Home and School Board Positions Descriptions

Executive Board

The Executive Board meets monthly with the School Administration to plan and coordinate Home and School activities.

President (two-year term)

The President oversees all activities of the Home and School Association. The President has served as the Vice President the preceding year, then assumes the presidency for one year totaling a two-year term (one as V.P., one as President). The President is responsible in agreement with the rest of the Executive Board for any budgetary decisions or requests. The President should be available to attend all or at least most of the Home and School scheduled activities (e.g. Lunch with Santa, Spring Fundraiser).Time commitment: Fairly extensive requiring some daytime meetings/activities; If the President is a working parent they should have a flexible work schedule.



Vice President (two-year term)

The Vice President assists the President as needed, and in the absence of the President, performs the duties of the President. The VP serves for one year and assumes the office of the President the following year. The Vice President also plans at least one H&S Speaker Program for parent's to attend. This entails coming up with relevant topics (e.g. internet safety for kids), finding a speaker, negotiating a speaker fee, advertising the event, and coordinating the event. Time commitment: Fairly extensive requiring some daytime meetings/activities; If the Vice President is working parent they should have a flexible work schedule.



Secretary (two-year term)

The Secretary records the minutes of all meetings and sends copies of such to a specific distribution list within the parish and school community. The Secretary also communicates with the Executive Committee and the Board requesting agenda items for upcoming meetings.Time commitment: This does not require a large time commitment. Most of the time commitment is being at the monthly meetings and sending out communications (mostly via e-mail) to board members, parish and school community; The Secretary should have the ability to send out e-mails. If the Secretary is a working parent they should have a bit of a flexible work schedule just in order to attend the meetings.



Treasurer (two-year term)

The Treasurer assists the president prepare the budget and monitors expenditures throughout the year to ensure compliance with the budget. The Treasurer is responsible for paying bills, fulfilling reimbursement requests, making deposits, and reconciling the bank account. The Treasurer also handles the Christmas and Year end gift collections for staff. Time commitment: Must be able to check the mailbox in the Home and School Office a few times per week and attend Exec Board Meetings and other meeting as needed.


GENERAL BOARD POSITIONS (Chairmanships)

Chairs of the General Home and School Board responsibilities are listed below. In addition the Chairs of the General Board will meet with the Executive Board and General Board at evening meetings which are pre-scheduled and as-needed (not necessarily every month).

Sponsorship Committee (two year term)

This committee will oversee all sponsorship opportunities for St. Anastasia Home & School. Their goal will be to work with various committees to generate funds and seek sponsorship opportunities from local businesses, neighbors and parish community.

The committee will develop and execute a Sponsorship Plan that will incorporate a few key events under Home & School. This committee will work closely with the Spring Fundraiser Committee, Hoops Hysteria Committee, Website Coordinator and Directory Chairperson; as well as the Home & School Board.

Monthly Updates will need to be sent to Home & School Board for Executive Meetings.

Directory (two-year term)

To work closely with school office personnel to obtain and organize contact information from all school families and produce the school directory that goes out to the school community at the beginning of the school year. Computer skills are necessary. Time commitment: Work required over the summer and into the first two months of school but can be done from home.

Family Outreach (two-year term)

This committee provides support to SAS community by welcoming new families, teachers and students (This requires work over the summer months; working on gathering names of new students and assigning each family to a buddy family). Family Outreach coordinates the Boo Hoo Breakfast for parents of K and first graders. Family Outreach coordinates the New Family Social (first Friday of school in the evening). This committee also offers help to school families in need by coordinating volunteers to provide meals and other assistance, as needed. Additionally, they coordinate volunteers to assist on the first day of school. Time commitment: Some summer work, as needed with most of the time spent in the summer and first month of school

Homeroom Assistants (two-year term)

This committee coordinates Homeroom Parents for each grade and classroom. They will assist with some class parties and coordinate a birthday card/gift for their teacher. Homeroom Assistants are also asked to help monitor the classroom while the teachers attend the Thanksgiving Luncheon, Christmas Breakfast and Catholic School Week Luncheon. Time commitment: Minimal and as needed to help at class parties e.g. (Halloween) and help at teacher luncheons which are scheduled far in advance so working parents will know when you need time off from work.

Hospitality (two-year term)

This committee provides assistance to school-related meetings and functions by obtaining and setting up refreshments prior to these events (e.g. Thanksgiving luncheon and Christmas Breakfast for the teachers).Depending upon the need, this committee contacts additional volunteers requesting help in donating a dish or dessert for meetings or functions and to help with set-up and clean up. Time commitment: Minimal but need to be available on the event days (some will be during the day) to set-up, oversee and clean up.

