Venue Rental Terms and Conditions
1. Payment Terms
1.1 A ₱10,000 non-refundable reservation fee is required to secure your event date. The booking will only be considered confirmed
upon receipt of this payment.
1.2 The remaining balance must be settled two (2) weeks before the scheduled event date, unless alternative payment arrangements
are agreed upon in writing at the time of booking.
1.3 Accepted payment methods include Cash, Bank Transfer, or GCash.
2. Booking, Cancellation, and Rebooking Policy
2.1 All reservation fees are non-refundable in the event of cancellation by the client.
2.2 If the client wishes to reschedule, the new event date must be within one (1) year from the original booking date and is subject to
venue availability.
2.3 Failure to settle the remaining balance within the agreed timeline may result in cancellation of the booking, forfeiture of the
reservation fee, and release of the date to other clients.
3. Venue Use and Rental Duration
3.1 The standard venue rental period is five (5) hours per event.
3.2 An overtime charge of ₱1,500 per hour will apply for any extension beyond the five-hour rental period.
3.3 A maximum of four (4) hours ingress period is provided prior to the event for setup, and a two (2) hours egress period is allowed
after the event for dismantling and packing. The hours could be arranged upon agreement.
3.4 The venue must only be accessed and used within the agreed rental period. Early ingress or late egress without prior
arrangement may result in additional charges.
4. Authorized Communication & Coordination
4.1 All bookings, reservations, and official communication must be coordinated only with authorized Grand Hall personnel or the
administration office.
4.2 The Grand Hall, its owners, associates, coordinators, and staff shall not be liable for any misunderstandings, miscommunications,
or unauthorized transactions made with individuals not officially affiliated with The Grand Hall.
5. Liability and Security
5.1 The Grand Hall, including its owners, staff, and partners, is not responsible for the loss, theft, or damage of any personal
belongings or property of the client or guests during the event.
5.2 A ₱3,000 security bond is required and will be refunded after the event, provided that no damage to the property, fixtures, or
equipment has occurred.
5.3 Any damage to the venue, equipment, or facilities caused by the client, guests, or suppliers will be charged to the client based on
the cost of repair or replacement.
6. Safety and Venue Policies
6.1 The client is responsible for ensuring th e safety and proper conduct of all guests, suppliers, and event participants while inside
the venue premises.
6.2 The Grand Hall reserves the right to refuse entry or remove individuals who pose a risk to safety or disrupt the event
7. External Suppliers and Corkage Fees
7.1 The use of outside suppliers (e.g., catering, styling, entertainment, etc.) is permitted but subject to applicable corkage fees.
7.2 All external suppliers must coordinate with The Grand Hall’s authorized personnel prior to the event to ensure compliance with
venue policies and safety standards.
8. Force Majeure
8.1 The Grand Hall shall not be held liable for cancellations or changes to the event due to circumstances beyond its control,
including but not limited to natural disasters, government restrictions, public emergencies, or other force majeure events.
8.2 In such cases, rebooking may be arranged subject to venue availability and must be rescheduled within one (1) year from the
original date.
9. Acceptance of Terms
By signing this agreement, the client acknowledges that they have read, understood, and agreed to all terms and conditions stated herein. The client further agrees to comply with all venue policies and assumes full responsibility for any damages, losses, or violations that may occur during the event
