This Privacy Policy describes how the QHRMS Mobile Application (“the App,” “we,” “our,” or “us”) collects, uses, and protects your personal information. The App is designed as an Employee Self-Service (ESS) platform, providing employees with access to HR-related services and features.
By using the App, you consent to the data practices described in this policy.
Name, employee ID, contact details, department, and designation.
Profile information you provide (e.g., photo, emergency contacts, personal details).
Attendance records, time-in/time-out logs, and leave applications.
Payroll and salary slips (if enabled by your organization).
Loan, advance, and reimbursement requests.
Performance reviews, KPIs, and appraisal records.
The App may request access to your device’s camera for:
Profile photo updates.
Document upload (e.g., ID cards, certificates, HR forms).
Scanning QR codes for attendance or verification.
We do not capture, store, or share camera content without your explicit action.
The App may request access to your device’s GPS/location services for:
Geo-tagged attendance marking and office/branch check-ins.
Location-based services required by your organization.
We do not track your location continuously in the background unless explicitly required by your employer and enabled within the App.
To improve security and functionality, we may collect non-personal technical information such as device model, operating system, and app version.
Your information is used strictly for HR and ESS functionalities, including:
Attendance & Time Management – Time-in/time-out, shift schedules, overtime.
Leave & Absence Management – Apply for and track leave requests.
Payroll & Compensation – View salary slips, tax deductions, and payroll records.
Loans, Advances & Reimbursements – Submit and track requests.
Performance & Appraisals – Access goals, reviews, and evaluation feedback.
Employee Records – Update personal information and manage documents.
Notifications & Communication – Receive HR announcements and approvals.
We do not sell your personal data to third parties. Data may only be shared with:
Your employer/organization’s HR and management teams for authorized purposes.
Service providers engaged for secure hosting, analytics, or technical support.
Government/regulatory authorities if legally required.
We implement industry-standard measures to safeguard your data:
Encrypted transmission of sensitive information (e.g., payroll, location).
Restricted access based on organizational roles and permissions.
Secure storage to prevent unauthorized access, alteration, or disclosure.
Personal and employment data is retained only as long as your employment and organizational policies require.
Once your employment ends or your account is deactivated, data is archived or deleted in accordance with legal and organizational requirements.
Depending on local laws and organizational policies, you may have the right to:
Access your personal information stored in the App.
Request corrections to inaccurate or outdated information.
Request deletion of data, subject to HR/legal retention requirements.
Control certain permissions (camera, location) through device settings.
The App is intended only for authorized employees. It is not designed for use by children under the age of 13.
We may update this Privacy Policy from time to time. Updates will be reflected with a revised effective date. Continued use of the App after changes indicates acceptance of the updated policy.
