Hemingway STEAM School

COMMUNICATION Information from Erika Rixon:

I provide the school with team rosters for the season as well as a daily training schedule and brief description of the training and travel obligations for each SVSEF discipline.

I will also provide travel rosters to Hemingway when an athlete will miss school for a pre-season camp or travel competition. Students should continue to communicate with their teachers about getting and making up work missed for training or travel.

PARENTAL RELEASE – Parents please remember to excuse your child when missing school for a TRAVEL event.

SCHOOL RELEASE TIME

The students will be released at 1:45, Middle School students will check in with their 6th period teacher before departure and Elementary students check in at the front office with Sarah. From there you will meet your ride outside to limit traffic in the building due to COVID.

This single release time will prevent multiple disruptions to classrooms, and should allow plenty of time for athletes to get to training and get ready to ski.

Please remember that the coaches are used to starting the afternoon training on a “rolling” start time. Athletes are arriving from five different schools each afternoon so the coaches understand if an athlete arrives a little early or late. They have a plan to capture all athletes as they arrive.

ACADEMIC CLEARANCE, MONITORING, and ASSISTANCE

Hemingway mirrors the SVSEF academic policy regarding early release for daily training. If a student falls below a C- in any class they will not be allowed to leave campus. They will go to their study hall class and work on getting the grade up.

I will send out a weekly alert email to students and parents when grades drop to a C- or lower. I understand that there are many factors that affect grades (skyward reporting, missing assignments, etc.) These emails are meant to be a proactive “heads up” to keep athletes training and traveling as well as staying on top of their grades. A plan will be discussed amongst all parties that are involved to create a plan and appropriate support to be proactive in raising the grade.

TRAVEL GRADE REPORTS – Pre-EXCUSE FORM

Athletes, please remember to fill out an SVSEF travel grade report if you WILL MISS SCHOOL FOR A TRAVEL EVENT. These prompt communication with your teachers, and gives everyone a “snapshot” of your current grades. They should be turned in 3 days prior to travel so please BE PROACTIVE and talk to your teachers. YOU WILL NOT BE ALLOWED TO TRAVEL WITHOUT THIS FORM COMPLETELY FILLED OUT.

Forms are available at the front office. Please give the forms to RJ McLaughlin if you are in middle school and to Sarah Stavros if you are in elementary .

Hello everyone,

I wanted to send out a quick email with pre-season information for WRMS athletes and parents. Please note, there is some paperwork that needs to be taken care of prior to on-snow training beginning after Thanksgiving Break.

EARLY RELEASE FORMS

Please fill out the yellow Early Release forms before the beginning of regular training. These are available only from the front desk at the WRMS . By signing this form you are giving the school permission to release your child on a regular basis for SVSEF training @1:40. If the form asks for a signature from a SVSEF representative leave that section blank. The roster I provide to WRMS is proof of participation.

** If these are not completed before after-school training begins, your student will not be allowed to leave early for training!

TRAVEL TRANSPORTATION

The yellow Early Release Form releases your child from school for training. Legally, WRMS does not care who picks them up (coach, other parent, etc.). On travel days, however, the departure time/day may be different than training days, so your athlete needs to be cleared to leave with whatever coach or parent might be driving to an event. To do this please go into your Skyward account, into your emergency info, and put the people that can pick up your child. Make sure to include your child’s coaches as well. (Photo example attached)

PARENTAL RELEASE FOR TRAVEL DAYS

If your athlete will be missing school for a Travel/Competition event, please remember to call in and excuse them from school for the days they will miss. The early release form excuses your child for training, but NOT for days missed due to travel and the rosters I send into the school does not legally do the trick.

The expectation that your child’s teacher grade assignments immediately upon return is not acceptable, therefore, it is important to communicate with teachers prior to departure.
