CH Bathroom
Tile is being washed and sealed in guest room bath so it can open back up. Materials on hand and expect to be done before end of January
Kids Room Roof
Roof has a temporary patch on it. Alan Bradley Roofing backed out of the re-roof project. A team has been formed to research vendors. We will be exploring 3 ply bitumin, EDPM and TPO solutions. The goal is to identify a quality vendor who can then be partnered with for the full re-roofing project at SC. Team is: Matt, Jim, Dan and Whitney.
Parking Lots
Parking lots have deferred maintenance in place and noticeable decay. First bid involves pavement replacement and resealing. The vendor estimates $40,000. We are identifying 2 more vendors. Team is: Dave, Jim and Bryce.
Porch ReCoating
The porch decks at the CH and all owner units need to be recoated. We expect to have bids and be completed before fall. A team has not been formed yet.
IT Repair Form
The IT website has a repair form mockup which Whitney will revise and enhance and when complete, it will be released and communicated to SC

I forgot to turn on the recording for the meeting however, the bulk of the meeting was going over the reserve study items for the next few years and you can view the comments on the sheet in the right side of the page under comments.
We only had a few at the meeting so reaching out via email to get some maintenance items covered by team members. The list below is what is currently needed, can you respond back to all or to me direct to take on completing a task or two?
Punch List Tasks
Laundry machine repair - Jim is contacting vendor for repair of soap drawer on middle unit unless someone can fix it DIY
Lights out in laundry - Dave is handling
Mini-Split in DR - Did not heat up for Pot Luck. We will contact a service company post meeting with Air & Solar on Monday
West gate lock - See next one
Quotes for locks at SC CH - We need someone to reach out to a locksmith or two and get some professional guidance on how to improve door locking on CH including keypad locks at a few places, security screening, etc. Of course, would need pricing for solutions
Quotes for 2 video cams with wifi - Decided to table this until community requests pricing and exploration
Sidewalks on Stone and Limberlost - Need exploration of our responsibility to repair raised sidewalk trip hazards and how it should be handled by CoTuc. Google sidewalk responsibility in Tucson to get started.
Windows not closing in Guest rooms and bath - Guest room and bath windows are not closing and need a DIY fix that Matt or I can show what might be needed.
Repair Form
I have not shared the Google Form with Whitney yet, so she could not get started. Will do that now so we can start getting the community submitting issues to the form/site.
Reserve Driven Items
As stated, we added comments to the sheet and you can view directly there. Jim will condense the actions down to a punch list to guide some of our work. This will be complete for the next meeting.
Updates of the Updates
Guest room bath status
Tile floor is cleaned and sealed for water intrusion. Toilet is re-installed but may still have a leak from the tank that we are investigating. Tiles on walls still need sealing. As bathroom was not cleaned during deep clean, it may be needed at this time.
Mini Split update
We will be meeting with the owner of the installation company on Monday to review items we have identified for corrective action. Owner has been out of the country or ill and that has slowed response. We are requesting corrective actions by company or a discount and we will have different vendor correct.
Roofing update
We have interviewed 3 roofing contractors in a two part goal. We will use selected vendor to replace the roof over the teen room. We will be testing out a TPO roof (Google it). This will be a good test project as we are preparing to re-roof SC in the coming years. This project will allow us to evaluate approaches, specific install techniques, access to roofs and how to work with solar and HVAC installs in place. Prior to next meeting we will post our document on the exploration to this point. Once we do select a vendor, we are seeing a 1-3 month delay before anyone could schedule it. I believe we can open back up the kids room if there were no leaks from the last storm. We did put up a temporary patch and the room was mold remediated
Parking lot update
Early stages. One bid in. Trying to secure a few more. This would not be just a re-seal, this would be a significant pavement replacement.
NEXT MEETING
Looking for a good night to do a standing monthly meeting. Mondays would not conflict with Board meetings or Thursday meetings.

