CALL NUMBERS
A. PUBLICATIONS CHECKED IN USING THE SERIALS CONTROL MODULE
You may specify a library-specific call number that will display in the RiverShare OPAC. In addition, enter publication patterns using templates created according to RiverShare standards. If you are not sure whether a template is current or how to create an appropriate template, discuss via the RiverShare Technical Services e-mail list (riversharetech@gaggle.email).
B. MULTI-VOLUME WORKS (e.g. travel guides, annual directories, etc.)
1. Call number entry for multi-volume works (including periodicals not entered using the serials control module) must meet the established standard of entry. Using a standardized format (including punctuation, capitalization, and spacing) is vital to the placement of holds by library patrons and library staff.
2. The designated format is: call number of the library’s choosing, followed by the multi-volume (volume, edition, etc.) information in the volume field of the call number.
No commas are to be used; only spaces between values, except in the case of a specific issue date of a periodical. When entering a year, enter all four digits. Use all capital letters. For the following examples, the information in red goes in the volume field. If older entries need to be changed, please notify the cleanup list (riversharedsc@gaggle.email).
The sequence of data in the Call Number field is (space =^):
CALLNUMBER EDITION^VOLUME^PART^NUMBER^YEAR
Examples: 332.02 SMI ED.^20^V.^1^PT.^2^NO.^6^2008
332.02 SMI ED.^20^NO.^6
3. In order to consider a year as an edition, it must be stated on the item as such: 2008 edition. A year included in the title of a work is not an edition statement. In the absence of a numbered edition statement, and in the presence of a year as an edition, move the year to the first position in the volume field.
Example: 332.02 SMI ED.^2008^V.^1^PT.^2
For a revised edition, it would be as if written Edition 2008, Revised:
Example: 332.02 SMI ED.^2008^REV.
4. Listed below are acceptable labels and abbreviations (consistent with abbreviations listed in Appendix B of Anglo-American Cataloguing Rules, Second Edition, 2002 Revision: 2005 Update). All are entered in capitals, followed by a period (where indicated), followed by a single blank space, then the numbering.
V. book, books, volume or volumes. DO NOT use BK., BKS, or VOL.

WHOLE NO. - Whole number (Whole number is used in the following cases: If the title is using V / # & a cumulative number, use the term WHOLE NO. Example: V. 66 NO. 5 WHOLE NO. 568.)
5. Use the following for months of the year:

6. Use the following abbreviations for seasons of the year (no periods):

7. When consecutive months, seasons or years are combined in the call number, use a “/”.
Examples: ADULT MAG V.^7^NO. 3^MAY/JUNE^2008

8. When there is a range of dates in the call number, use a “-“.

9. Do not use the volume field on a record that is not multi-volume, unless needed to distinguish items for the purpose of placing holds. Library specific information should go in the suffix field. The call number for the following item should not have a volume field because the year is already specified in the bibliographic record (which is not multi-volume) and all items on the record are the same. The volume field is only used to order or group items with more than one possible year or volume, etc.

C. Packaging differences
1. If a library chooses to package items in smaller groups than are listed on the bib record, they must use the multi-volume record, and add separate call numbers for each package, labeled in the volume field. When possible, use enumeration (eg. DISC 1) followed by the specific title.
