Standard Operating Protocol for setting up a Film Club Event
Our group views and discusses films which focus either closely or in a more general fashion on mental health and wellbeing.
Anyone is welcome to introduce a film and we agree choices in our film club committee to ensure we explore a breath of interest and perspectives.
The group is funded by and accountable to CPFT NHS Trust Junior Doctors Committee. We have an annual review process and collect feedback to support this review at each screening.
Screenings are public but currently advertised only via our mailing list, CPFT internal newsletters and Twitter.
Prior to the COVID lockdown in the UK we organised face to face meetings but have switched to Zoom events since this time.
Our format
An interested person (the ‘Host’) brings a film to the group for their input and discussion.
Evenings start with a brief introduction to the film and an explanation from the Host as to why they find the film interesting/ ideas for the audience to reflect on during the screening. This usually takes around 5-10 minutes
We then watch the film together.
Following the film a chair person (the ‘Chair’) coordinates discussion ensuring everyone gets a chance to have their perspective heard and respected.
Where possible a separate individual (the ‘Scribe’) writes up discussion and we publish these summaries on our website for future reference: www.tinyurl.com/psychfilmclub/
Roles
Host: Introduces the film and leads discussion.
Chair: Co-ordinates discussion, time keeping, technical issues.
Scribe: Writes up discussion, supports chair.
Copyright
We negotiate copyright fees via distributors or Filmbankmedia.
Fees are £80-90 unless individual distributors are willing to waive the copyright fee due to the educational nature of the screenings.
Remote screenings: Harder to agree copyright. On some occassions we have watched films in parallel then met on Zoom after for discussion. Filmbankmedia 'virutal screening room is a great alternative if the film is available
Ticketing
We use Eventbrite which offers free and accessible ticketing, also updates on all ticket sales and a means of contacting ticket holders prior to events via email. Tickets are free and around 50% of those signing up attend events.
Remote events
So far we have used Zoom for events as this allows for sharing of video content via DVD streaming. A paid account is required as free accounts are limited to 40 minute meetings.
Two computers are required by the chair:
One to screen the film: DVD streaming/ shared screen with computer AV and all else muted. This can be shut down after the event.
One for the chair to organise participants/ lead discussion.
We have found that discussion works well with the chair muting all attendees and inviting discussion via hands up virtually or using the zoom prompts (under participants list).
We also encourage discussion via the chat facility which is monitored either by the chair or scribe.