We received a strong response of 15+ residences who would like to be involved in this project to replace smoke detectors
Sidewalk Exposure
Dereka is investigating our liability on sidewalks along Stone and Limberlost. We will be identifying potential defect areas (without marking them) and will take next steps with City

Whitney completed the form and it has been passed on to Kathy Ligon for adding to SC site and is on signature line for IT email. Due to travel responsibilities we did not have a web based meeting but we communicated back and forth via the email thread. Below is the summary document of that email meeting.
Laundry - David Beymer has picked up the laundry upkeep from John. Thanks Dave! Dave: John and I replaced the door bezel on the Speed Queen clothes washer. As it was the last spare, I ordered 3 more several weeks ago. However, they are out of stock with a possible restocking next week. Stay tuned. Also collected the key from Chris that resets the Error 25 on the lease units. Informed the community of my taking over and we will see how many laundry room users read it.
Mini split wrap - Matt is waiting for the crew to come out and finish and is prodding them along.
Matt: The HVAC vendor was out earlier this week finishing some improvements to their installation on the main unit (compressor) on the room, and the 3 wall units in the gym/art room/teen room.
Quick update - they took care of some key items, like fixing the condensate drains and putting all the electrical cords in good conduits and through the raceway. They also put foam in some of the areas that were aesthetically unpleasing.
I got as much follow-through from them as we could, and they attest that they are good to put their personal and business name to the job's installation. So, i think they are in pretty good shape.
My plan is:
print out some mini instructional sheets of how to use the remotes to put in each room (just images of the different modes, etc)
Tim and I will finish some of the aesthetic things this weekend that still need to be done (scraping foam, paint ouch up, maybe some mesh wiring over raceways to protect against rodents)
Decision: do we leave the gym unit on at some temp (like 80 or 85) all summer so the cool down to use is quicker and more efficient when someone wants to use it, or leave it off? Growing up in Tucson, I have done this often (instead of going 120 degrees to 75, go 85 to 75). There are differing professional opinions about this in terms of cost and efficiency, the contractor said either is okay for the unit.
Locks - Dan and Tim/ Update? Dan: NOT SURE WHAT'S NEXT WITH THIS; AS NOTED PREVIOUSLY, A LOCKSMITH I SPOKE WITH (ON WEST PRINCE) ESTIMATED WELL UNDER $1k TO RE-KEY ALL THE LOCKS WE HAVE (COMMON HOUSE, PERIMETER GATES, ETC.). I'LL REVIEW THE EMAIL THREAD WE HAD GOING ABOUT THAT AND OFFER SOME MORE THOUGHTS AND/OR CONNECT WITH TIM ABOUT MOVING THIS FORWARD.
Sidewalks - Dereka. Update the team when you can Dereka.
Dereka: I called the City to see if we could participate in the cost share program. This is what happened --
They've taken reports on the two block faces and will send someone out to inspect, probably by the end of the week.
If they identify any issues, they will mark/paint the sidewalk where they see the possible hazard. The inspector then goes back to the office to figure out whose responsibility this is.
If it's the city responsibility, they move forward with repairs without notifying us. If it's our responsibility, the homeowner will get the notice. If we get the notice, we then call the city (520-791-3154) and say that we received a notice (or notices) and that we'd like to participate in their cost share program. They then bill us for 50% of the cost of materials and send out a team to complete the work (not sure of the order of that, might do the work and then bill).
Seems simple, so there's probably something missing here. I didn't mean to ask for inspectors (was trying to get cost share eligibility info), but that's what happened.
Dereka 2: The person I spoke with thought that the inspection would happen by the end of the week. The trick is that if they see no problems, they don’t tell us that, we only hear from them if there are problems and it’s our responsibility. If it’s their responsibility, they just fix it and never let us know they’re doing it. (May 2)
Dereka 3: Yes! And I imagine there will be at least one mark. If we don’t see anything on will follow up mid/late next week. I will forward you the email confirmations. They are doing the entire block from the corner to Thurston rather than just Stone Curves.
