Cancellation Guidelines:
Safety First: Events and activities may be canceled if they pose any risk to the health and safety of participants. This includes, but is not limited to, adverse weather conditions, environmental hazards, or any factors that may compromise the safety guidelines as outlined in the BSA Guide to Safe Scouting.
Compliance with YPT: All activities must be supervised by adults who have completed BSA's Youth Protection Training. If adequate YPT-trained supervision cannot be confirmed for an event, the event must be postponed or canceled.
Emergency Situations: In cases of emergency, events may be canceled on short notice. Emergency situations include natural disasters, severe weather, or any other circumstances that may endanger participants or prevent the event from occurring safely.
Notification Procedures: Participants will be notified of the cancellation as soon as the decision is made.
Methods of Communication: Notification may be given via email, phone calls, or through official Band channels and GroupMe messaging apps used by Troop 111.
Rescheduling: Whenever possible, efforts will be made to reschedule the canceled events.
Decision Authority: The decision to cancel an event will be made by the Scoutmaster or specific activity planner, in consultation with the organization’s leadership team.
Refunds: In the event of cancellation, information regarding refunds or credits will be communicated to all registered participants. The details will depend on prior financial commitments and the timing of the cancellation.
Review and Adjustments: This policy and its effectiveness should be reviewed annually and adjusted as needed based on feedback and changes in the BSA Guide to Safe Scouting.
