When you connect a credit card to QuickBooks Online, you expect new transactions to appear automatically. But sometimes a recent purchase, payment, or charge does not show up. This can happen because the transaction is still pending, the bank connection needs an update, or the transaction is sitting in a different section of QuickBooks.
The good news is that most missing credit card transactions can be found or downloaded with a few simple checks.
There are several common reasons why your credit card transactions may not appear.
The Transaction Is Still Pending
QuickBooks Online does not download pending credit card transactions. The transaction needs to be officially posted by your credit card company before QuickBooks can download it.
If you made the purchase recently, wait until it changes from pending to posted on your credit card website.
QuickBooks normally checks connected bank and credit card accounts automatically, but the latest transaction may not have downloaded yet.
You can manually refresh the connection:
Go to All apps.
Select Accounting.
Open Bank transactions.
Select Update.
Complete any security or verification steps if requested.
QuickBooks says the update can take a few minutes.
Your connection may stop downloading transactions if your bank or credit card connection needs attention. Changes to your online banking password, security settings, or account access can also cause connection problems.
Open the credit card account in Bank transactions and check for any warning or error message. If needed, update your sign-in information and reconnect the account.
Start by checking the Bank transactions section.
Select the correct credit card account and review the available tabs. A newly downloaded transaction may be waiting under For review.
If you find it there, review the suggested category and add or match the transaction as appropriate. Transactions in the review area do not affect your books until you categorize or match them.
Also check your account register. Search around the transaction date and look for the same amount or merchant name.
Log in to your credit card company's website and confirm that the transaction has actually posted.
If the transaction is missing there too, QuickBooks cannot download it yet. You should also check whether the credit card company has an outage, maintenance notice, or security message.
After confirming that the transaction has posted, return to QuickBooks Online and select Update again.
If the transaction still does not appear, you can reconnect the credit card account or manually upload the missing transactions.
QuickBooks Online allows users to manually upload bank and QuickBooks credit card transactions using supported files such as QBO, QFX, or CSV. This can be useful when a bank connection is unavailable or when you need to add transactions from an earlier period.
Before uploading anything, check your account carefully to make sure the transaction has not already been added. This helps prevent duplicate records.
How long does it take for credit card transactions to appear in QuickBooks Online?
It depends on the credit card company and the connection. QuickBooks does not download pending transactions, so the transaction must first be posted.
Why are some credit card transactions showing while others are missing?
The missing transactions may still be pending, may not have been downloaded yet, or may already be recorded elsewhere in QuickBooks.
Can I manually update my credit card transactions?
Yes. Go to All apps > Accounting > Bank transactions and select Update. Complete any verification steps if QuickBooks asks for them.
Can I manually add a missing credit card transaction?
Yes. If the transaction cannot be downloaded, you can enter or upload it manually. Always check for an existing transaction first to avoid duplicates.
When credit card transactions are not showing in QuickBooks Online, first check whether the transaction has posted on your credit card website. Then refresh the connection and review the For review section and your credit card account register.
If the connection has expired, update your banking information or reconnect the account. When automatic downloads still do not work, manually uploading the missing transactions can be another option.
