Introduction

SafetySphere AI ("we," "our," or "the App") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use SafetySphere AI. By using SafetySphere AI, you agree to the collection and use of information in accordance with this policy.

Information we collect

• Account Information: When you create an account, we collect your email address. Username is optional.

• AI Query Data: Text you enter as queries to our AI assistant, compliance analysis descriptions, and related inputs.

• Photos: Images you voluntarily submit for compliance analysis are transmitted to AI processing services and are not stored permanently on our servers. Enterprise subscribers who upload brand logo images have those files stored permanently in our cloud storage.

• Usage Data: Information about how you use the App, including features accessed, AI searches performed, and interaction patterns.

• Subscription Data: Payment and subscription information is processed by Stripe. We do not store complete payment card details.

• Locally Stored Data (device only, not transmitted):

• Bookmarked regulations and saved searches

• Audit reports, incident records, and corrective action items

• Training records, compliance calendar events, and action items

• Calculator results and benchmark history

• App preferences and usage counters

• Support Ticket Data: When you submit a support ticket, we collect your email address, an optional name, ticket subject and description, app version, device type, and OS version. This data is stored in our cloud database and used to respond to your request.

• Enterprise Branding Data (Enterprise plan only): Enterprise subscribers may upload company logos and configure branding preferences. Uploaded logo images are stored permanently in our cloud storage. Company name and color preferences are stored within your subscription record.

How We Use Your Information

• To provide, operate, and maintain SafetySphere AI

• To process AI queries and deliver compliance guidance

• To manage your account and subscription

• To enforce usage limits based on your subscription plan

• To improve our AI models and service quality

• To send service-related communications (not marketing without consent)

• To comply with legal obligations

AI Service Transmission

• SafetySphere AI features are powered by Google Gemini models. When you submit a query:

• Your query text is transmitted to Google Gemini for processing

• Photos you submit for analysis are transmitted to Google Gemini and processed in real time

• Support chat messages sent through the in-app AI assistant are also processed by Google Gemini models.

• AI responses are generated based on your input and returned to your device

• Google Gemini data handling policies also apply to transmitted content

• Do not submit personally identifiable information, confidential business data, trade secrets, protected health information (PHI), or other sensitive data in AI queries.

Data Storage and Retention

Account data: Retained while your account is active. You may request deletion at any time.

AI query logs: May be retained for a limited period to improve service quality and investigate abuse. Not used to identify individual users in marketing.

Local device data: Stored using AsyncStorage. Cleared when you uninstall the app or clear app data.

Payment data: Processed and retained by Apple in accordance with their privacy policy.

Information Sharing

• We do not sell, trade, or rent your personal information. We may share information with:

• Google Gemini (for AI query and photo processing, under data processing agreements)

• Supabase (for authentication, database, and cloud storage services)

• Resend (for transactional email delivery of reports, JSA summaries, incident reports, and support notifications)

• Legal authorities when required by applicable law

Your Rights

• Access the personal data we hold about you

• Request correction of inaccurate data

• Request deletion of your account and associated data

• Withdraw consent to data processing where consent is the basis

• Lodge a complaint with a supervisory authority

• To delete your account and all associated data, go to Profile → Help & Platform → Delete Account. This action is permanent. You may also request data deletion by emailing safetysphereai@gmail.com.

Children's Policy

SafetySphere AI is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us immediately.

Policy Changes

We may update this Privacy Policy periodically. We will notify you of material changes through the App. Continued use after changes constitutes acceptance.