Marketing/Publicity (two-year term)

The time that is spent taking pictures and getting them to the paper depends on the activity level at school. The first week of school which is probably the busiest next to Catholic Schools Week takes about 2 hours tops. That includes taking pictures of the first day of school, the Boo-Hoo Breakfast and New Family Social, then emailing them to the County Press. Time commitment: Flexibility to attend events during the day, on nights and on weekends. This is not a time consuming job. In fact, if The Chair can't make an event, i.e. Communion, they can ask someone else attending the event to email a picture. The previous chair has a list of what events have had pictures taken in the previous year. Basically, this position is an "as needed" kind of position, and again, 2 hours tops is during a busy week with many weekly lulls in between.

Social Committee (two-year term)

Social Committee is comprised of two volunteers and two "shadow" volunteers. This position is a two year term with the first year being a "shadow" year and the second year in the head position(s). Social committee is responsible for 3 St. Anastasia activities during the school year: Homecoming, Lunch with Santa and Family Bingo Night. All events are advertised in the E-Bell Communication for several weeks before each event.More information regarding each event coordinated by the Social Committee is located on the H&S Website under "Social Committee." Spring Fundraiser (one-year term)

Chairpersons are responsible for planning and implementing all aspects of next year's spring fundraiser. A large committee is organized to assist the chairs. Time commitment: This will be a very busy committee from January until the event which is in late March/early April.

Service Corp (two-year term)

Service Corp facilitates opportunities for St. Anastasia families to put their faith into action by reaching out to perform works of mercy in our parish and surrounding neighborhoods. We partner with Sr. Sue Lindinger to identify people and organizations in need, fulfilling the two great Commandments – loving God with our whole being and loving our neighbors as ourselves. The Service Corp is comprised of two Leads and two “Shadow” volunteers. Positions are two year terms, with the first year being a “shadow” year and the second year serving in one of the lead roles. Parent volunteers also support the service projects in Project Lead or supporting roles. All Service Corp Leads, Shadows and parents serving as Project Leaders or volunteers must have up to date clearances on file at the school to serve in these roles. Time commitment: Service Corp Leads and Shadows begin with a planning meeting prior to the start of the new school year to set a calendar of age appropriate service projects for children in Grades 2-8. Typically 1-2 service projects take place each month during the school year from October-May. Each project typically runs 1-2 hours in duration. Leads create brief communications via Constant Contact to promote the monthly projects to the parents and children of the assigned grade(s). Leads and Shadows take turns organizing & executing projects and engaging volunteers to share in the joy of serving others

Uniform Exchange (two-year term)

This Chairperson displays the uniforms at the New Family Social and Back to School Night in the fall. They also periodically sort and fold newly arrived uniforms and maintain order to the stock which is stored in the Home and School Office. Time commitment: VERY minimal. Just check the uniforms in the H&S Office periodically throughout the school year to keep things neat and organized. Send periodic messages in the E-Bell to ask for donations and remind people to stop in and look through the stock.

Ways & Means (two-year term)

This committee coordinates and implements Home & School fundraising projects throughout the year (e.g. fall raffle, coupon book sales). Time commitment: Busier in the fall but a larger committee so there is a lot of help.

Website Coordinator (two-year term)

This chairperson will keep the H&S website current. This requires periodic (generally weekly) updating of changing information (e.g. upcoming events, thank you's, etc.) This can all be done from home. It will require internet access, some computer skills, website experience is a plus but not necessary. The website is not at all difficult to learn to maintain (requires just an hour or so of orientation). Time commitment: Minimal. No more than 30-minutes per week. This job can be completely done from work or home so a great job for a working parent.

Yearbook Committee (two-year term)

The chairperson is responsible for overseeing all aspects of yearbook production, including recruiting a yearbook staff for assistance. They will organize and delegate the responsibilities for gathering and compiling material for the publication of the annual school yearbook. They, along with their staff, will prepare orders and distribute books upon delivery.

DUTIES: Checking and organizing the school portraits and verifying names are correct. Ensuring each sport team/ school activity has a portrait taken as well as verifying student names in the picture. Taking all photos and creating collage pages depicting the school happenings.

Trivia Night: (two-year term)

This Committee will oversee the Adults only Parish event.

Bag Bingo: (two-year term)

This Committee will oversee all aspects of planning this event.
