Refreshment Committees


Concession Stand

Lead Volunteers –

Lead Responsibilities: Determine what food and beverage will be available for purchase. Coordinate donations and purchase, as necessary. Coordinate volunteers and run concession stand day of event.

Day of Event: Prepare food and drink items as needed. Provide GREAT customer service. Collect monies. Keep Concession area clean and neat.


Bake Sale

Lead Volunteer –

Responsibilities: Coordinate bake sale donations and/or purchase, as necessary. Coordinate volunteers and run bake sale table day of event.

Day of Event: Maintain bake sale table. Provide GREAT customer service. Collect monies. Keep Bake Sale area clean and neat.

Chance Committees


Basket Raffle – Typical raffle for a chance to win a variety of items packaged in baskets. Tickets are sold the day of the event.

Lead Volunteer –

Responsibilities: Coordinate donations of items and baskets for raffle. Coordinates committee members to assemble baskets the week leading up to the festival. Ensure that baskets are clearly labeled with the contents and have a corresponding bag that tickets are placed in.

Day of Event: Help set up raffle table in an attractive manner to promote ticket sales. Sell tickets and collect monies. Run the drawing for winners at the end of the event. Ensure winners receive their prizes.


50/50 Raffle - Typical 50/50 raffle. The Band Patrons and winning ticket holder splits any monies collected.

Lead Volunteer – Melanie Colosimo

Responsibilities: Ensure 50/50 tickets and cash change are available the day of event. Coordinate volunteers selling tickets and winning drawing the day of event.

Day of Event: Walk around the festival to sell tickets and collect monies. Ensure the winner receives their prize money.

Student Encouragement Committees

Happy Ads – Happy ads not only recognize our students but help offset the cost of our annual band program. These are sold before the festival.

Lead Volunteer – Jamye Doerfler

Responsibilities: Generate forms and coordinate orders (typically from family and friends) for paid advertisements that will be printed in the festival program.

Day of Event: There are no day of event actives for this position.


Air Grams - These are spoken ads announced over the PA System during the festival. They can be purchased by anyone in attendance of the festival and are sold only on the day of the event.

Lead Volunteer – Melanie Colosimo

Responsibilities: Generate forms and coordinate festival guests orders for paid announcements made from the press box the day of event.

Day of Event: Help set up air gram table in an attractive manner to promote sales. Sell air gram ads and collect monies. Make sure the sold ads are delivered to the sound booth and MC throughout the festival.


Candy Grams - These are items such as candy bars and novelty items that are sold at the event for members of all participating bands.

Lead Volunteer – Nicole Shekell

Responsibilities: Generate forms and determine what candy and novelties will be available for purchase. Coordinate festival guests orders and delivery to band members in the stands the day of event.


Day of Event: Help set up candy gram table in an attractive manner to promote sales. Sell candy grams and have buyers complete the Message form and collect monies. Coordinate the delivery of the candy grams to the band members throughout the festival.

Outreach Committees

Corporate Sponsorship Ads / Program Coordinator - These are advertisements sold to local or national companies for our Program and on signage around the festival depending on their monetary donation amount.

Lead Volunteers – Lisa Hopkins, Colleen Kudis and Darcy Vergallito

Responsibilities: Send requests for corporate sponsorship and work along side families also securing ads. Collect and / or create advertisements from and for the sponsors. Coordinate with program printer and any committees with information to be printed in our program which will be on sale day of event. Ensure all information is sent to our printer in a timely manner. Coordinate sending thank you letters to all donors.

Publicity and Public Relations

Lead Volunteer – Lisa Hopkins and Darcy Vergallito

Responsibilities: Develop branding and marketing materials, create press releases and other public relation efforts to ensure community is fully aware of the festival.

Day of Event: There are no day of event actives for this committee.

Hospitality Committees

Visiting Band Coordinator

Lead Volunteer – Leslie Dujordan - dujor@comcast.net - 412-520-6926

Responsibilities: Communicate with all visiting bands to gather their band details and information for programs. Also ensure hosts / hostesses are available for each visiting band. Ensure Director’s packets, water and snacks are ready for the visiting bands on the day of event.

Visiting Band Hosts and Hostess

Day of Event: Have one (1) host per marching band in attendance that will be there to greet the band and their director. Take them to their assigned location. Stay with them throughout the festival to be there to answer questions and assist them with anything they might need.


Visiting Bands VIP Director’s Lounge

Lead Volunteer – Toni Aceto

VIP Crew - Eileen Andreola, Christa Gaugler, Donna Cairns, Melissa Dittmore


Responsibilities: Determine what will be provided in the VIP Director’s Lounge and run it the day of event.

Day of Event: No additional workers are needed in the VIP Directors Lounge that day.

Volunteer Committee

Event Volunteers Coordinator

Lead Volunteer – Darcy Vergallito - darcytjbandmom@gmail.com

Responsibilities: Determine volunteer needs for the day of the event. Create Sign Up Genius for Volunteers. Schedule volunteers for necessary time slots and manage volunteer coverage for the day of the event.

Day of Event: Have volunteer schedule available and ensure each section has the necessary volunteers needed at any time. Make adjustments as the sections needs change.

Operations & Logistics Committees

Parking Logistics

Lead Volunteer – Joe Scullion

Responsibilities: Determine parking needs and head off issues. Coordinate parking volunteers the day of event.

Parking Attendants

Day of Event: Direct traffic to parking. Work with the Parking Lead Volunteer to help with whatever areas of the parking lot is needed at the time.

Ticket & Program Sales

Lead Volunteer – OPEN

Responsibilities: Determine and roll out how we handle ticket sales this year.

Day of Event: Work the ticket booth and Program sales table to sell both and collect monies.


Awards / Stadium Signs / Festival Décor

Lead Volunteer – Anita Roth

Awards Responsibilities: Determine and secure awards for participating bands in the festival and have them for day of event.

Band Signs Responsibilities: Determine and secure band signs for participating bands in the festival and have them for day of event.

Festival Décor Responsibilities: Determine and secure theme and items need for decorations for day of event.

Day of Event: Set up of awards, signs and decorations. Assist with the presentation of awards. Ensure clean up is complete at the end of the night of all areas.
