Surplex respects your privacy and is committed to transparency regarding how information is handled when you use the Surplex Discord Bot and its related services.

This document details what data may be processed, the operational necessity behind it, our retention practices, and your rights as a user. By inviting, accessing, or using Surplex, you acknowledge and agree to the practices described in this Privacy Policy.

Surplex is a multi-purpose Discord application engineered to deliver moderation tools, utility commands, server automation, AI assistance, economy integrations, and community management features.

This Privacy Policy governs the processing of technical identifiers and context data transmitted via the Discord API during active bot sessions.

𝙏𝙃𝙀 𝙄𝙉𝙁𝙊𝙍𝙈𝘼𝙏𝙄𝙊𝙉 𝙒𝙀 𝙋𝙍𝙊𝘾𝙀𝙎𝙎

Surplex operates on a stateless, minimal-data architecture. We do not maintain a permanent database or persistent profile storage for personal user or guild information.

To execute commands and facilitate requested features, Surplex may temporarily access standard Discord metadata, including Entity Identifiers (User, Guild, Channel, and Role IDs), contextual server display names, instructional message content/command parameters, and ephemeral permission states.

𝙃𝙊𝙒 𝘼𝙉𝘿 𝙒𝙃𝙔 𝙒𝙀 𝙋𝙍𝙊𝘾𝙀𝙎𝙎 𝙏𝙀𝙈𝙋𝙊𝙍𝘼𝙍𝙔 𝘿𝘼𝙏𝘼

Any data ingested by Surplex is retained purely in transient memory (RAM) during command execution cycles.

This volatile processing is required exclusively to parse syntax, execute bot logic, return appropriate responses, apply requested moderation actions, query external AI models, and mitigate rate-limiting. All transient memory states are purged automatically once command execution completes.

𝘿𝘼𝙏𝘼 𝙎𝙏𝙊𝙍𝘼𝙂𝙀 𝘼𝙉𝘿 𝙍𝙀𝙏𝙀𝙉𝙏𝙄𝙊𝙉 𝙋𝙍𝘼𝘾𝙏𝙄𝘾𝙀𝙎

Surplex enforces a strict zero-permanent-storage architecture. We do not store user data, server configurations, or behavioral history in any database or file system, nor do we create user profiles.

Third-party upstream providers (such as Discord Inc., hosting providers, and upstream AI gateways) independently process and log operational traffic according to their own established policies.

𝙈𝙀𝙎𝙎𝘼𝙂𝙀 𝘾𝙊𝙉𝙏𝙀𝙉𝙏 𝘼𝙉𝘿 𝘾𝙊𝙈𝙈𝘼𝙉𝘿 𝙋𝙍𝙊𝘾𝙀𝙎𝙎𝙄𝙉𝙂

When a command is triggered, Surplex briefly inspects the content parameters in memory solely to fulfill the requested action.

We do not maintain command histories, message logs, or persistent execution trails beyond volatile console debugging diagnostics that contain no long-term personal user data.

Certain commands transmit contextual prompt data securely over HTTPS to upstream external AI model providers solely for output generation.

Users must exercise discretion and avoid submitting sensitive credentials, private keys, authentication tokens, or personal identifiers into AI prompts.

Surplex operates on infrastructure provided through Discord's developer platform. We do not govern or assume responsibility for Discord's independent data collection practices, system telemetry, or internal retention policies.

Surplex relies on select third-party service providers, including Discord Inc., cloud compute hosting providers, and inference APIs.

These services independently handle traffic routing and system health. Surplex exercises no control over and assumes no legal responsibility for external third-party data routines.

Surplex will never sell, rent, monetize, or broker user information.

Data transmission is limited entirely to executing user-requested external API triggers, answering enforceable legal warrants or court orders, and protecting the bot infrastructure against malicious exploitation or network attacks.

We utilize secure transit encryption (TLS/HTTPS) alongside strict zero-persistence memory lifecycles to protect temporary runtime context.

However, no internet transmission or cloud software architecture can guarantee absolute immunity, and interaction with the application remains at the user's sole discretion.

Surplex is not built for, targeted toward, or knowingly collecting data from children under the age of 13 (or the relevant digital age of consent under regional laws).

In accordance with Discord's terms, all users interacting with the bot must meet Discord’s minimum required platform age.

𝘿𝘼𝙏𝘼 𝙍𝙄𝙂𝙃𝙏𝙎 𝘼𝙉𝘿 𝙀𝙍𝘼𝙎𝙐𝙍𝙀 𝙍𝙀𝙌𝙐𝙀𝙎𝙏𝙎

Because Surplex maintains no persistent database or profile index, there are generally no stored personal identifiers or server logs to retrieve, rectify, export, or delete.

If you believe information has been errantly captured, you may reach out directly to the development team for an immediate operational audit.
