Bedding Requests: Bedding type for hotel or resort has been requested but is not guaranteed. Final assignment is determined by the resort at check-in and is subject to availability. Cruise cabin configurations are typically confirmed at booking but remain subject to change at the cruise line’s discretion.
Room Views: Room categories are defined by the resort:
Garden View: Overlooks landscaped grounds or greenery.
Tropical View: Overlooks lush vegetation, palm trees, or landscaped areas with tropical foliage.
Ocean View: Includes partial or angled ocean views; any visible portion qualifies.
Oceanfront: Offers a direct, unobstructed ocean view.
Beachfront: Located directly facing the beach with immediate or very close beach access.
Swim-Up: Located on the ground floor with direct access from the terrace into a semi-private or shared pool.
Swim-Out: Features private or direct pool access from the room’s terrace or patio, typically connected to a larger shared pool area.
Special Requests: Requests such as adjoining rooms, rollaway beds, cribs, birthday amenities, early check-in, or late checkout will be submitted but are not guaranteed (fees may apply and availability may be limited).
Check-In Policy: Hotels may require a credit/debit card authorization or cash deposit upon check-in for incidentals; this will place a temporary hold on your funds. Some hotels may only accept a major credit card.
Check-In Times: Standard check-in time is typically 3:00 PM. Early arrivals may need to wait for their room to become available. We encourage travelers to show patience and enjoy the resort facilities while they wait. Consider packing a swimsuit or essentials in your carry-on to enjoy the pool, beach, or grab lunch until your room is ready. If your room is not ready by 3:00 PM, please continue to extend patience as the staff works to complete your accommodations.
Hotel Amenities & Inclusions: Hotel services, amenities, and inclusions are subject to change at any time without prior notice. Some may be limited or temporarily unavailable due to lean staff or operational adjustments.
Restaurant Attire: Resorts typically require:
Breakfast/Lunch: Casual attire (swimwear coverup may be required).
Dinner: Resort-casual or elegant (collared shirts, dresses, closed-toe shoes for men).
Dress Codes: Please note that some restaurants may have additional dress code requirements.
Exchange Rates & Surcharges: All pricing is based on current exchange rates and subject to change due to currency fluctuations or supplier/airline surcharges. Any increases will be communicated before final payment. Prices are locked once final payment is received.
Changes After Final Payment: Any post-payment changes may be treated as cancellations and rebookings, subject to new pricing and availability.
Travel Requirements: While every effort is made to provide accurate information, travelers are responsible for confirming all travel requirements (entry, testing, visas, etc.). Refer to:
The embassy/consulate of your destination
Passport Validity: Passports must be valid for at least 6 months beyond travel dates. While the U.S. and your destination country may allow entry with a shorter validity, your airline may require 6 months or more. If you choose not to follow the 6-month guideline, it is your responsibility to verify your airline’s passport policy in advance.
Name Accuracy: The name on travel documents must match your government-issued ID. Corrections may incur fees.
Documentation Deadlines: Failure to provide required information (flights, passport info, etc.) by the stated deadline may impact services such as airport transfer or room requests.
Travel Insurance: Strongly recommended. Coverage may include cancellation, trip interruption, medical, baggage, and more. Insurance can often be purchased until just before travel, but benefits may be limited for late purchase. It is the client’s responsibility to obtain coverage.
Hosted vs. Non-Hosted Trips: Some trips are hosted by a representative of Trips By Us, while others are self-guided with virtual or in-destination support (where applicable). Please refer to your documentation for details.
Resort Rebranding/Relocation: Hotels and resorts may undergo rebranding, ownership changes, or renovations after booking. In rare cases, this may result in your reservation being moved to an alternate property of comparable or greater value, as determined by the supplier. Trips By Us will advocate on your behalf, but ultimate relocation decisions are made by the supplier.
Amenities & Services: Resort amenities, restaurants, and services are subject to change at any time. Temporary closures, limited dining options, or unavailable features (such as pools, spas, or entertainment) are outside of Trips By Us’ control.
Flight Schedules: Airlines may modify flight times, aircraft, or routes at any time. These changes are outside of Trips By Us’ control.
Refunds & Cancellations: Subject to supplier terms. Refunds, if applicable, are processed by the supplier and may take several weeks.
Transportation Services: If included, airport or ground transfers may experience longer-than-usual wait times or delays due to traffic congestion, limited vehicle availability, or driver shortages.
Credit Card Payments: If an issue arises, please contact Trips By Us before initiating a chargeback. Chargebacks may limit future booking eligibility.
Responsibility Statement: Trips By Us acts only as an agent for the suppliers and is not liable for any loss, injury, delay, or damage from force majeure, government actions, or circumstances beyond our control.
Timeshare Representatives: Be aware that timeshare representatives may approach you at the airport or resort offering free gifts or activities in exchange for attending a presentation. These are sales tactics and participation is completely optional. You are under no obligation to attend and may politely decline.
Supplier Response Times: Response times from suppliers vary and are beyond Trips By Us’ control. We will follow up diligently, and your patience is appreciated while awaiting their reply.
