School Mate ("we", "our", "the app") is a private communication workspace used by schools to connect administrators, teachers, students, and parents. This page explains what information we collect, why we collect it, and how it's protected.
Who provides your data
School Mate is used by schools that have signed up as customers. Your school's administrator creates accounts for its staff and students — individuals do not sign up for School Mate directly. If you have questions about what data your school has entered, please contact your school administrator first.
Information we collect
Account details: name, email (staff) or roll number (students), and phone number, used to sign in and to identify you within your school.
Messages and attachments you send within your school's private channels.
Poll responses you submit in your school's channels.
Call metadata (who called whom, and when) for the in-app voice calling feature. Call audio itself is transmitted directly between the two devices and is not stored on our servers.
Device push-notification tokens, if you enable notifications, so we can deliver new-message alerts.
Basic usage data (such as when you were last online in a channel) used only to show read receipts and online status within your school.
App usage analytics (via Google Analytics), such as which pages/screens you visit and general engagement — used only in aggregate to understand how School Mate is used and to improve it, not to individually identify or profile you.
How we use this information
Data is used solely to operate School Mate for your school: authenticating your login, delivering messages and calls in real time, showing who's online, and sending notifications you've opted into. We do not sell your data, and we do not use it for advertising.
Data isolation between schools
School Mate is multi-tenant: every school's data is kept strictly separate. A person at one school cannot see or access another school's channels, messages, or member list, regardless of their role.
Who can see your data
Access follows each person's role within their own school: messages in a class group are visible to that class's students, their parents, assigned teachers, and school admins; school-wide announcements are visible to everyone in the school. Poll votes are visible in aggregate to everyone in the channel; individual voter names are visible only to teachers and school admins.
Data storage and security
Data is stored on secured cloud infrastructure and transmitted over encrypted (HTTPS/WSS) connections. Passwords are stored as one-way cryptographic hashes, never in plain text. Voice calls connect peer-to-peer directly between devices wherever possible.
Data retention and deletion
We retain data for as long as your school continues using School Mate. If your school stops using the app or requests deletion, we remove the school's data from our active systems.
To request deletion of your data (for example, your messages, poll votes, or account details) without deleting your whole account, email divacanshi@gmail.com from the email address associated with your School Mate account, stating your school's name, your role (admin/teacher/student/parent), and what you'd like deleted. We'll confirm what was removed and what (if anything) we're required to retain — for example, other members' copies of messages you sent in a shared channel aren't deleted from their view, and basic account records may be kept as long as your school's account with us remains active. We aim to complete deletion requests within 30 days.
Children's privacy
School Mate is used by students under the direction of their school and, where applicable, their parents. Student accounts are created and managed by the school administrator, not by the student directly. We collect only the information necessary for the app to function as a school communication tool.
Changes to this policy
We may update this policy as the app evolves. Material changes will be reflected on this page with an updated date.
