shift, it will appear green. You can click on the shift to see who picked it up and when.
1. After logging on to UltraTime, select the "Calendar" icon.
2. Select the drop-down menu at the top-right corner of the screen, then select "Swaps."
3. In the calendar view that appears, click on any of the green squares to pick up a shift. The numbers indicate how many shifts are available to take, while "/" indicates a shift has been picked up.
4. Review the time and location of each available shift carefully before making your decision. Once you decide you'd like to take the shift, click on the checkbox marked "Accept". Then click on "Apply" at the top-right corner of the screen to confirm.
The shift you have picked up will now appear in green on your "Schedules" menu (for instructions on how to access your schedule, click here), with the numbers indicating its total hours.
Attention: After confirming your shift pick-up the shift is now entirely your responsibility. If you need to then get rid of the shift, you can put the shift back up for swap just as you would one of your own.
