Words with capitalized first letters have defined meanings under the following conditions. These definitions shall have the same meaning whether they appear in singular or plural form.

Account refers to a unique account created for you to access our App or parts of our App.
Application means the iHRMS mobile application provided by us, accessed on a mobile or other smart device.
Company (also referred to as “we”, “us”, or “our”) refers to iHRMS, managed by MCSB Group.
Country refers to: Malaysia.
Device means any device that can access the App, such as a smartphone or tablet.
Personal Data means any information that relates to an identified or identifiable individual.
Service refers to the iHRMS mobile application.
Usage Data refers to data collected automatically, generated by your use of the App or from the App infrastructure itself.
You means the individual accessing or using the App, or the company or other legal entity on behalf of which such individual is accessing or using the App, as applicable.
We do not collect personal information directly for marketing or third-party purposes. However, we may process the following categories of data to provide core functionalities of the App:
Clock-in and clock-out records
Leave applications and approvals
Device model, operating system version
App performance metrics and error logs
Session duration and system diagnostics
GPS location, used only for verifying clock-in and clock-out location accuracy
You may disable location tracking at any time via your device settings, but this may affect location-based features like attendance verification.
We use the data processed through the App solely for the following purposes:
To enable clock-in/out and leave management features
To maintain accurate attendance and leave records
To improve the functionality, performance, and reliability of the App
To troubleshoot errors or technical issues
To support HR and payroll processes when required by your employer
We do not share your data with third parties except in the following situations:
With your Employer: Your employer may access your attendance or leave records for payroll and HR purposes.
Legal Requirements: We may disclose data if required to comply with legal obligations or regulatory authorities.
Service Providers: Technical service providers supporting the App may access data strictly for maintenance or troubleshooting.
We are committed to protecting your information. We implement reasonable administrative, technical, and physical security measures, including encryption and access control, to safeguard your data from unauthorized access, misuse, or disclosure.
However, please note that no method of data transmission or electronic storage is completely secure.
We retain processed data only as long as necessary for:
Functional requirements (attendance and leave tracking)
Fulfilling obligations to your employer
Complying with applicable legal or regulatory requirements
Once the retention period expires, your data is securely deleted or anonymized.
Your information may be processed or stored outside your state, province, or country, where data protection laws may differ. We take steps to ensure your data is securely handled regardless of location.
You may:
Disable location services through your device settings
Contact your employer for access, correction, or deletion of your attendance/leave records
Contact us directly for any concerns related to this Privacy Policy
Our App is not intended for use by children under the age of 13. We do not knowingly collect personal information from children. If we learn that we have inadvertently collected such information, we will delete it as soon as possible.
The App does not currently include links to external websites or services. If such features are introduced in the future, we will update this Privacy Policy accordingly.
We may update this Privacy Policy periodically. Any changes will be posted on this page, with the "Last Updated" date revised. You are advised to review this page regularly for updates.
Significant changes will be communicated via the App or your registered communication channels.
