MyEquipmentSanta Program: Equipping Holiday Magic Makers
Welcome to the MyEquipmentSanta Program. We exist to bring the right gear to the right people—Santas, Dickens carolers, Grinches, elves, and all those who make the holiday season come alive. Inspired by a friend who knew how to light up a room, M.E.S. is more than equipment—it’s about carrying forward the magic of the holidays.
Why Gear Sponsorship Matters
Every holiday character has a story to tell. A Santa without his suit is like a Dickens actor without a waistcoat or a Grinch without his green fur. The cost of these costumes and props is steep, and not every performer has the means to make it happen. That’s where MyEquipmentSanta steps in.

Sometimes, we get lucky... Meet Santa D2 and Santa Alona. All they needed was a bit of help to get rolling... Ho ho!! Part of the class of 2024...

Jeez we meet some nice folks doing all of this. D2 is on a mission that really tugs the heart strings, and we're trying to help. He'll be sporting my old suit... I couldn't be more proud to hand it off to someone who is going to put it to good use! ho ho!
Santa Alona
Being a single mom is a bit of work alright! So we're doing what we can to support Alona as she takes on becoming Santa AND Mrs C! We're handing her two rigs to try to get her up and running ASAP so she can join us making bank as a virtual Santa & Mrs C. I tell ya, we know all the nice people...
Santa Cole
He always wanted to be a Santa? Yes... Santa Cole. He's a jolly fellow.
We are pleased to mention we're helping him do some good work over the holidays. Cole, to his credit, has been really good at following up on opportunities we've unearthed... He's scored several jobs and numerous bookings! And because of our supporters, we're able to help him with his gear! Ho ho!! A Christmas miracle? No! Just neat people working together to really make a difference!
This season, Santa Cole will be working a variety of private events; he will be at Lit Immersive and even The 5th Ave Theatre... Ho ho! How neat!!
Class of 2023 Santa Dave
Dave was out here last year, and we did some Santa work together. I'm pleased. I was telling him how we'd started more mentoring and now our equipment sponsorship program, and he told me we get the suit off his back next year since he's going to get a new one! So that nice plush suit he is wearing right there? Next year, we can use it to help another new Santa in need! Ho ho! Now that is a Christmas miracle. Ho ho!!
This year? We're helping 7 folks with bits and bobs... Belts, boots, a sack here, a wig there. In total, we've 4 we're pretty much done head to toe, and a few others where we have helped them with bits and pieces. Yet here is the best part of this story! We're just getting started. Over the 2025 season, we're going to find more used equipment we can pass along, more resources we can use to help, and more time to help more people, and as next year comes on, we're going to be able to help more new workers make more money! Ho ho! How fun!
We've partnered with Champions, a local heavyweight in the party supply space run by the highly savvy Victoria Champion, a third-generation owner.
Champions not only took wonderful care of us, but they also showed us a whole line of costumes, allowed us to try them on, and more! Champions! They are great!
From Ukraine... Yak Hair With Love...
We're really proud of this! We have a Santa who needs a high-quality beard so he can earn some solid cash this season. We were able to secure a wonderful Yak Hair beard for him! We received a great deal on the piece. The provider is a wonderful woman who lives in Ukraine, and she took great care of us! This is another example of the My Equipment Santa program, a HeartCloud Foundation program that helps folks who want to work to have the equipment so that they can.
A vintage rig from 1991!! How fun...
I asked a Santa the other day about gear?
He said, "Times are tough, Dan. I think I saw a $40 rig on Amazonia..."
And I said "Don't do that. Don't. I'll find you some gear. Don't waste a $40...."
So we have found some. He wants to work. I am going to find a way ( or two or three ) to help him. Ho ho! After all, what would you expect from My Equipment Santa...
This rig is a nicely made "semi-pro" rig that we were able to land for a little over $100. It's about a $250 rig in today's dollars, and it is going to serve our Santa wonderfully. Ho ho! How neat!
MyEquipmentSanta (M.E.S.) Program Policies
The HeartCloud Foundation is dedicated to supporting holiday performers through the MyEquipmentSanta (M.E.S.) Program. To maintain transparency, efficiency, and fairness, the following policies govern the program’s operations, eligibility, and sponsorship guidelines.
1. Eligibility Requirements
To be eligible for support through the M.E.S. Program, applicants must:
Be actively engaged in holiday performance roles, including but not limited to Santas, Mrs. Clauses, Dickensian carolers, elves, and Grinch performers.
Demonstrate financial need or a lack of access to necessary gear and equipment.
Provide references or proof of participation in holiday events, such as community performances, charity events, or professional gigs.
Note: Priority will be given to performers who serve underprivileged communities or participate in volunteer-based holiday activities.
2. Application Process
How to Apply: Interested performers must complete an application form, available on our website, detailing their role, the gear they need, and why they are seeking support.
Supporting Documentation: Applicants may be required to submit proof of performance activities or a reference from a community leader or event organizer.
Review Timeline: Applications will be reviewed on a rolling basis, with decisions typically made within 4-6 weeks of submission.
3. Sponsorship & Funding Guidelines
Individual Sponsorships: Funds or gear will be allocated based on availability and the needs outlined in the application. Sponsored gear may include Santa suits, Dickensian costumes, Grinch outfits, elf accessories, and other related items.
Corporate & Community Sponsorships: Contributions from corporate partners or community groups may be directed toward specific gear needs or general program support. Sponsorship acknowledgments will be outlined in donor agreements.
In-Kind Donations: The M.E.S. Program accepts gently used gear donations. All in-kind donations must be in good condition and appropriate for professional or community holiday performances.
4. Gear Distribution & Usage
Ownership of Gear: Gear provided by the M.E.S. Program remains the property of the HeartCloud Foundation unless otherwise specified. Recipients agree to use the gear exclusively for holiday performances that align with the program’s mission.
Return Policy: If a performer no longer needs or can no longer use the gear, it must be returned to the HeartCloud Foundation to be reallocated to another performer in need.
Gear Care: Recipients are responsible for maintaining the gear in good condition. The M.E.S. Program may provide guidelines on care and storage.
5. Reporting & Accountability
Impact Reporting: Recipients may be asked to share photos, stories, or feedback about how the gear has helped them in their performances. This information may be used for promotional purposes to highlight the impact of the program.
Compliance: Any misuse of gear or misrepresentation in the application process may result in the requirement to return the gear and possible disqualification from future program support.
6. Sponsorship Acknowledgments & Recognition
Sponsors & Donors: The HeartCloud Foundation will acknowledge sponsors and donors on our website, at events, and through social media, unless anonymity is requested.
Branding & Partnerships: Corporate sponsors may be featured in our promotional materials in accordance with the terms outlined in sponsorship agreements.
7. Program Limitations
Funding Availability: The M.E.S. Program operates based on available funding and donations. We cannot guarantee support for every applicant, but we strive to assist as many performers as possible.
Changes to Policies: The HeartCloud Foundation reserves the right to update or modify these policies as needed to ensure the program’s continued success and sustainability.
