PRIVACY POLICY – CoachFlow

This Privacy Policy describes how CoachFlow ("the App", "we", "us") collects, uses, and protects information when you use our mobile application. By using CoachFlow, you agree to the practices described in this policy.

1. OVERVIEW

CoachFlow is an offline-first coaching management application. The App is designed to store all personal and business data locally on your device. We do not operate any server, cloud service, or database that collects or processes your information.

2. INFORMATION COLLECTED AND STORED

All data entered into CoachFlow is stored exclusively on your device's local storage. This may include:
Personal Information (entered by you):
- Student names, phone numbers, and email addresses
- Student date of birth and gender
- Student profile photos (stored in the app's private storage folder)
- Instructor notes about students
Business Information (entered by you):
- Class names, schedules, locations, and fees
- Session dates and attendance records
- Payment amounts, dates, and methods
- Business expense records
This information is never transmitted to us, shared with third parties, or uploaded to any external server.

3. HOW WE USE YOUR INFORMATION

All data you enter is used solely to provide the app's features:
- Displaying student profiles and records
- Generating attendance and finance reports
- Creating data backup files at your request
We do not use your data for any marketing, profiling, or analytical purposes.

4. DATA STORAGE AND LOCATION

All data is stored in the following locations on your device:
- Database file: [App's internal storage]/coach_flow.db
- Photos: [App's internal storage]/coach_images/
This data is accessible only to the CoachFlow app and cannot be accessed by other apps without your explicit action (such as sharing a backup file).

5. DATA RETENTION AND DELETION

We believe you have full control over your data. Here is how data retention works:
HOW LONG DATA IS RETAINED:
Your data remains stored on your device indefinitely until you choose to delete it. There is no automatic expiration or deletion of data. Data is retained for as long as you keep the app installed and do not manually delete it.
HOW TO DELETE YOUR DATA:
You have multiple options to delete your data:
a) Delete individual records:
Open the app → Navigate to any student, class, payment, or other record → Tap the delete (trash) icon to remove that specific item permanently.
b) Clear all app data:
Go to your Android device Settings → Apps → CoachFlow → Storage → tap "Clear Data". This permanently deletes all your records, photos, and settings stored by the app.
c) Uninstall the app:
Uninstalling CoachFlow from your device permanently deletes all locally stored data, including the database and all photos stored in the app's private folder.
d) Delete backup files:
If you have shared or saved backup ZIP files to external storage (such as Google Drive, email, or a folder on your device), you must delete those files manually using your file manager or the respective service. The App does not manage files saved outside its private storage.
Once data is deleted using any of the methods above, it cannot be recovered.

6. DATA SHARING

We do not sell, trade, rent, or share your personal data with any third party.
The only instance where data leaves your device is when YOU choose to export a backup file using the app's Backup feature. In that case:
- You control what is done with the backup file (sharing, saving, deleting)
- The backup file contains your locally stored data in ZIP format
- We have no access to the contents of your backup files

7. THIRD-PARTY SERVICES: GOOGLE ADMOB

CoachFlow displays banner advertisements provided by Google AdMob. AdMob may collect and use the following data to serve relevant ads:
- Advertising ID (resettable device identifier)
- Approximate location (country/region)
- Device information (model, operating system version)
- App usage data (ad interactions)
This data is collected and processed by Google LLC under their own privacy policies. CoachFlow does not receive, store, or process this advertising data.

You can opt out of personalized ads at any time through your device settings:
Android: Settings → Google → Ads → "Opt out of Ads Personalization"

8. DEVICE PERMISSIONS

CoachFlow requests the following permissions:
• INTERNET: Required to load and display AdMob advertisements.
• READ_MEDIA_IMAGES / READ_EXTERNAL_STORAGE: Required to allow you to select photos from your device gallery for student profiles and backup file selection.
• WRITE_EXTERNAL_STORAGE (Android 9 and below): Required to save files on older Android versions.
• CAMERA: Required to take photos directly from the camera for student profiles.
No permission is used to collect or transmit personal data to us.

9. CHILDREN'S PRIVACY

CoachFlow is intended for use by adults (coaching professionals). The App is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided personal data through this app, please contact us at the email address below so we can take appropriate action.

10. DATA SECURITY

Since all data is stored locally on your device, its security depends on your device's security settings (screen lock, encryption, etc.). We recommend:
- Keeping your device updated with the latest security patches
- Using a screen lock on your device
- Creating regular backups and storing them securely

11. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. Any changes will be reflected with a new "Last Updated" date at the top of this policy. We encourage you to review this policy periodically. Continued use of the App after changes constitutes acceptance of the updated policy.
