Privacy Policy

The following Privacy Policy has been developed in accordance with the requirements of the General Data Protection Regulation (GDPR) which came into force on 25th May 2018


Southport Chess Club, henceforth referred to as “the Club”, exists to foster the development of chess in Southport and its environs and provides facilities where members may meet and play chess, either socially or competitively. The Club is affiliated to the Merseyside Chess Association (MCA).


The Club collects personal data for the purpose of:

  • Communicating with members for the purposes of running the chess club, including selecting and organising teams and other chess events;

  • Communicating with other individuals who have expressed an interest in the Club and its activities;

  • Entering teams in the MCA League and other chess competitions;

  • Publishing results of chess games and matches on the Club's websites and on the MCA website;

  • Results may be passed to the English Chess Federation (ECF) and World Chess Federation (FIDE) for inclusion in the national grading list and international rating list, respectively;

  • Results may also be included in Press Releases for wider publication

Personal data collected by the Club is that provided by members or prospective members and may include: name, email address, telephone numbers and postal address. It may also include chess playing strength as published in ECF or FIDE grading lists.


In the case of Junior players, contact details will be those of the child's parent, carer or guardian. Other information collected will be the child’s name and date of birth.


For the Senior Section of the club, membership data is held in a Spreadsheet hosted on the Treasurer’s home PC. Membership information is circulated to Team Captains, the President and Secretary of the Club and to other club officials on a “need to know” basis.


For the Junior Section of the club, membership data is held on paper records maintained by the Junior Club Organiser. Membership information is circulated to those assisting in the running of the Junior Club and to other club officials on a “need to know” basis.


The contact details provided to us by members may be used to contact them by mail, telephone, fax or e-mail for the purposes of the Chess Club.


Personal data will not be shared with any third party, except where permitted by this Privacy Policy.


We will hold personal data for as long as a person is a member, or expresses a continuous interest in the club, and for a reasonable time afterwards.


The personal data we hold can be deleted on request and those for whom we hold personal data can opt out of email or other forms of communication by advising a club official accordingly.


This data is held pursuant to the legitimate interests of Southport Chess Club as permitted under the GDPR.
