FieldNotes — Privacy Policy

This Privacy Policy applies to the FieldNotes app, operated by Studio36, Nelson, New Zealand. We operate under the New Zealand Privacy Act 2020.

Our commitment to you

Your privacy is not just a legal obligation for us — it's a value we hold deeply. FieldNotes will never sell, share, or use your personal information for advertising. We collect only what we need to make the app work for you, we store it securely, and you can ask us to delete it at any time.

What information we collect

When you create an account we collect your name and email address. If you choose to add a phone number to your profile or a booking enquiry, that is stored too. If you subscribe, your payment is processed entirely by Stripe — we never see or store your card details. We also collect basic usage information (such as which screens you visit) solely to improve the app experience.

We collect the following device permissions:

• Camera — used only when you choose to take a profile photo. We do not access your camera at any other time.

• Photo library — used only when you choose to upload a profile photo from your device.

How we use your information

We use your information only to operate FieldNotes — to manage your account, process subscriptions, and connect you with workshop providers when you make an enquiry. We do not use your data for advertising. We do not build profiles for marketing. We do not share your information with any third party except where strictly necessary to operate the service (Supabase for secure data storage, Stripe for payments, Resend for transactional email notifications).

Your phone number and email

Your email and phone number are stored securely and are never visible to the public. They are shared with a workshop provider only when you choose to make a booking enquiry — so the provider can respond to you directly. They are never used for unsolicited contact, marketing, or shared with anyone else.

How we store your data

Your data is stored securely using Supabase, which uses industry-standard encryption at rest and in transit. Access to your data is restricted — only you can see your personal details, and our team can only access data where strictly necessary to support you. Passwords are never stored — authentication is handled securely via Supabase Auth.

Your rights

Under the New Zealand Privacy Act 2020, you have the right to access the personal information we hold about you, ask us to correct it, and ask us to delete it. To make any of these requests, email us at fieldnotes.studio36@gmail.com and we will respond within 5 working days.

Data deletion

You may request deletion of your account and all associated personal data at any time by emailing fieldnotes.studio36@gmail.com. We will action your request within 5 working days.

How to delete your account and data

To request deletion of your FieldNotes account and personal data, email fieldnotes.studio36@gmail.com with the subject line "Delete my account".

We will action your request within 5 working days. The following data will be permanently deleted:

• Your name and email address

• Your profile photo

• Your booking enquiries

• Your saved favourites

The following data may be retained for up to 30 days in encrypted backups before permanent deletion:

• Database backup snapshots (automatically purged on Supabase's standard schedule)

No personal data is retained after this period.

Cookies and tracking

The FieldNotes app does not use advertising cookies or third-party tracking tools. We use only essential session tokens to keep you logged in securely.

Children's privacy

Accounts must be created by someone aged 18 or over. FieldNotes is not directed at children under 13. We do not knowingly collect personal information from children. Parents or guardians who believe their child's information has been submitted should contact us immediately at fieldnotes.studio36@gmail.com.

Changes to this policy

If we make meaningful changes to this policy we will notify you via the app. Continued use of FieldNotes after changes means you accept the updated policy.
