1. Introduction
The Tower Guard App ("the App") is developed and maintained for internal use by members of the Tower Guard organization at Michigan State University. This Privacy Policy describes how we collect, use, store, and protect the personal information of users.
2. Information We Collect
We collect the following categories of personal information:
Account Information: Full name, email address, user role (e.g., Member or SAA), and class year (graduation year).
Volunteer and Attendance Data: Submissions made through volunteer hour forms, attendance forms, and absence requests (including date, time spent, descriptions).
Usage Logs: Timestamps for form submissions and administrative actions (such as approvals or denials).
3. How We Use Your Information
The information collected is used exclusively for operational and administrative purposes within the Tower Guard organization:
To track member progress toward volunteer and attendance requirements.
To enable administrative review and approval of submissions.
To maintain historical records of service activity for accountability.
4. Data Sharing and Access
Your personal data is not sold or shared with third-party services. Access to your information is restricted based on user roles:
Members can view and manage only their own data.
Sergeant at Arms (SAA) roles have limited administrative access to view, manage, and report on user submissions and attendance records.
No data is publicly visible outside of the app or administrative interface.
5. Data Storage and Security
All data is securely stored in Google Firebase Firestore, with authentication and access control rules configured to prevent unauthorized access. User passwords are managed and stored securely through Firebase Authentication. The app leverages Firebase’s built-in encryption for data transmission and secure password handling, ensuring industry-standard protections to safeguard user information. Access to the system is strictly limited to authorized users.
6. Data Retention
User data is retained while a member is active in the organization and archived thereafter for record-keeping purposes. Upon transition to a new academic year, prior members retain view-only access.
Administrative users can request full deletion of user data using the admin tool.
7. User Rights
You may request access to your data or ask for corrections by contacting the Tower Guard Sergeant at Arms. Deletion of personal data may also be requested, subject to organizational record-keeping requirements.
8. Children’s Privacy
This app is intended only for use by college-age students affiliated with Michigan State University. We do not knowingly collect information from individuals under the age of 13.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the app or applicable legal requirements. Users will be notified of significant updates within the app.
