🎵 Sarah’s Music Academy – Studio Policy 🎵

Please read the following to understand how lessons, payments, and attendance are structured at our academy.

Lesson Payment

•  Lessons are invoiced per term and MUST be paid in advance before the first lesson of the term.

•  School holidays are not included in term invoices. If you would like lessons during the holidays, please let us know. Holiday lessons will be invoiced separately.

Term Commitment

•  Enrolment reserves a student's lesson time for the entire school term.

•  Students are committed to the full term once invoices have been issued.

Missed Lessons

•  If a student cannot attend a scheduled lesson and provides notice, and a make-up lesson will be arranged where possible.

• Make-up lessons may take place during available gaps in the teacher's schedule or during school holidays.

•  If a student is absent from a lesson without providing notice, no make-up lesson or lesson credit will be issued.

•  Lesson times are reserved exclusively for each student. When insufficient notice is given, we are unable to offer that lesson time to another student.

•  We do not offer refunds for missed lessons.

Illness

•  Students who are unwell should not attend lessons in person we will issue a makeup credit Communication

• All communication should be made via text message or email.

•  Please provide as much notice as possible if you need to cancel or reschedule a lesson.Practice Expectations

•  Students are expected to practise regularly between lessons.

•  Teachers will provide practice goals, exercises, or recommendations each week.

•  Younger students may require support from parents or carers to establish consistent practice habits.

Punctuality & Arrival

• Please arrive on time for lessons.

• Lessons will finish at the scheduled time even if a student arrives late.

• Parents may stay in lessons, wait in the designated waiting area or return at the conclusion of the lesson.

Late Pick-Up

•  Parents and carers are responsible for collecting students promptly at the end of their lesson.

•  Teachers may not be available to supervise students outside of their scheduled lesson time.

Lesson Materials

•  Students must bring all required books, folders, sheet music, and instruments (where applicable) to each lesson.

•  Teachers may recommend additional books or learning resources when required.

• Digital resources, recordings, backing tracks, and lesson materials may be provided where appropriate.

Public Holidays

•  Lessons do not run on public holidays.

•  Students will not be charged for lessons that fall on a public holiday.

Teacher Absences

•  If a teacher is unavailable, a make-up lesson or substitute teacher will be offered where possible.

•  If no alternative can be arranged, a credit will be applied to the student's next invoice. 

Cancellations by the Academy

•  If the academy cancels a lesson for any reason, a make-up lesson or credit will be provided.

Care of Property

•  Students and families are expected to treat academy facilities, instruments, equipment, and teaching materials with care and respect.

•  Any damage caused through misuse or negligence may incur repair or replacement costs.

Photography & Social Media

•  From time to time, photographs or videos may be taken during lessons, performances, concerts, or academy events.

•  These images may be used for academy marketing and social media purposes.

•  Permission will always be sought before any student's image is published.

CCTV / Security Cameras

For the safety and security of our students, families and teaching team, security cameras are installed throughout the teaching rooms and studio premises.

Cameras are used primarily for:

• Student and teacher safety

• Preventing and investigating theft, loss or damage to studio property

• Maintaining the security of the studio

• Supporting the wellbeing and safety of students and staff

Cameras are positioned to monitor the teaching areas and studio spaces only. They are not installed in bathrooms or other private areas.

By attending lessons or entering the studio, students, parents/guardians and staff

acknowledge that CCTV may be in operation. Camera footage is treated as confidential and is only accessed when reasonably required for security, safety or incident investigation purposes.
