Coordination, scheduling of buildings and facilities - The Salt Lake Hunter Stake coordinates the scheduling and use of buildings and facilities through the online Ward & Stake calendars.
Stake Assistant Stake Clerk - The Salt Lake Hunter Stake has an Assistant Stake Clerk who over sees the use and coordination of the online Stake calendar at www.churchofjesuschrist.org/calendar/.
Ward Building Scheduler - Each Ward, within the Stake, has a member who is called as a Ward Building Scheduler to coordinate the online Ward calendar at www.churchofjesuschrist.org/calendar/.
Agent Ward - The Agent Ward (usually the first Ward to meet in the building on Sundays) is responsible for coordination, care and scheduling of their building (the Stake Center (SC), 5200 building (52), and the Merry Lane building (ML)).
Stake Park Pavilion - The Stake Assistant Clerk is responsible for coordination and scheduling of the Stake Park Pavilion. The use of the Pavilion requires it to be scheduled.
The Stake Park Pavilion and Stake Center will not be available to reserve on the Saturday’s of General Conference, Stake Conference, and the annual Stake Women’s Conference.
Note, in 2018 a walking path was put in place for general use and the locks were removed from the Stake Park. The Stake Park is available for general use and is not scheduled (except for the 5 events listed above and in circumstances like COVID 19 which require use to be stopped or restricted). We ask all who use the Stake Park to be respectful of those who have scheduled the use of the Stake Park Pavilion.
Bishops,
We appreciate everyone’s patience and understanding as we consider the best options for use of the Hunter Stake gym and Stake Park Pavilion. We desire that these facilities be a blessing for all members of the Hunter Stake and we recognize that the other buildings facilities may not be adequate for certain activities. In order to better facilitate everyone’s use of the Stake gym and park, here are a few guidelines that need to be followed. Some of these guidelines are already in place, but need to be followed more closely, while others may be new. Please share them with the members of your ward in the manner you feel most appropriate.
At times when the Stake Center is scheduled for Stake baptisms, which are held on the Saturday before Fast Sunday, no activities are to be scheduled or held in the Stake Center during that time. Times for the baptisms are typically from the hours of 8:30 am - 1:00 pm (but may go longer at times). For questions on times of the baptisms, the Stake Primary President.
When the Stake Center is reserved and where tables, chairs or other decorations have been set up, no use of the gym is allowed regardless of the start time of the scheduled event. As a standing rule, moving tables, chairs or other decorations to accommodate use of the gym is not acceptable. To help avoid any misunderstandings, we ask that when members reserve Stake facilities, they include set up and clean up time as part of their reservation in order to keep the schedule as accurate as possible.
Because the Stake Calendar is a living document, ever changing, what might in the past have been an “open gym” or “after hours” time for use of the gym, may not be accurate. Again, to help avoid any misunderstandings, we ask that any use of the Stake gym be scheduled. This can be done by contacting the Agent Ward assigned to oversee the scheduling of the Stake Center. That means basketball or other activities that in the past were played “after hours,” will need to schedule those activities w/the Building Scheduler of the Agent Ward. Play needs to be finished and the building locked up by 11:00 pm.
Scheduling of the Stake Park Pavilion is handled by Mike Lamont from the HB ward an Assistant Stake Clerk. Again, scheduling of the Stake Center for wards that do not typically meet in that building (HB,CP,H2,PB,MP) should be coordinated by the asking ward's Building Scheduler contacting the Stake Center Agent Ward's Building Scheduler.
Tables and chairs are specific to each building and intended for use inside the building. They are not to be removed for any reason (even from the Stake Center to the Stake Park and/or the Stake Park Pavilion) without the approval of the Stake Presidency.
Each Ward’s Bishopric should have 1 key to the Stake Center. This key should be kept by the Bishopric or the designated Building Scheduler for the Ward and loaned out to members of their Ward that have an activity scheduled in the Stake Center. The key should then be returned to the Bishopric or Building Scheduler (who should confirm the building has been cleaned and left in good order). If you know of other Stake Center keys that are out there, please collect them and give them to the Stake Clerk (Bro. Jason Hansen) or a member of the Stake Presidency.
We appreciate everyone’s efforts to better coordinate the use of the Stake Center. Misunderstandings and mishaps can and do happen on occasion, but following these guidelines will help ensure a more uniform and organized use of church facilities and resources.
Neal Peterson - President, Stake Presidency
Scott Harwood - 1st Counselor, Stake Presidency
Greg Biddulph - 2nd Counselor, Stake Presidency
From an email to all bishops dated: Jul 5, 2019, 12:50 PM - minor updates and modifications have been made to keep this information current.
Individual Ward members may schedule family events up-to 90-days before the date being requested. Family events are scheduled equitably through the Ward Building Scheduler.
If a Ward or Family is requesting to use another building (a building other than the one the Ward attends), then the family should go through their Ward Building Scheduler, who will then contact the other Agent Ward's Building Scheduler to coordinate the scheduling and use of the requested building.
The Assistant Stake Clerk works with the Stake Presidency to prepare and enter Stake events and items on the Stake Calendar by the end of October for the coming (next year).
The Ward Building Schedulers may schedule Ward events and items after the stake has published the stake items on the stake calendar. All Wards will be notified after the stake has published the stake's items.