Blind repair in Art Room - Apparently the blind may have been damaged by AC installer. Can it be fixed? Open item
Roof spec - Jim. We will specify the scope of work for re roof and get new quotes.
CH roof bid - Matt & Jim. Work in progress. We will spec out the job and get fresh pricing. We will probably replace the current roof with same material. Roofing costs had really risen with inflation last year.
Jim: Matt, Bryce and I plan to web chat this week (5 6 2023) and determine next steps for CH Library roof to try and wrap up before monsoon
Parking bid - Bryce. New vendor came out. Looking forward to the quote!

Smoke Detectors project - We have great community interest in this and need to have a lead person to handle the logistics. Open Item
Path lighting - Open Item. We should explore options and community thoughts Dan: THIS CAME UP IN THE RECENT SECURITY TOWN HALL, AND MOST EVERYONE IN ATTENDANCE AGREED THAT REPAIRING AND/OR UPGRADING OUR PATH LIGHTING WAS AN OBVIOUS THING TO DO TO INCREASE SAFETY AND SECURITY. ONE STEP MIGHT SIMPLY BE TO MAKE THE ROUNDS OF THE CURRENT INSTALLATION (INSTALLED BY ME, GEORGE, MITCH AND MAYBE SOMEONE ELSE A DOZEN OR SO YEARS AGO) AND MAKE SURE THEY'RE ALL WORKING AND TRY OUT HIGHER-WATTAGE BULBS. BEYOND THAT, A MORE COMPREHENSIVE STUDY AND PROPOSAL WOULD NEED TO BE DEVELOPED AND REVIEWED BY THIS TEAM, I'D THINK.
Repair audit of common house - Jim. Would like to walk through CH and Common areas and do an audit of maintenance related items.
Tres: At CHIC Thursday we identified some new and old repairs needed.
NEW: Broken skylight in DR.
OLD: In Toddler room the wallboard needs to be replaced so the bookcase can be fastened to the wall to prevent it tipping over on a child. Ceiling tiles need to be replaced.
Library needs mold assessment so the last of the painting can be done.
Exercise room: has a broken window.
Art room has a broken blind that needs to be fixed.
Living needs ceiling tiles replaced once it is determined leaks have been fixed.
Guest room needs repairs to wall after leaks are determined to be fixed. Then we CHIC can arrange for painting.
Gate team - Need to expand the team for remotes and gate maintenance. Open Item
Library leak - Jim. Still investigating. Caulked area. Water tested. Still leaks. Could be on deck. Jim could use help.
Ferro wall, Stone Ave - Patrick reported this. Have not seen it. Miquel has done these repairs in the past. From Bryce:Can the ferro wall guy also repair the arch at the playground?
Dan: I'M NOT AWARE OF WHAT MIGUEL MAY HAVE DONE WITH THIS IN THE PAST. BUT, MATT AND I DID SOME REPAIRS TO THE DAMAGED WALL ON THE NORTH EAST CORNER, ADDING CONCRETE TO IT. I THINK ONE MORE APPLICATION, THEN SANDING IT TO RE-SHAPE WOULD BE A GOOD NEXT STEP. THE PARTICULAR CONCRETE PATCH WE ARE USING DOES NOT REACT WITH FERROUS SULFATE (LIKE REGULAR CEMENT MIX), SO ONCE IT'S REPAIRED, WE CAN USE SPRAY PAINT WHICH MATT AND I HAVE FOUND PRETTY CLOSELY MATCHES THE COLOR OF THE WALL STAIN. LIKEWISE WITH A GRAFFITI-MARKED SECTION ON THE WALL ON STONE, A BIT SOUTH OF THE GATE NEAR ARI'S PLACE. MATT, WOULD YOU BE UP FOR DOING SOME MORE WORK ON THIS BETWEEN NOW AND, SAY, MID-MAY OR SO?
