Conference Procedures
So You Want to Go to A CTA/RCTA Conference?
Step 1
Identify the Conference you want to attend. RCTA will pay $650.00 toward the total expense of the Conference. If it is a non-CTA Conference please send the flier or website to Devin Office Manager. On a case by case basis, if a CTA Conference is a further distance or in a more costly economical area, the President and RCTA Cabinet will decide on an additional amount to cover the cost.
Step 2
Fill out Google Form Conference Application. You may apply up to 90 days before the date of the conference. Applications close 15 days prior to the conference or once the conference is full. RCTA will register you for the conference and the designated hotel*.
Step 3
Attend the conference, in accordance with Standing Rule #7. Keep receipts of all transactions (food, transportation, airport parking, etc.) for reimbursement, including map for mileage verification if driving to/from the conference or airport, in accordance with Standing Rule #6:
Step 4
Fill out Conference Reporting Form and complete RCTA Expense Form including Receipts. All forms must be returned with receipts within 30 days of the end of the month of conference or claim can not be processed. RCTA will process the expense claim and mail reimbursement check to your home address.
Step 5
You may be asked to share about your conference experience at a Site Rep. Meeting.
*Please note upon checking into the hotel you will need to provide the hotel with a credit card for your incidentals. The hotel will be paid for, but not additional purchases that will be charged to your room. Additionally, If the conference was not attended due to a personal issue, the money will need to be returned to RCTA.
