2. What this policy covers

This Privacy Policy explains how ScanBuddy handles information when you use the ScanBuddy Android app. ScanBuddy is an independent delivery-driver companion app and is not affiliated with, endorsed by, or supplied by any delivery platform or software provider.

3. Information ScanBuddy accesses

ScanBuddy is designed to minimise data handling.

Accessibility Service content

If you enable Android Accessibility access, ScanBuddy temporarily reads text displayed in supported delivery-driver app screens. This allows it to recognise the supported screen, show the appropriate ScanBuddy button, and carry out the action you choose.

The screen content visible to ScanBuddy may include parcel references, tracking numbers, delivery details, or other information displayed by the delivery-driver app.

This processing happens on your device. ScanBuddy does not save, upload, sell, or share that screen content.

Camera information

Smart Scan uses your device camera only while you actively use the scanner. Camera frames are used to recognise a barcode or tracking number during that scan.

ScanBuddy does not store or upload camera images or video.

Local app data

ScanBuddy stores the following information locally on your device:

• Your app settings and button-position preferences;

• Local dashboard statistics, such as work time, delivery and collection totals, and feature-use totals;

• The time-saved values you choose in Settings.

This information is used only to provide ScanBuddy’s features and is not sent to us.

Depending on your Android backup settings, your device may include local app data in a backup managed through your device account provider. We do not access or retrieve those backups.

Contact information

If you choose Contact us in ScanBuddy, the app opens your chosen email app with a message addressed to support@4ppl.co.uk. If you send us an email, we may receive and process your name, email address, message, and any information you choose to include so that we can respond and provide support.

4. Information we do not collect

ScanBuddy does not use advertising SDKs, analytics SDKs, or tracking technologies.

We do not collect, sell, rent, or share:

• Screen content from your delivery-driver app;

• Tracking numbers or parcel details;

• Customer information;

• Camera images or video;

• Your local dashboard statistics;

• Payment-card details.

5. Purchases and subscriptions

If you purchase a ScanBuddy subscription, payment is processed by Google Play. ScanBuddy uses Google Play Billing to check whether a ScanBuddy subscription is active and to provide access. ScanBuddy stores only a local indication of active subscription access and does not store payment-card details. 

6. Why we process information

Where applicable, we process limited personal information for the following purposes:

• To provide the ScanBuddy features you choose to use;

• To respond to support requests you send us;

• To administer subscriptions made through Google Play;

• To maintain the security and reliability of the app.

The Accessibility Service and camera features operate only after you enable the relevant Android permission and choose to use the feature.

7. Sharing information

We do not share personal or sensitive information accessed by ScanBuddy with third parties.

The only exceptions are:

• Google Play, which processes purchases and subscriptions;

• Your email provider, when you choose to send us a support email;

• Service providers used to operate our business communications, only where necessary to respond to your request or meet legal obligations.

We do not sell personal information.

8. Data retention and deletion

Screen content and camera frames used by ScanBuddy are not retained by us.

Local settings and dashboard statistics remain on your device until you change them, clear them in ScanBuddy Settings, uninstall the app, or remove them through your device settings.

Support emails are retained only for as long as reasonably necessary to resolve the request, maintain support records, and meet legal or accounting obligations.

9. Security

We use reasonable technical and organisational measures designed to protect the information we handle. ScanBuddy is designed so that its core delivery-driver screen processing and camera recognition take place on your device rather than on our servers.

10. Your rights

If UK data-protection law applies to you, you may have rights to request access to, correction of, deletion of, restriction of, or objection to our processing of your personal information. You may also have the right to data portability in certain circumstances.

You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.

11. Children

ScanBuddy is intended for adult delivery drivers and is not directed at children.

12. Changes to this policy

We may update this Privacy Policy when ScanBuddy changes or when legal requirements change. We will publish the updated version on this page and update the “Last updated” date above.
