This is an outline for the protocol to help students better navigate the student worker hiring procedure for paid research assistantships at ENMU. It can change due to various factors, such as administrative updates or individual cases. Please refer to the following guidelines, and if there are any changes to report, feel free to contact Dr. Sieun An (sieun.an@enmu.edu).
First, once your faculty advisor offers you a paid research assistantship, inform the department administrative assistant (you may email and cc your faculty advisor).
Next, access your ENMU portal (available in the student and staff portal, not the faculty) and navigate to "Forms/Downloads". Scroll down to find Human Resources, then click on "Student Clearance to Work at ENMU". Read the instructions and click "HERE" for step-by-step guidance, required documents, and locations.
Print the "Student Clearance to Work at ENMU" form and visit Human Resources (Room 113) in the Administration building. Inform the HR administrative assistant that you have been offered a position as a research assistant (you may mention your faculty advisor and department as needed), and request to proceed with the student worker hiring process on campus at ENMU. Specify whether you are a new hire or not.
The HR admin assistant will provide you with a packet to fill out. The packet includes forms such as W-4, employment eligibility verification, employee information, employee questionnaire, payroll distribution, and drug-free workplace policy certification of awareness. You can choose to complete them there or take them home and return them later.
After completing the packet, return it to the HR admin assistant, who will give you a paper slip to pass to your faculty advisor. Alternatively, you can request the HR to email the slip directly to the department admin assistant (and skip Step 6), and ask them to cc you and your faculty advisor.
Email a photocopy of it to the department admin assistant, ensuring that you cc your faculty advisor in the email.
The department admin assistant will send the hiring notification with the instructions. Once you receive it, carefully read the instructions.Â
For timesheets, you will need to continue working on your timesheet bi-weekly until you stop working. You can find a sample timesheet here. Please do not use the file, but use its format, as you need to sign it if you use the file. Please send the timesheet to the department admin assistant (sara.krafft@enmu.edu), who requires the timesheet to be sent on Friday morning by 10 am of the submission week. Please remember to cc your faculty advisor when you send it. If you forget or were unable to send it on time, please inform the department admin assistant (and cc the faculty advisor).
