Sunland Springs Village Veterans Club, also SSV Vets Club, Vets club
ARTICLE I - GENERAL
Section B
The purpose of the SSV Veterans Club is to give aid and support to any State of Arizona non-profit Veteran assistance organization that has been vetted by the Executive Board. In addition, the SSV Veterans Club is also enlisted to serve and honor those Veterans in our community.
Section C
These bylaws will comply with the Association's Governing Documents (Documents) and the Policy for Clubs (Policy). In the Event of a conflict between these bylaws and the Documents or Policy, the Documents or Policy will prevail.
ARTICLE II - MEMBERSHIP
Section A
Membership shall be open to any Association member in
good standing without discrimination as to race, religion, color, sex, or national heritage.
Section B
There shall be no precondition for membership, nor will members
be required to join affiliated national, state, or regional organizations.
Section C
Guests are invited to attend a meeting to determine whether he/she would like to become a member of the SSV Veterans Club. Non-SSV resident guests may not become members.
Section D
Yearly dues for the SSV Veterans Club will be established by the Executive Board. Dues are payable at the October meeting, or the first meeting a member attends each season.
ARTICLE III - OFFICERS
Section A
Voting Executive Board Members shall be comprised of: President, Vice President, Secretary, Treasurer and Sergeant at Arms.
Section B
All officers shall be elected by a vote of the general membership and shall serve without compensation.
Voting will take place at the at the Club's March meeting with the newly-elected officers taking their chair at the October meeting.
The President and Treasurer shall be elected on the odd numbered year, the Vice President, Secretary and Sergeant at Arms on the even numbered year.
Section C
Each Executive Board Member shall serve a two-year term.
Duties of the President:
The President shall preside at all meetings of the Club, appoint members to committees, perform such other duties and customs, and parliamentary usage as required.
Duties of the Vice President:
It shall be the duty of the Vice President to assist the President and in his/her absence, to perform Presidential duties.
Duties of the Secretary:
The Secretary shall record the proceedings and transactions of all meetings of the Club, act as custodian of all books, papers, and records, and keep the names, addresses, phone numbers and email addresses of all members. It is the responsibility of the Secretary to prepare an agenda for the President for each meeting, stating all unfinished business from the previous meeting(s).
Duties of the Treasurer:
The Treasurer shall receive all monies belonging to the Club and account for the same. The Treasurer shall issue a receipt for any monies received, if requested. The Treasurer shall keep account of all
receipts and expenditures and make a written itemized monthly report on all disbursements. Any requests for disbursement must be on a request form, then signed by the Treasurer and one other Executive Board Member.
The Treasurer shall call for an annual audit to be performed by one Executive Board Member and one Member at Large.
The office of Secretary may be combined with that of the Treasurer and called Secretary-Treasurer.
Duties of the Sergeant at Arms
The Sergeant at Arms is to maintain order, security, safety and protocol within the meeting facility, and other duties as assigned.
He/She will be responsible to complete the required paperwork
if/when there is an accident, or injury, at an SSV Veterans Club function. He/She will lead the Pledge of Allegiance at the beginning of a meeting.
Other Duties
Past Presidents(s) will serve on the executive board, in a non-voting advisory capacity.
Events Chairperson and the Table and Chairs Chairperson will serve on the executive board, in a non-voting advisory capacity.
Section D
Nominations of officers will begin at the November meeting and conclude with the election at the March meeting.
Section E
Any vacancies occurring after the election may be filled by appointment of the President. Officers shall serve until their successors are elected or until such time as a written resignation is submitted. Recall of any officer shall be in accordance with Robert's Rules of Order due to misconduct or dereliction of duty.
ARTICLE IV - MEETINGS
Section A
Meetings will be held on a monthly basis from October thru April.
Meetings during the summer months will be determined by the officers.
Section B
Clubs have the option to use Roberts Rules of Order or some other parliamentary meeting process to ensure order at their meetings.
ARTICLE V - GRIEVANCE PROCEDURES
Section A
If a member has a grievance with the Club, then that member should write a detailed summary and submit it to an officer.
Section B
If an officer receives such a grievance, then that officer shall bring it to the attention of the other officers and the President will call a Board meeting within 30 days of the grievance.
ARTICLE VI - FINANCIAL CONTROLS AND PROCEDURES
Section A
Financial procedures for collection, deposit, and expenditures of funds will comply with the procedures outlined in the SSV Club Policy.
ARTICLE VII -AMENDMENTS TO THE BYLAWS
Section A
Bylaw amendments require membership vote at a meeting duly called for such purpose.
Section B
Any suggested bylaw amendments shall require a thirty (30) day notice
be given to the membership of the pending vote. A quorum of the members present voting in the affirmative will grant the changing of the bylaws.
ARTICLE VIII - CLUB DISSOLUTION
Section A
Upon Club dissolution, all Club assets (monies, inventory, and equipment) will remain assets of the Association.
Section B
Club dissolution shall be added as an item on the monthly agenda and emailed to all members at least one week before the monthly general meeting.
Section C
Club dissolution will be granted by an affirmative two-thirds (2/3) vote of those voting with a quorum of the members present.
