Volunteer Attendance Policy

Unfortunately, each year we have several volunteers not showing up for their shifts or emailing clinic coordinators the day of the clinic saying they are unable to attend. This makes it difficult for the mobile clinic to provide quality care to these patients that truly rely on us. Because we feel we are beginning to compromise providing quality care for our patients and fulfilling our mission due to suboptimal numbers of volunteers at clinics, we will begin enforcing the following late cancellation/no-show policy each semester.
● Volunteers should always sign-in at the registration table volunteer sign-in sheet when they arrive to a clinic.
● If a volunteer is no longer able to volunteer at an upcoming clinic, they must remove their name from the clinic sign-up Google Sheet more than 2 weeks prior to the clinic date with no repercussions.
● If a volunteer is unable to volunteer for an upcoming clinic and it is within two weeks of the clinic date, the volunteer must contact the clinic coordinator and attempt to find their own replacement. They can do this by contacting a volunteer from the Waitlist on the Google Sheet or by emailing the mobile clinic volunteer listserv.
● If a volunteer cancels within one week of the clinic date, this is considered a late cancellation. After 2 late cancellations, volunteers will be removed from the Mobile Clinic volunteer list at the end of the semester. Late cancellations do include cancelling for last minute sore throats, sudden illnesses, etc. (One late cancellation will not hurt a volunteer, and it is very unlikely that a volunteer would be unfortunate enough to be sick the day of two clinics.)
● If a volunteer does not show up for a clinic, this is considered a 'no-show'. Volunteers will be removed from the Mobile Clinic volunteer list after 1 no-show at the end of each semester.
● Any volunteers removed from the Mobile Clinic volunteer listserv will be notified via email by myself or by Dr. Denise Martinez or Dr. Daniel Runde, the Mobile Clinic Advisors, so that they are aware.
● Volunteers who are removed from the listserv will have a 1 semester ‘probation’ and will be able to reapply for mobile clinic the following year.
This policy will be enforced in the following way:
● The volunteer no-show policy will be posted to the ICON site and will be emailed to all volunteers at the beginning of each semester.
● Clinic coordinators will record late cancellations or no-show volunteers in the clinic reports after each clinic.
● At the end of each semester, the Orientation and Continuity Executive Chair will go through the clinic reports from the semester and tally all volunteer late cancellations and no-shows.
● A running list of these volunteers will be kept in the ‘Volunteers’ folder of the GoogleDrive. They will be removed from the listserv and will not be allowed to volunteer with the mobile clinic for a whole semester.
● They will be allowed to go through orientation and volunteer again the following year.
