Every year a PAC is required to hold an AGM. This is a requirement from the BC government in order to qualify for the provincial government grant money.
This money is intended to benefit students by enhancing their extra-curricular opportunities such as and not limited to: educational field trips, sports equipment, music program enhancements, art workshops, guest speakers, and playground equipment.
Other school benefits like technology upgrades, library books, and larger playground structures, are funded through PAC donations and fundraising efforts.
For the 2023-2024 school year, our AGM will be held: Wednesday April 24th, 7pm.
The purpose of our AGM is the election of Officers. (this means that ALL positions are available for nomination and election!)

Why join the PAC?
PAC meetings are a great place to find out what is happening in our joint schools (South Slope Elementary and BCSD K-7), and help decide where collected funds are dispersed.
According to the BC Confederation of Parent Advisory Councils, there “is strong evidence that increased parent involvement in the school results in increased student achievement, accomplishment, satisfaction, and bonding all of which result in decreased dropout rates and better citizens.”
All Parents or Legal Guardians of students registered at South Slope Elementary School and/or BCSD K-7 may be Voting Members of the PAC.

Term of Office:
The Term of Office shall commence following the AGM of each year and shall be for one year (or until the next AGM).
Any elected Member of the PAC may serve on the Executive for as many years as he/she is elected to the position.
The Past Chair shall support the new Chair until the end of that school year, or as deemed necessary by the elected PAC.
No person may hold more than one elected Executive position at any one time.
To encourage new Executive participation, we would like to propose the option of Co-Chair and Co-Treasurer for this AGM.
Our current Chair and Treasurer can only be elected for one more term as their children are graduating in 2024.
This is your chance to shadow & transition to these positions over a full school year! (Note: This is not required if you want to take the reins right away!!!)
Chair (5-15hrs/month, depending on other PAC Exec participation)
convene and preside at all the PAC General, Executive, Special and AGM Meetings - may be assisted by Vice Chair;
ensure that an Agenda is prepared and presented for PAC Meetings - may be assisted by Vice Chair;
know the Constitution and Bylaws and Meeting Rules;
know where to find resources to assist Members;
issue and receive correspondence on behalf of the PAC (usually shared with Secretary or Vice Chair) by mail or email to the PAC email;
read material sent to the PAC by mail and distribute relevant information to its Members;
consult PAC Members and review PAC representation in School and District activities;
ensure that PAC activities are aimed at achieving the objectives and Purposes of the PAC (section 2);
take such actions, or ensure that such actions are taken by others, to achieve the objectives and Purpose of the PAC;
appoint Committees where authorized to do so by the Executive or Membership;
understand Committees and communicate with Committee Chairs;
be the official spokesperson for the PAC;
be a Signing Officer of the Executive.
Vice Chair (5-10hrs/month)
assume the responsibilities of the Chair, in the Chair’s absence, or by request;
assist the Chair in the performance of their duties (see above);
assume specific tasks or responsibilities assigned by the Chair;
help keep all records of the PAC on the PAC Google drive, and maintain the PAC Google account;
help with social media posts (Facebook is current option);
accept extra duties as required;
be a Signing Officer of the Executive.
Treasurer (5-10 hrs/month)
be responsible for and report on the accounts of the PAC;
be a Signing Officer of the Executive;
receive all funds for the PAC and disburse funds authorized by the Executive or Members;
maintain an accurate record of all expenditures of the PAC;
give a report of all receipts and expenditures at all General Meetings;
have the books ready for inspection or audit annually;
prepare a year-end financial report for publication;
apply annually for the provincial government grant, and submit the required year-end paperwork to the government;
make books available for viewing by Members upon request;
with the assistance of the Executive, draft a budget and tentative plan of expenditures for the fiscal-year;
submit an annual financial report at the Annual General Meeting of the PAC or end of the fiscal year, recognized as commencing September 1st and ending August 31st of that school year;
ensure that another financial Signing Officer has access to the books in the event of the treasurer’s absence.
Secretary (5-10hrs/month)
take attendance at General Meetings;
record the Minutes of General, Executive, Special and AGM Meetings;
distribute Minutes to the Executive and the PAC website prior to the next General Meeting;
keep an accurate copy of the Constitution and Bylaws and, if and when changes are made, they shall be done so in red and the copy amended shall be dated and initialed and a copy submitted to the School Office for safekeeping;
issue and receive correspondence on behalf of the PAC (usually shared with Chair) and monitor the PAC email inbox;
help keep all records of the PAC on the PAC Google drive, and maintain the PAC Google account;
may be a Signing Officer.
DPAC Representative
attend PAC and DPAC Meetings; act as liason between the school PAC and the Burnaby DPAC
Fundraising Coordinator
help review and coordinate fundraising campaigns (what and when); find and support leads for fundraisers
Private Grant Coordinator
search and review grant opportunities; write grant applications in coordination with the school administration/staff
Lead a single Fundraiser
Social Media Coordinator
Help keep our Facebook and school pages up to date and send out Facebook posts
Filled - Earthquake Bin Parent Contact
Work with the school to inventory the earthquake bin, replenish supplies, and be the parent contact in case of emergency
Filled - Subway Lunch Lead
Coordinate Subway fundraiser lunches with the school (admin and hot lunch program); lead volunteers to review orders, and count money for submission to Subway, and sort and distribute orders on the day of the lunch.
