We the members of The 1693 Minecraft Club, subscribing to the regulations and policies of William & Mary, establish this Constitution to govern the matters within our organization.
The name of this organization is The 1693 Minecraft Club, abbreviated as “MCWM,” “MC Club,” or “The Minecraft Club”.
Our purpose as an organization is to gather people together to play one of their favorite games in a safe, communal environment. We aim to provide an enjoyable experience for all members, and a comfortable space for people to express themselves. We are always accepting new members and looking to grow a sense of community within the organization.
All members have access to additional content added to the Minecraft world. To become a member of MCWM, one must review club rules, join club group chats and the in-game server. The membership of MCWM will comprise currently enrolled W&M students.
Active members will be currently enrolled students who log into the Minecraft world once per semester and pay dues. Active members may participate in meetings and events. Only active members can vote on organization business. Termination of Membership:
a. Members may pursue resignation by contacting the secretary via email.
b. Members may have their membership revoked by a unanimous decision of the Executive Board, based on violations of this constitution, member participation, attitude, or other actions that violate the spirit of the club. To bring concerns to a member that could result in their removal or disciplinary action, the member in question must be notified of the alleged concerns and given a chance to respond to them with club officers.
c. MCWM affirms its commitment to conducting its activities in accordance with W&M’s Policy on Discrimination, Harassment and Retaliation. Membership in this organization shall be open to all without regard to race, religion, creed, national origin, color, sex, gender, sexual orientation, gender identity, pregnancy, physical or mental disability (or perceived disability) , personal appearance, political affiliation, source of income, citizenship status, age, marital status, family responsibilities, Veteran or military status (including disabled veteran, recently separated veteran, active duty wartime or campaign badge veteran, and Armed Forces Service Medal veteran), predisposing genetic characteristics, domestic violence victim status, height or weight.
d. All forms of communication related to the club are zero tolerance spaces for hate speech or disrespectful behavior. Engaging in such behaviors may result in action from the Executive board. The member of concern will be notified of the decision and given a chance to respond.
The executive board will be made up of the President, Vice President, Head Moderator, Secretary, and Treasurer. All positions must have a minimum 2.0 GPA. Officers will serve for one academic year, and all positions have a two year term limit per position.
General presider and manager of the club, along with being tasked to manage any group chats, meetings, server provider obligations, recommended to not vote unless acting as a tiebreaker.
Responsible for filling in for the president when not available, and assisting the president in club matters.
Manages the Minecraft world and is tasked specifically with maintaining a safe, open, and fair experience for all members and guests. Trains moderators and is in charge of managing moderators.
Responsible for taking attendance, recording and distributing meeting notes, taking notes and sending necessary information to members. Also responsible for keeping records of all members and managing member resignation.
Responsible for collecting dues, managing accounts, and providing monthly reports to the executive board.
Manages social media of the club, brings issues raised by members to the executive board, and is responsible for social outreach.
The executive board retains the right to appoint individuals to specific roles, including but not limited to Moderators.
These people are not on the executive board, but chosen by the executive board through unanimous decision. Their goal is to help new members and guests that join the in-game server and to explain additional content. Also, they are there to report violations of the Minecraft world rules to the executive board. The responsibilities for moderators is restricted to the Minecraft World (not governance of the club). Moderators must have a minimum of 5 hours per month played on the Minecraft world.
Elections will be held during a regularly scheduled meeting in April. The particular meeting will be determined by the President. Priority voting will be used to determine the winner of each election.
a. Members are able to rank their top three candidates for each position. One person can run for multiple positions at once. If someone wins multiple positions, they can choose which position they want to hold. The runner-up(s) then fill in the other position(s), as following the election results.
b. Nominations will open two weeks prior to elections. Any active member will be eligible to nominate themselves for any position, unless they have reached the term limit. Nominations for other people may be made by active members. President, Vice President, Head Moderator, and Server Admin candidates must have been in the club for one semester. Voting will take place at the election meeting.
c. Should an officer resign, a vacancy may be filled by the runner up from the last election, assuming they still want it. Another election may take place to decide who will fill the position.
d. A referendum vote can be called during a meeting to remove an officer, but requires a ⅔ vote from all club members and another executive member.
e. If the ⅔ majority is met, then at the next meeting an election will be called to re-elect a new officer from the club. This election will repeat the same process as done in prior elections through priority voting.
MCWM will meet regularly while classes are in session to conduct business. The President will preside at the meeting. Quorum will be defined as a ⅔ majority of the active membership, including one officer.
a. The Executive Board will meet regularly separate from the general body to discuss forwarding long-term goals and any issues that require privacy.
b. Bi-weekly meetings will be conducted to gather the quorum to vote on new proposals and express thoughts in a larger setting. They will also be used to organize times for members to interact with each other. Some meetings will also have larger events available for members and guests to participate.
Anyone may donate dues of any value to the club. Members must pay $8 to gain active membership for one academic semester, or $14 to gain active membership for the academic year. The funds of MCWM will be stored in an off-campus organization account. The President, Treasurer, and Server Admin will have signature authority, and all purchases must be discussed by all officers.
MCWM will abide by all university policies including the Student Code of Conduct, the Campus Alcohol Policy, and requirements set by the Office of Student Leadership Development.
a. MCWM agrees that it will not initiate, support, or encourage any events or situations that endanger the mental or physical health or safety of a student for any purpose including but not limited to initiation or admission into or affiliation with this group or organization.
This constitution will take effect immediately upon its passage by a ⅔ majority of the members of the MCWM.
Amendments may be proposed in writing by any active member by emailing the Secretary. The Secretary will distribute a copy of the proposed amendments to all active members for discussion at the next scheduled meeting. After initial discussion, the amendment may be voted on by a simple yes or no vote. Amendments must be passed with a ⅔ majority vote.
